Thank you for your participation in CSI2014, 4-7 December, 2014, Hyderabad International Convention
Centre, and Hyderabad, India.
This Exhibitor Manual is a ready reckoner and has been designed to provide you with all the assistance that
you require in the lead up to the show. We request you to read the manual carefully and order services well
in time as per schedule.
The information it contains will help you save time, money and needless aggravation. This manual contains
comprehensive technical information to help and assist you plan a successful exhibition, avoid problems, and
to enjoy a smooth, trouble free run-up to the event.
Be sure to order your essential services in advance along with payment (wherever required) within the
defined timelines.
Keep copies of all your advance order forms with you during the CSI 2014 exhibition.

Reminders on Shipping: Ship your exhibits and related material via official freight forwarders only, to
ensure that they arrive in order, and on time.
Be sure to remove all old shipping labels before you send anything to the show and attach clean
labels, with your company name clearly marked, on each carton/case dispatched.
While making your shipping plans to the show, also plan for shipping after the show is over. Make
sure that someone knowledgeable from your company will be onsite to oversee the arrangements for
return shipment of your display and equipment.
The deadline dates are vitally important. Please make time now to ensure that you meet all the deadlines, it
will save you inconvenience later and could save your company the expense of late order surcharge.
This manual does not in any case replace our personalized services to you. Please feel free to contact us on
phone, fax, e-mail for any information / assistance, with regard to your participation.

Kuoni Destination Management (KDM) is the Professional Congress Organizer of the CSI 2014 and eager to
make the Exhibition successful for all the exhibitors.
Therefore each exhibitor who confirms stand for the exhibition agrees to abide by rules and regulations as
per the manual. These regulations apply to all representatives, employees and/or guests of all the exhibitors.

EXHIBITOR MOVE –IN SCHEDULE
December 3rd, 2014 – 01:00 AM onwards (IST) All exhibitors are requested to complete the set up within
the given time. No Workman Will Be Allowed at the exhibition site after 10:00 AM on December 4th, 2014
under any circumstances. If the Participants fail to occupy the stall by 10:30 AM on December 4th, 2014 the
CSI 2014 Committee reserves the right to allot the vacant stalls to the waiting applicants.

EXHIBITOR REGISTRATION DESK
The exhibitor registration desk, located at the registration area will be functional from 1400hrs till 1800hrs
on 3rd December only. It’s going to be necessary for exhibitors to collect their badges, since without badge
they will not be allowed to enter the Exhibition Hall from 4th to 7th December 2014.

Note: 66TH ANNUAL CONFERENCE OF CSI 2014 Exhibition is only open to Delegates attending the
conference and no outside Visitor will be allowed.
BUILT-UP STALLS
Package of facilities for standard built up stalls includes

No financial credit can be given for items included in the standard package but not utilized. The Exhibitor is
obliged to return stand elements and additional equipment in the same condition as supplied is financially
responsible for all damages to stand elements or additional equipment, according to the organizers’ price list.
The Exhibitor can build up or customize their stand, as per following rules and regulations.

1. Submission and Approval of Design:
Two copies of design with floor plan/front/side elevations/special features of the designs are to be
submitted latest by November15, 2014 for approval. Also please note the latest guidelines of “Hyderabad
International Convention Centre” regarding the Construction of Mezzanine Floor in the stall during an
Exhibition.
Accordingly, you are requested to please submit the design, for the necessary approval.
2. Power Connection:
The total requirement of power load (in KW) for stand construction/design, demonstration of machinery or
model etc. may please be informed to the organizers latest by November15, 2014 along with necessary
payment involved.
3. Please send the details for Bare Space Construction to [email protected] along with
prospective stall design for approval.
4. Architectural Guidelines:
Overall height of display:
The height of panels in the outer periphery of stands shall be 2.5 mt only. However, extra height of some
special features in the center of the pavilion can be considered if prior approval is obtained from the
Organizers.
Preferable height of partition panels for the stands should be such that it allows maximum depth of vision to
the public by introduction of more openness to the stand creating glazed areas or providing low partitions /
display panels (1.2 mt. height) alongside public passages.
Exhibitors who book bare space should ensure that first 2 display panels near the gangways have maximum
height of 1.2 mtr.
Plan approval:
Exhibitors are required to comply with instructions issued by organizers regarding schedule for setting up
and dismantling stalls. Failure to comply with the instructions will attract penal rental charged by Hyderabad
International Convention Centre and exhibitors are liable to pay the penal rental.
NOTE: Do not ship the advance freight to Hyderabad Convention Centre or Conference Secretariat
The Hyderabad Convention Centre or Conference Secretariat is under no obligation to receive advance
freight, accepts no responsibility for freight, and will refuse it. Should any freight be? Received by them it will
be sent back to the senders address and the sender would need to pay for all expenses incurred in the
process.

