Dear Graduate,
This brochure aims to provide you with all the information you will require about your Graduation ceremony.
The University of Winchester will hold eight graduation ceremonies in Winchester Cathedral over four days in October 2014 on the
dates and times shown on the ceremony dates page.
The University has an excellent reputation for making its ceremonies enjoyable occasions. However, for them to run smoothly,
careful organisation and the co-operation of all involved are essential – so please read this brochure carefully and take action where
you need to.

Follow the instructions on your Personal Graduation Invitation and let us know that you will not be attending. Your certificate will be
sent to your home address after the Graduation ceremony if you have not already received it.
All Graduates please note:
1. You can only apply to come to Graduation if you have received an official personal invitation to Graduation.
2. If you do not apply to come to graduation by Friday 22nd August 2014, it will be assumed that you wish to obtain your award in
absentia and not attend graduation.
3. You must clear all debts. You will not be allowed to attend your graduation ceremony if you are in debt to the University.
4. Keep Registry informed of any change to your Home Address as this is where we will send your tickets and where we will send
your certificate if you do not attend graduation.

Essential information
Tickets for Graduation
As a graduand, you will not require a ticket to enter the Cathedral but you must wear appropriate academic robes. On entering the
Cathedral, you will be checked off on a list to ensure that we are expecting you. You must therefore have replied to say that you will
be attending by 22nd August 2014 in order for us to be able to include you in the ceremony on the day.
Your guests must show their tickets in order to gain admittance to the Cathedral. Graduands attending the ceremony are guaranteed
two guest tickets. You may request extra guest tickets on the appropriate section of the booking form, but please note that some
ceremonies are larger than others and the availability of extra tickets will depend on demand.
This year numbers are very tight and it is very unlikely that you will receive more than 2 guest tickets.
It is likely that any graduates who do gain additional tickets will be allocated 3 as a maximum. Additional tickets will be allocated in
an equitable way.
We are unable to confirm if you have been allocated any additional guest tickets until you receive your tickets. Your tickets will
be sent to your home address during the week commencing 8th September 2014. You are advised to make initial travel and
accommodation arrangements based on the guaranteed ticket allocation. It is not possible to give any commitment regarding extra
tickets. Tickets are not allocated on a first come first served basis.
If you are unable to gain all the guest tickets that you would like, your additional guests may like to wait outside the Cathedral to see
the graduates as they come out which is something that guests inside the Cathedral will not witness. The large West Door is opened
and University staff form a funnel and clap out the graduates and this is quite a spectacle. The graduates then spend some time
outside the cathedral meeting friends and taking photographs etc. There is usually quite a festive atmosphere outside the cathedral
with a Dixieland band playing. You can wear your academic robes all day and make a day of the event, wearing your robes out to
lunch, tea etc.
Special requirements
If you or any of your guests require wheelchair accommodation or any other special arrangements, please note this on the booking
form. You can also contact the Awards Officer on 01962 827210/827253 or via [email protected] to discuss. We will
contact you a couple of weeks before the ceremony to confirm the arrangements for you and/or your guests if you have special
requirements. If you or any of your guests have mobility problems, we can issue you with a permit which allows you to drop off
members of your party directly outside the front of the Cathedral. Unfortunately we are unable to provide parking spaces for you
at the Cathedral so you will need to park the car in one of the various car parks in the City. If you would like the details of disabled
parking available in Winchester, you can phone the Winchester Parking Office on 01962 848346.
Academic Gown Hire
You cannot have your award conferred without the proper academic dress. J. Wippell & Co, the robemakers to the University, are
responsible for the hire and sale of academic dress and you can hire your academic dress via their website at www.wippellgownhire.
co.uk. Alternatively you can telephone them on 01392 254234. See the J.Wippell page later in this brochure for further details. You
are advised to order robes as soon as possible (and certainly no later than 21 days before the ceremonies). The robemakers will cancel
orders and refund payments if subsequently the robes are not required.
Hats for all students, apart from PhD students, are the mortar-board pattern of black cloth with black silk tassel. Mortar-boards
should not be worn in the Cathedral. You should leave your hat on your seat when you go forward to receive your handshake from
the Chancellor.

