RULES AND REGULATIONS
CONTRACT FOR SPACE
1. Applicants for exhibit space are required
to submit the formal online application and
agree to the terms provided. The application
for space with full payment of exhibit fees,
along with formal notice of assignment and
acceptance by Blackbaud, constitutes a
contract for the right to use this space.
2. In the event of fire, strike, or other
uncontrollable circumstances, Blackbaud
will have no liability or obligation to make
any refund. However, Blackbaud will make
every effort to refund any portion of the
exhibit fees not expended or committed.
3. If any exhibitor does not follow the rules
and regulations as set by Blackbaud, the
contract will be terminated. In the event of
such default by the exhibitor, the exhibitor
will forfeit the amount paid for space
regardless of whether or not Blackbaud
enters into a further lease of the space
involved.
4. Blackbaud reserves the right to refuse
rental of display space to any company
whose display of goods or services is not,
in the opinion of Blackbaud, compatible
with the general character of Blackbaud
and objectives of the exposition.
5. No exhibits will be permitted that interfere
with other exhibitors or impede the access
to them or impede the free use of the aisle.
Booth personnel, including demonstrators,
are required to confine their activities within
their exhibitor’s booth space.
6. No open flame of any kind is permitted in
hotel and conference areas. All electrical
apparatus must be UL. The Gaylord
Opryland Resort and Convention Center
reserves the right to insist on dismantling
any booth it deems a fire or safety risk.
7. Care of building and equipment: Exhibitors
shall not injure or deface the walls or floors
of the building, the booths, or the equipment
of the booths. Nothing shall be posted
on, tacked, nailed, screwed, or otherwise
attached to columns, walls, floors, or other
parts of the building or furniture. Distribution
of promotional gummed stickers or labels
is strictly prohibited. Any damage in
connection therewith will be at the expense
of the exhibitor.
8. No kind of sound-making equipment may
be set up or used in exhibit booths without
prior approval from Blackbaud.
9. All giveaway items must be distributed
within the exhibitor’s booth. Items that
cannot be stored in sufficient quantities
within this space are not appropriate. The
process of distribution must not interfere
with the orderly conduct of business by
other participants.
10. Restriction on selling: Sales of any kind
involving the exchange of currency for
goods received are prohibited during the
exhibition without prior approval from
Blackbaud.
11. Irregular canvassing: Distribution of
circulars or promotional material may be
made only within the booth assigned to the
exhibitor presenting the material.
12. All exhibitors are responsible for informing
their personnel and their authorized
representatives of the requirements of
these rules.
CANCELLATION POLICY
Exhibitors may cancel this agreement at any
time by written notice to Blackbaud. Exhibitors
canceling space by June 1, 2014 will receive
a 100% refund of payments made. Exhibitors
canceling all or part of exhibit space between
June 2 and July 31, 2014 will receive a refund
of 50% of booth space fees of canceled space.
No refunds will be made on space canceled
after July 31, 2014. Under all circumstances,
Blackbaud retains the right to resell booth
space canceled by the exhibitor.
INSTALLATION AND
DISMANTLING OF EXHIBITS
Exhibitors agree to set up booths between
4:00 p.m. and 8:00 p.m. on October 5, 2014,
and between 8:00 a.m. and 11:00 a.m. on
October 6, 2014. All exhibits must be set up
in accordance with these rules. Exhibits must
be dismantled and removed by 5:00 p.m. on
October 8, 2014. Failure to comply with this
regulation could result in your company being
ineligible to exhibit in future shows. Dates and
times are subject to change.
LIABILITY
The exhibitor agrees to assume all risks of
loss, injury, theft, or damage of any kind
or nature whatsoever to any exhibit or
component thereof, including any goods,
merchandise, papers, and business records,
or other property that may be in or come into
the exhibitor’s possession during the course of
the Conference or in the course of assembling
or dismantling the exhibit. The exhibitor
assumes all liability for damage to property,
person, or persons arising from accidental
or other causes incidental to movement and
operation of the exhibit and hereby releases
Blackbaud, its contractors, and the Opryland
Resort and Convention Center.
REGULATION ENFORCEMENT
Blackbaud has full power to interpret and
enforce all regulations for the Conference
and the power to make amendments and/
or further regulations that are considered
necessary for the proper conduct of the show.
Such decisions will be binding on exhibitors.
Failure to comply with these or any other
regulations or amendments may be sufficient
cause for Blackbaud to require the immediate
removal of the exhibit and/or the offending
exhibitor. This may result in forfeiture of rights
to exhibit at future Blackbaud events together
with all fees paid. Blackbaud may lease
any space so forfeited to another exhibitor.
Blackbaud reserves the right to reject any or all
applications. Any person or group of persons
asked to leave the exhibit hall by management
or security will do so at once and will not
return until/unless authorized to do so.