DEFAULT IN OCCUPANCY
Failure to occupy contracted space does not relieve an exhibitor of any obligation, financial or otherwise.
To ensure smooth traffic movement, exhibitors will be allowed to enter their vehicles from early morning
from 01:00hrs on wards to unload their materials. It is imperative that unloading time is strictly adhered to
and that vehicles are removed as soon as unloading is completed. All truck deliveries must use the Back Bay
entrance of HICC.
Companies that need more time for setup or dismantling should contact Kuoni destination management at
least 48 hours prior to the above mentioned time. Additional fees for rental and security may apply.
Any maintenance work to the stand carried out by the Exhibitors and/or their contractor must be completed
before the opening of the exhibition hall. If while on site, a problem occurs and special maintenance time is
necessary, please contact Exhibition Management right away, so that special arrangements can be made,
additional fees for security may apply.
DO’s and DON’T’s
DO’s
The fascia and stall number shall be provided by the Stall Presentation Agency in the Built up stalls.
The Exhibitors in the Bare-space stalls shall arrange fascia writing at their own expense either

through the Official Stall Presentation Agency or through any other
construction agency engaged by them.
Always keep clear all entrances and exits including emergency exits, etc.
In case of outbreak of fire, immediately use extinguishers and / or remove the exhibits to safety from
the vicinity of the fire and simultaneously inform the nearest Control Room / Organizers.
Approval of the organizers should be taken in advance if any exhibitor wishes to exhibit or
demonstrate any inflammable and / or potentially explosive burning or glowing objects or liquid gas
in the Exhibition. The approval may be given by the organizers on case to case basis in consultation
with competent authority.
While the organizers will arrange for the general cleaning of the Exhibition premises and aisles, the
Exhibitors have to make their own arrangement to clean their stand and keep them tidy. Contact
Operation Team / Front Desk for hiring cleaning agency.
Exhibitors should keep their stand clean and presentable.
Government of India (Customs Authorities) clearance is necessary for imported exhibits / material
CDs, DVDs, tapes, cassettes etc. Please make arrangements with the Official Clearing and Handling
Agency, for clearance of the material from the concerned authorities.
Exhibitors will be liable to pay for any loss or damage caused to the property, fixtures, fittings or any
other article or things.
Please ensure that the noise level from any demonstration or sound system is kept to the minimum to
avoid inconvenience to others.
Please ensure that Exhibits and stand material is immediately removed after the Exhibition is closed.
Failing to do so shall entitle the organizers to dispose of the material in any manner they deem fit and
they shall not accept any responsibility for any loss or damage to the Exhibits. Cost involved on the
disposal of the Exhibits will be borne by the Exhibitors.
For demonstration of machinery or equipment at the stand, please provide full details to the
organizers in writing and ensure that the demonstration of the machinery equipment should not
prove to be a hazard to the delegate. Take all safety measures when the machinery is put on
demonstration to prevent any accident. Isolate controls and switches in a manner so that machinery
may not be activated by accident or fiddled by the delegates.
All exhibitors have to take care of their belongings during Exhibition hours.
DONT’s
Do not place any exhibit / product in a manner which could affect or hinder the visibility of
neighboring stand.
Do not remove or relocate name and number of the stand without the specific approval of the
organizers.

