 Edmonton Girls Hockey Association Coach’s Manual 2013-­‐2014 Our Mission The Edmonton Girls Hockey Association is dedicated to providing every female athlete a chance to develop her skill level in a fun, safe and supportive environment. “A team for every girl!!!” 1. Introduction Thank you for volunteering to coach with the Edmonton Girls Hockey Association for the 2013-­‐2014 season. While every volunteer is important to our organization, the coach’s role is the most critical. The quality of our program depends on the quality of the coaches. The purpose of this manual is to give you the basic information necessary for a successful season. If you have questions or concerns that are not covered in this material, please contact the Vice President of Hockey Operations, Craig Drever. 2. Role of the Coach EGHA coaches are responsible for all the activities of their team. Delegation of responsibilities to assistant coaches, trainers, managers and parents is necessary, desirable and encouraged. However, ultimate responsibility for the team rests with the coach. • Coaches are leaders, educators and role models for young players • Coaches treat players, parents and officials with respect • Coaches ensure players are properly supervised and safe • Coaches will ensure players demonstrate good sportsmanship • Coaches will set a high standard of behavior on and off the ice 3. Coach Qualifications and Development EGHA will reimburse the cost of courses for those who successfully complete any Coaching clinic. Head coaches are reimbursed at 100%, assistant coaches at 50%. Mandatory minimum requirements for ALL teams: •
All bench staff must have Respect in Sport-­‐ coach version (not paid by the EGHA) •
Coaching staff must meet Hockey Alberta Certifications Requirements-­‐ see Appendix 1 for 2013-­‐2014 chart of certification requirements •
One of the carded team officials must have Safety certification and must be present at all games. (could be the coach, assistant or a parent) •
In Peewee, Bantam and Midget one of the carded team officials must have Checking Skills. •
Two of the carded team officials must be female and must be present on the bench at all times. (should have Coach certification and Safety & must have Respect/Speak Out). •
One female adult supervisor is to be present in the dressing room before and after games and practices. (no certification required; does not have to be on hard card) Teams must meet the minimum certification requirements of Hockey Alberta by November 15th. Team officials must be certified no later than November 15th. Failure to adhere to the minimum certification requirements will result in disciplinary action being taken by the EGHA Discipline Committee and may affect a team’s eligibility to enter Provincial championships. gory=Main 4. Team Sheets As per Hockey Edmonton Operating directives (specifically 4.8), only those players and staff registered on the team sheet may be permitted on the ice or bench. Failure to adhere to these directives will result in disciplinary action. The EGHA will pay for 6 bench staff (assuming one of these is female). Any additional bench staff will be charged directly to the team. 5. For the Good of the Game This pledge is intended to promote fair play and reinforce respect for everyone. Parents, coaches, players and officials are required to sign this pledge at the beginning of every hockey season. Failure to sign the pledge or adhere to its principles will result in disciplinary action being taken. (See Appendix 2 for Good of the Game form). This is often overlooked at the parent meeting and player meeting. It is important to EGHA that we set expectations and get agreement from all stakeholders to follow these fair play expectations. Signed forms are to be turned in to the category directors before the end of October. 6. Team Management and Budgets Each team is required to have a manager and/or treasurer who are not the coach. The coach and manager should hold a parent meeting at the beginning of the season to determine a budget for the year (see Appendix 3 for Parent Meeting Checklist). You will need to consider how much extra practice ice you may want to purchase, how many tournaments you would like to attend and other activities that may require extra funds not covered by registration fees. The coach should also communicate to parents a development plan for the team and his/her expectations of players and parents so that everyone understands at the beginning of the season what will be forthcoming. Coaches should endeavor to keep the lines of communication open on an on-­‐going basis. The team must have its own bank account. The name of the account must be in the following format EGXXX (i.e.: EG695); it must not contain any “given names” (i.e.: EG695 Purple Kittens). Also, teams are not permitted to use the letters “EGHA” or make any reference to Edmonton Girls Hockey Association when establishing this bank account. The account should have at least three people with signing authority and should require a minimum of two signatures (for security reasons) to write cheques/withdraw funds. Keep simple, accurate records of the teams transactions. If parents pay cash to the team, it is a good idea to give them a receipt for the cash. Receipt books (in duplicate) are relatively inexpensive and will assist you in keeping things straight. If you pay a bill on behalf of the team, always get a receipt. A team budget should be set up at the beginning of the year. Funds need to be used for the items as presented in the budget. If there is a need to modify the budget, a team parent meeting must be called to gain consensus on changing the budget. Financial reports must be presented to the parents at their request. Additionally, all teams must submit two financial reports to their category directors (one in December and another at the end of their season). Teams are encouraged to keep their accounts open until April 30 in case of any unforeseen invoices after their season has ended. See Appendix 4 for Team Finance Template. 