Academic Gown Collection
On the day of your graduation, you will need to collect your gown and hat from the Winchester Guildhall prior to your ceremony.
If your ceremony is in the morning, you can collect your gown from 08:00 am. If your ceremony is in the afternoon, you can collect
your gown from 11:00 am. All gowns should be returned by 5.30 pm. The Winchester Guildhall is in the centre of town approximately
five minutes’ walk from the cathedral. You may find it useful to bring some safety pins to help hold your hoods in place.
Admittance to the Cathedral
Admittance to the Cathedral for graduands and their guests will be one hour prior to the commencement of the ceremony. Guests
must show their tickets. Entry is via the North Aisle doors located on either side of the main large red West Door at the front of the
Cathedral. Ushers will direct you and your guests to the seating areas. Guest seating is in the Main Aisle and North Aisle. Guests can
sit where they like within the guest seating areas. Members of your party do not have to sit together. The Cathedral is a beautiful but
old building with many stone pillars and there are restricted views from some seats. However, monitors are provided throughout the
Cathedral so that you can follow the proceedings on screen from any seat with a restricted view.
Please Note: The Cathedral will be closed to the general public from 8.30am – 4.30pm. The Fire Regulations do not permit standing
at the rear of the Cathedral.
Graduands will be seated in the Main Aisle and will be placed alphabetically within subject order. Ushers (staff) will ensure that you
sit in the correct place. Ushers will also help you to file out in the right order and at the correct pace.
The Ceremony
Programmes are provided on the day so that everyone will be able to follow the proceedings. The ceremony will commence with
staff and dignitaries processing into the cathedral and the congregation is asked to stand for this. After the opening prayer, the
Chancellor will declare the ceremony open. This is followed by an opening address from the Vice Chancellor. An Honorary Degree
and/or Honorary Fellowship of the University will then be conferred as applicable to your individual ceremony.
The Dean of Faculty will read out the names and you will be directed to go forward to greet the Chancellor who shakes your hand
(thereby conferring your award). Ushers will be on hand to show you exactly where and when to go.
If you have any special requirements in terms of mobility, sight, hearing etc, please get in touch and we can discuss how we can
help you. We will review with you how we can best accommodate your individual needs. Assistance might include such things as
seating you in the best seat, providing you with a personal usher to guide you on the day, asking the Chancellor to come down the
few steps to greet you (she is extremely happy to do this) or providing a wheelchair ramp up the steps. Staff at Graduation are very
experienced and are keen to assist all graduands in getting the most out of their Graduation day.
At the end of the ceremony, guests are asked to remain standing whilst the procession and the graduates leave the Cathedral via the
West Door. At the West Door, staff, in their academic robes, clap out the graduates. This is quite a spectacle and if you are unable to
obtain all of the guest tickets that you wanted, some of your friends and family may like to wait outside to see this.
Graduation Photography and DVDs
The Dean and Chapter of Winchester Cathedral do not permit photography or filming of the ceremonies, other than by authorised
staff, and you are asked to cooperate in this by taking whatever photographs or recordings you wish outside in the Cathedral
grounds.
Tempest Photography (the University’s only authorised graduation photography company) will be providing a graduation
photography service inside the Guildhall next to the room where the gown hire takes place. You can have official photographs taken
before or after your ceremony. Photographs cannot be pre-ordered before the day. A still photograph is also taken of each graduate
as they shake hands with the Chancellor in the Cathedral and is available to order from the Tempest website. See the Tempest
Photography page later in this brochure for details of the service that they offer or visit their website at www.tempest-graduations.
co.uk
Tempest Photography are the only photographers recommended by the University of Winchester. There may be other photographers
in the area offering graduation photography packages. Please be aware that the University of Winchester does not endorse any other
photographers and if you choose to use any photographer other than Tempest, this is entirely at your own risk.
Each ceremony is filmed and you are very welcome to purchase a copy of the recording on dvd from the University’s only official
video/dvd company Cam 3 Media – see their information later in this brochure. You can pre-order dvds from www.cam3media.co.uk
or order them on the day from the Cam 3 Media stall in the Guildhall which is situated next to the gown hire.
Graduation Ball
A Graduation Ball is being organised by the Winchester Student Union and will take place on the evening of Friday 17th October