Do not drill or drive bolt and nails on the walls and structural Pillar in the
Hall and prefabricated structure. Please use double side tape, nylon thread and hangers, hooks, etc. to
display on panels, which will be available with the official Stand Presentation Agency.
Do not use any helium balloons inside the Hall.
No inflammable material to be used in the erection of the stall.
Do not remove any exhibit out of the Exhibition Hall or replenish stock during the opening hours of
the Exhibition without the permission of the organizers. In case the permission is granted, take out
the Exhibit from the hall before opening hours (1000hrs) in the morning or after closing time in the
evening (1800hrs).
Do not keep any surplus material or packing cases in the stall. Arrangement may be made with the
Clearing and Forwarding Agency for safe keeping of the surplus material / products in the godown.
During the moving in or moving out of the Exhibits or material, the passages in the Exhibition Halls
must not be obstructed with construction material or debris. The contractors are responsible for
removal of their surplus material and keeping the passages clean and tidy.
Do not place your demonstration on the aisle line of your Exhibit to avoid congregation of large
number of people at one time. Should spectators interfere with the normal traffic flow in the aisles,
the organizers have the authority to limit or eliminate the demonstration / presentation.
Exhibitors will not be allowed to bring in any heavy equipment / machinery in their own trucks / cars
/ forklift, trolley etc. inside the Exhibition Hall. All such equipments will be provided & controlled by
the Official Handling and Clearing Agency who are authorized to take over the heavy equipments,
machinery etc. from other forwarders at the entrance gates of the Halls and make arrangements to
bring in the equipment through their own sources.
Once the Exhibition is over, Exhibitors must obtain a clearance certificate from the organizers before
removing any article from Exhibition hall.
No advertising or canvassing for business may be done except at exhibitors own stand, or the
designated meeting points.
Do not leave your stand unattended during the Exhibition period. Particular care should be taken of
small portable items, tools and instruments and other valuables. Organisers are not liable for any loss,
from the exhibitor stands.
Do not display any objectionable, ideological, religious or political literature at your stall. The
organisers reserve the right to prohibit or remove any display material which in their opinion and
judgment may detract the general character of the Exhibition.
Although International Exhibitors can negotiate the sale of the Exhibits to any customer subject to
import / export regulations, the Exhibits sold will, however, not be removed before the close of the
Exhibition and that too after specific approval of the custom authorities. Removal of Imported
exhibits shall be through the Customs area.

Direct selling across the counter at the Exhibition is not permitted unless it
is otherwise permitted under the Rules & Regulations of the Fair / Exhibition.
Since cafeteria is provided inside the halls, please do not encourage outside kiosks to supply food
inside the exhibition halls.
ITPO PERMISSION (INDIA TRADE PROMOTION ORGANISATION)
No ITPO permission has been taken since there are no foreign Exhibitors attending the Exhibition.

TERMS AND CONDITIONS OF PARTICIPATION FOR EXHIBITORS

The exhibition charges for a standard stall/booth include accessories and fittings as mentioned in the
below Table

Booking for 'Open Space' will not be allowed to anybody and every Exhibitor will have to use the
standard octonorm stall / booth.
Additional furnishings like chairs, plug points, cabinets, extra lights, tables, other fixtures, etc. can be
obtained from the Stall Interior Designer / peripheral manager directly by informing them in advance and
will be charged as extra. The contact details of the Stall Interior Designer/peripheral manager is mentioned
below and Organizers will not be liable for any last minute onsite request
INDIVIDUAL BOOTH SECURITY
The organizers will provide security guard in the exhibition hall. Exhibitors are responsible for security of
their stand and equipment.
SOUNDS IN THE EXHIBIT
Public address systems, sound projections, tape decks and other sound producing and/or amplifying devices
may be used in booths provided they meet applicable safety regulations, are installed in a workman like
manner and do not create a distraction in nearby booths.
MOVING DISPLAY
Moving displays, motion pictures, slide projectors, television screens, etc. may be operated when positioned
so as not to attract or create a crowd in the aisle, or in another exhibitor’s adjacent booth.
ACCESS TO PREMISES
Exhibition Management reserves the right to prohibit exhibitor’s employee or any visitor who is deemed to
be inebriated or behaving in a manner which hinders the smooth operation of the exhibition. For security
purposes, all exhibitors and their personnel must leave the premises immediately after the official hours.
FIRE, SAFETY AND HEALTH COMPLIANCE
The exhibitor assumes all responsibility for compliance with all pertinent ordinances, regulations and code of
duly authorized federal, provincial and local governing bodies concerning fire, safety health, together with
the rules and regulations of the operators and/or owners of the property where in the exhibition is held.

LIABILITY AND INSURANCE
The exhibitor agree that the organizing committee Cardiology Society Of India and their representatives
including Kuoni Destination Management shall not be liable for any damage or liability of any kind or for
any loss, damage or injury to persons or property during the term of this agreement, from any cause
whatsoever by reason of use, occupation and enjoyment of exhibit space by exhibitor or any person there on
with the consent of exhibitor, and the exhibitor will defend, indemnify and save harmless, the organizing
committee Cardiology Society Of India and their representatives including Kuoni Destination
Management from all liability whatsoever, on account of any such damage or injury, whether or not caused
by negligence or breach of an obligation by exhibitor or its employees or representatives.
It is responsibility of the exhibitor to obtain business interruption and property damage insurance covers
such losses sustained through exhibition.