7. Jerseys and Equipment The Edmonton Girls hockey Association colors are black, white and purple. We have two sets of jerseys, home and away. Each player is assigned two jerseys at the beginning of the season and one or two pairs of socks. The socks are the player’s to keep; extra pairs are available at the player’s expense. We are in the process of replacing our jerseys over time – but they are very expensive; therefore we have found it necessary to establish damage deposits to ensure that they are returned in the same state they were received. At the same time, we ask your patience if your team receives an older set of jerseys. Some teams will be sponsored and have corporate logos on the sleeve of their jerseys. If you know of a business that is interested in sponsoring team jerseys, please contact the equipment manager. Players are not allowed to wear their game jerseys for practices and must use their own personal practice jerseys. Name bars (if applied) are to be hand sewn as well as any “C”s and “A”s. These all must be carefully removed from the jerseys before they are returned at season end. Game jerseys are not to be given to individual players. There will be a $500 damage deposit required from all teams, which will be kept by the EGHA during the season. This deposit will be returned at the end of the season once the jerseys are returned in good condition. Post-­‐dated checks are not permitted. The jerseys shall be kept and cared for by parent volunteers on the team, and the coach is responsible to designate parents if a volunteer does not come forward. We expect the jerseys to be returned in near similar condition in which they were received. Players are responsible for supplying their own equipment. Insurance coverage dictates that each player must be fully equipped with C.S.A. and B.N.Q. approved equipment. The Edmonton Girls Hockey Association may be able to arrange to lend goaltender equipment for those who do not have their own. We currently have some equipment suitable for Peewee and lower categories. It is generally expected that goaltenders are well established by the Bantam and Midget categories and have their own equipment. However, EGHA will attempt to assist Bantam and Midget goaltenders if there is equipment that is suitable in EGHA possession. For health reasons, each player should supply their own water bottle at games and practices. IMPORTANT NOTE: As per Hockey Edmonton Operating Directive 5.1.1, mouth guards are mandatory for ALL hockey players in the city at practices and games. Failure to use mouth guards may result in penalties being assessed. Hockey Alberta has passed that all on ice coaches must properly wear C.S.A. approved helmets on the ice. The head coach is responsible to ensure all coaches comply with this rule. 8. Affiliation Players who are playing at a high level for their age category may be asked to affiliate to a team at one age level above their own. For example an Atom player may be asked to play for a Peewee A or Peewee B team depending on her skill level. Both coaches must agree to the affiliation as well as parents and the player. In all cases, the team to which the player is first carded should be the first priority for the player. An affiliate player may only be used if a regularly carded player is absent. A player may affiliate with only one other team. A team may not dress more players than on the team sheet. An affiliated player may only be used 10 times during the season. Affiliated players may not be used during Minor Hockey Week Use of affiliate players during tournaments is at the discretion of the Tournament Director. A registered player cannot purposely be left undressed in order to use an affiliate. The player lists will be reviewed with the or VP of Hockey Operations and then the players will be assigned to the teams in a collaborative manner between the category director VP of Hockey Operations. Requests from coaches for particular players will be considered, but may not be honored. Matching of players with siblings will be given priority. Coaches will be provided with the names of the players from their team who have been affiliated as well as who will be affiliated to their team. Consent by parents to the affiliation of their daughter will be done as part of the registration process. Paper copies of the documents are no longer required by Hockey Edmonton. However, the rules of affiliation do not change. Coaches must be notified before EACH request AND grant permission. 9. Exhibition Games and Tournaments Regular league, playoff and Minor Hockey Week games take priority over exhibition tournaments and games. You must reschedule games prior to applying for your permit. Directions for this process can be obtained from the Vice President of Hockey Operations. You must apply on line through EMHA www.emha.ca to get an exhibition game or travel permit. Travel is for any exhibition game or event outside of the city of Edmonton limits. Your online request will automatically be copied to the Vice President of Hockey Operations and the category director. Out of province permits will take up to 1 month or longer; if you plan on applying to go to an out of town tournament, you must submit your online request before the first of the month preceding the tournament or game. Any team function must have a special event permit. This includes any team outing such as off ice training, meals, going to watch games, and team bonding/building activities. Information on sanctioned tournaments can be found on the Hockey Alberta and the EMHA websites. According to Hockey Edmonton Operating Directive 12.0, the EGHA strongly discourages the use and/or consumption of alcohol, illegal drugs, tobacco and tobacco products by all its members (18+) at all hockey related activities where minors are present. 10.

