The Show Office is located nearby the public entrance at the Olympic Stadium. Please follow the signs. General regulations 2.1 Hard-walls are mandatory unless you have a pop-up display Dividers or booth walls must be rigid panels: curtains are forbidden. Walls and other related equipment such as screens and dividers must be self-standing and must be finished on both sides. Pop-up displays are accepted and require no back or side walls providing that they fully cover the back of your display (8’ high x width of booth). Unless you have ordered a turnkey booth setup, you must make the proper arrangements. Your choices are: - You can use your own booth providing it complies with all other regulations ; Rent wall panels from the Show decorator. 4 2.2 Floor covering is mandatory The exhibit hall has a concrete floor. To ensure your comfort and an acceptable level of presentation, all exhibitors must provide floor covering of minimal quality. Unless you have ordered a turnkey booth setup, you must make the proper arrangements. Your choices are: - You can use your own material - Rent a carpet from the Show decorator. 2.3 Booth height and configuration Unless you obtain a written permission from Show Management to the contrary: - Backwalls should be 8 feet high maximum: - Side walls are up to you (8’ max.). We strongly suggest that the first 4 feet from the aisle are lower to ensure a better visibility for the oncoming public. 2.4 Fire Prevention The Montreal Fire Department requires that all objects, materials and textiles in all booths be nonflammable. Inspectors may require dismantling of booths that, in their opinion, fail to comply with these standards. In doubt, please give us a call. 2.5 Banners & signs Unless you obtain a written permission from Show Management to the contrary, banners & signs should be restricted to your booth area and no higher than 8 feet from the ground. 2.6 Storage forbidden around booth Storing cartons or other containers around or behind booths is strictly prohibited by the fire department. We have taken appropriate measures to help you comply. Please see section 3.5 for details 2.7 Insurance In accordance with the space rental agreement, the exhibitor is required to be properly insured for the loss of his goods and for his public liability and civil responsibility throughout the duration of the event ($2 million minimum). You are strongly advised to refer the matter to your insurance broker so that the proper arrangements are made in time for the Show. For a quotation, please call Mr Yvan Boilard at Boilard Assurances Inc, tel: 418-875-4922 or 1 800-610-4922. 2.8 Damage liability Exhibitors will be held liable for any damage caused by them or their representatives, to building dividers, floor, columns and to the property of other exhibitors. 5 3. Move-in and Move-out 3.1 Schedule and loading / unloading doors at the Olympic Stadium A schedule for move-in/move-out will be available on the Show website by December 31, 2013. Move-in days are Tuesday, February 4, 2014 and Wednesday, February 5, 2014, from 6 am to 8 pm. Move-out days are Sunday, February 9, 2014 from 5 pm to 12 (midnight) and Monday, February 10, 2014, from 8 am to 12 (noon). 3.2 Schedule if you have ordered a turnkey booth setup Your turnkey booth will be set up by noon on February 5, 2014. We strongly suggest that you show up on the same day before 8 pm to complete your installation or decoration. Otherwise, you can complete your setup between 8 am and 11 am on February 6, 2014. 3.3 Dollies and lift-trucks Lift-truck with driver service and dollies are free and available upon your arrival or departure. 3.4 Address for shipping and delivery Exhibition material must be delivered FOB, on February 4 to 5, 2014 only, to the following address: Name of company Booth number Montreal HomeShow Montreal Olumpic Stadium – Marathon access door 4400 East, Sherbrooke Street Montreal (Qc) H1V 3N7 3.5 Crate storage procedure All packaging containers must be removed from your booth. Once these are emptied and ready for storage, please identify them, indicating company name, box number and total number of boxes (ex: 1 of 3), and finally your booth number. Then put them in the aisle. Our staff will pick them up and bring them back when the Show is over. Please claim stickers from our staff if needed. 6 4. During the show 4.1 Exhibitor badges and arrival On opening day, exhibitors may access their booth starting at 8 am. On the following days, access is only allowed 1 hour prior to Show opening. Exhibitor badges will be available at VIP/Exhibitor reception desk at the Olympic Stadium on February 4, 2014 at 10 am. Exhibitors are allowed 3 badges per 100 sq. ft. of exhibit space. Additional badges are available by completing the order. The badge allows one entrance per day. You can get a stamp at the gates if you leave the exhibit hall with the intent of coming back on the same day. For your convenience, exhibit staff can drop their badge upon leaving with the Show Office to be picked up by another staff member on the following day at any time. 4.2 Show hours Show hours are as follows : Thursday, February 6, 2014 : Friday, February 7, 2014: Saturday, February 8, 2014: Sunday, February 9, 2014: 12 (noon) to 9 pm 10 am to 9 pm 10 am to 9 pm 10 am to 5 pm 4.3 Exhibitor lounge and cafeteria Exhibitors have access to a lounge area with microwave oven and a cafeteria serving a choice of healthy food. Please ask any member of our crew for directions. 4.4 Solicitation Distribution of souvenirs, samples and advertising material and any solicitation is restricted to your booth area. 7 4.5 Contest, Lotteries, Games It is forbidden to organize lotteries, games of chance, contest or games of skill without obtaining the required authorization from the Show Management and paying the fees required by the Régie des alcools, des courses et des jeux. Dial 514-873-3577 or 1-800-363-0320 to contact the Régie. 4.6 Delivery and Removal of material during the Show Small cases, boxes or other parcels may be delivered, as long as they can be handled manually, one hour before the scheduled opening of the Show each day. No material handling is permitted during Show hours. 8