Debts
If you have any outstanding debts to the University your award certificate will be withheld and you will not be eligible to attend your
graduation ceremony.
It is your responsibility to check that your account is clear. Debts to the University include unpaid academic fees and charges,
accommodation fees and charges, library fines and unreturned books or equipment. Please also note a debt will be noted on your
account if your sponsor has not paid your fees. You should have received reminders from the University regarding any outstanding
debts (unless the debt is with your sponsor). If you have not already done so, it is important that you respond to them urgently.
If, at the time of sending out the tickets, you owe money, books or other equipment to the University, you will not be allowed to
attend your graduation ceremony. You will not be sent confirmation that you can attend nor any tickets for your guests. You will also
not receive your award certificate until you have repaid your debt.
Award Certificates
Please inform the Awards Officer immediately if your name is incorrect on your Personal Graduation Invitation. The name which
appears on this Invitation is your full name as we have it recorded on our records information system. This is the name which
will appear on your award certificate and in the Graduation Programme. In order to amend your recorded name, you will need to
produce your original birth certificate, passport or other relevant legal document.
Graduates should take great care of their award certificate as only one original is produced. Written application for a certified
replacement of an original, which has been lost or badly damaged, may be made to the Awards Officer. Currently a charge of £20.00
is made for the production of replacement award certificates.
Where graduates require certification of photocopies of their original certificate, this can be arranged at a cost of £3.00 per
photocopy. Please send your original certificate via recorded delivery to Registry. Registry will return all certificates via recorded
delivery.
Frequently asked questions
What must I do in preparation for my graduation?
There are 2 things that you must do:
• You must book your place at your ceremony by Friday 22nd August 2014. Please follow the instructions on your Personal
Graduation Invitation. Please note that if we have not heard back from you by this date, we will assume that you will not be
attending graduation.
• You must hire the appropriate academic dress for the occasion from Wippells – the University’s official gown supplier. To do this
you will need to log on to the following website: www.wippellgownhire.co.uk.
What happens if I cannot attend the ceremony?
If you are unable to attend your ceremony, you must follow the instructions on your Personal Graduation Invitation and tick that you
will not be attending. Your degree will then be conferred ‘in absentia’. Your name will appear in the programme but will not be read
out during the ceremony. Your certificate (and a copy of the graduation programme if available) will be posted to your home address
after the ceremony if you have not already received your certificate.
My particular ceremony date is inconvenient. Is it possible to swap to another ceremony?
It is not possible to change a date as the ceremonies are held by Faculty. If the date is inconvenient, you may choose to graduate in
absentia.
What happens if I change my mind about attending or change the number of tickets that I would like to request?
If you change your mind, please contact the Awards Officer in Registry via [email protected] or by telephoning 01962
827210/827253.
How long does the ceremony last?
The ceremony normally lasts about one and a half hours but this depends on how many students are graduating and whether or not
an honorary degree or honorary fellowship is conferred.

What happens if I am late for my ceremony?
If it is possible to seat you before your name is read out you will be able to participate as normal. If you arrive after your name has
been read out then you have missed your opportunity to graduate in person and will be deemed to have received your award ‘in
absentia’. You will still be able to sit with your fellow graduates.
Can I bring children to the ceremony?
Children are welcome at all ceremonies. They will need a guest ticket unless very small (under 2 years) and able to sit on a lap. We
would caution that the ceremonies are quite long and may not be suitable for young children who may become bored.
What should I wear?
There is no strict dress code but graduands and guests usually wear smart clothes. Please be aware that the floor of the Cathedral is
an uneven stone floor and graduands will be asked to walk up some stone steps to greet the Chancellor so graduands may wish to
consider wearing suitable footwear and avoid excessively high heels.
Where can my guests park?
There is no parking available at the Cathedral and public car parks will have to be used. Fortunately, there are several long and
short-stay car parks within easy walking distance of the Cathedral and the Guildhall and these will be marked on the map which will
accompany your tickets. The Parking Office (01962) 848346 can also advise you on parking in the city.
How much does graduation cost?
The University of Winchester is one of the few remaining institutions which does not charge for graduation. The only compulsory
cost you will incur (apart from your travel costs to and from the ceremony) is your academic dress hire which you pay directly to the
gown hire company.
A friend of mine has not received a Personal Graduation Invitation, can I let them have the details from mine?
Please do not pass the graduation information onto other people. There could be a good reason why your friend has not received an
invitation – we may not at this stage be expecting him or her at the ceremonies. Please ask your friend to contact the Awards Officer
immediately so that they can (if appropriate) be sent their own personal invitation and be included in the graduation programme.
A friend of mine requires extra tickets, I am no longer able to attend the ceremony, can they have mine?
Please do not pass your tickets to your friend, we need to monitor the number of tickets given to each person and we keep a record
of the ticket numbers of each graduand’s allocation. Please return the tickets to the Awards Officer.
Will there be commemorative items for sale?
The company Graduation Gear are selling commemorative T-shirts and champagne. Items can be pre-ordered – see the
advertisements later in this brochure – or purchased on the day from Graduation Gear at their stall in the Winchester Guildhall. Their
stall is situated close to the Gown hire.
What refreshments will be available on the day?
Refreshments are available through various catering outlets in Winchester and graduands and their families and friends can choose
whichever refreshments suit them i.e. formal lunches and dinners or refreshments in pubs or tearooms. Catering establishments are
listed in this brochure and you may find this useful when making reservations.
How can I arrange overnight accommodation for myself and my guests?
Some hotels are listed in this brochure and, in addition, the Winchester Tourist Information Office has a list of hotels, guest houses
and bed and breakfast accommodation. Please contact them directly on 01962 840500 or via www.visitwinchester.co.uk
Will I receive any further information regarding my ceremony?
You will receive a letter which will confirm your attendance at your ceremony and will include your guest tickets. The letter will
include details of arrival time and a map showing car parks and the venues. It may be useful for you to bring this brochure and your
confirmation ticket letter with you on graduation day.