Playoffs must be paid out of team funds and will be reimbursed by EGHA once the team equipment is returned at the end of the year, and a copy of the receipts are provided to the treasurer. Referees are to be paid in cash according to the following payment schedule for 2013-­‐14 (see Appendix 5 for 2013-­‐2014 Referee Rates) 12.
Insurance The EGHA participates in the Canadian Hockey Association National Insurance Program. This includes comprehensive General Liability, Accidental Death and Dismemberment and Major Medical/Dental coverage. The most common use of the plan is for private ambulance fees not covered by an individual’s private insurance plan. C.H.A insurance will only pay those costs NOT covered by personal plans. A CHA injury form must be submitted for all injuries regardless of reimbursement. (See form at back of manual and also available on the EMHA website) 13.
Provincial Qualifying The team going from EGHA will be determined by the head to head record of between the teams in the last 3 league games on or before the declaration date for each division. The declaration date is about 4 weeks before the provincials. Novice – There are no provincials Atom – EGHA is not eligible for provincials, as we have tiered divisions. Peewee B – Declaration date is February 26, 2014 Peewee A – Declaration date is February 26, 2014 (hosting Peewee A 2013-­‐14-­‐ both qualify) Bantam B – Declaration date is February 26, 2014 Bantam A – Declaration date is February 26, 2014 Midget B – Declaration date is February 26, 2014 Midget A – Declaration date is February 26, 2014 Junior – Declaration date is February 26, 2014 Order of precedence in case of Ties 1. Head to head competition between 2 teams 2. Best goals for minus goals against (Highest number) in head to head games 3. Most goals for in head to head games 4. Least penalty minutes in head to head games 5. Toss of a coin Please note that Minor Hockey week games are not counted, it is league games only. If there are divisions with 3 teams. They will first look at which team has the best record vs the other 2 teams using the last 3 league games against each team. If two teams are tied for 1st place they will then go to the tie breaking rules starting at 1. If 3 teams are tied for 1st place they will go to the tie breaking rules starting at 2. 14.
Sponsors In order to defray the cost of operating our programs, we accept sponsorships from businesses. You may see sponsors logos on our jerseys or on our website. EGHA players and their families are encouraged to use our sponsors’ services wherever possible. If you know of a business that would like to sponsor jerseys or display an ad on our website, please contact the equipment manager(s) and/or the Vice President of Administration. 15.
Discipline EGHA Minimum Suspension Guidelines The Good of the Game Bylaws 51 and 52 These guidelines are for all persons in or on arena property who are there as a Spectator, Player, Coach, Manager, Referee, Parent, etc. who are not or can not be written up on the game sheet. They are also for all persons who are traveling on team buses, staying in hotels, or as billets while participating in hockey tournaments. An Incident Report Form, summarizing a clear description of the unacceptable behavior witnessed, may be submitted to EGHA. They may be submitted by any GGR (Good of the Game Representative) such as a spectator, parent, coach, manager, referee, rink attendant, or league official. The forms are currently found on the EMHA website and will be available soon at the EGHA website. Communications After every game the team is responsible to email a copy of the official game sheet to the respective category director within 12 hours of the completion of each game. The category director will then forward the results to the appropriate contact at Hockey Edmonton. Stats will be updated from the game reports submitted by coaches. Additionally, all game sheets are to be submitted to your category directors at the end of each round.
