PROCEDURES
TACTICAL CALL SIGNS
KEY WORDS
“MEDICAL”
All stations will use tactical call signs such as “Mile 7”, “Water A-1”, “MED TENT 1“,
Director”, “Sweep” etc. Use FCC call at the completion of your transmission.
Special words used to declare the priority of a transmission.
Used to indicate a medical situation, such as runner down. Example: “Mile 18 MEDICAL”.
Wait for NCS to acknowledge. All other stations hold traffic until NCS declares “Frequency
Clear”. MEDICAL takes priority over all traffic. Make all medical reports on the ADMIN NET.
“PRIORITY”
Used to indicate urgent traffic, such as unsafe vehicles on the course. PRIORITY takes
precedence over all but MEDICAL traffic.
“INFO”
Used to indicate information relevant to the conversation currently in progress. INFO is
NOT USED for normal traffic exchanges.
MEDICAL INFORMATION
Specific runner medical information cannot be given over any net unless authorized by Net
Control via the Medical Operations Director.
FLOW-OF-RACE REPORTS Brief reports to indicate flow-of-race. Made on the ADMIN NET.
DROP OUT REPORTS
PRIMARY FREQUENCY
Reports of participants that drop out of the event along the course. Made by any station and
reported on the Drop Out Net. Report the runner number and location. If a drop out is in
need of medical attention, report this as a MEDICAL on the ADMIN NET. NCS will log the
drop out.
Stay on your primary frequency (ADMIN NET for most stations). Only shift to another
repeater when needed, then return quickly to the primary frequency.
NOTES
COLOR-CODED EMERGENCY SIGNS
A four-color system will be used to provide information on weather conditions and emergency situations.
GREEN = Low Alert. Good Conditions
YELLOW = Moderate Alert. Less Than Ideal Conditions.
RED = High Alert. Potentially Dangerous Conditions.
BLACK = Extreme Alert. Event Cancelled / Extreme and Dangerous Conditions.
BICYCLES
There will be several officials on bicycles, some leading selected runners to the finish line
starting at Mile Mark #3. Report any other bicycles to NCS.
FACILITIES
Portable rest room facilities will be located just beyond each fluid station along the course.
WHEELCHAIRS
Special wheelchair support people will be located at each mile mark. Make sure these
people know you are there and have communication with NCS.
WEATHER
Prepare for the worst (cold, wind, rain).
SECURITY
Special passes are required for access to the finish line, and medical areas due to
increased security.
START/FINISH LINE
PARKING
Parking in the lots labeled #4, 5, and 6 (see attached map) will be reserved for
volunteers. They will not need to show a pass, but they will need to know the
secret phrase Santa's helpers. (In case they forget, we will give security lists of
volunteers, though they may not check - that will be fine. Please just encourage
your volunteers to remember that simple phrase!)
Marathon Operator Check-List and Tips
CHECKLIST
COARES Photo ID badges are required for all volunteers.
Marathon sweatshirt for identification in a crowd
Plenty of batteries, well charged
High gain antenna to replace stock rubber duck
Mag mount antenna and coax adapter if assigned to a vehicle
Instruction manual for radios
Waterproof bag for radio (bags like your newspaper comes in)
Earphone for noisy locations (no VOX headsets)
Marathon info packet
Pen and notepad
City map if you are unfamiliar with your assigned location
Snacks, water
Sunglasses, sunblock
Clothing appropriate for expected weather conditions
Dress in layers to make it easy to adjust for temperature changes
Foul weather gear
TIPS
1. Prior to the day of the marathon, drive to your assigned location to make sure you know how to find it and to look for
possible parking places. Net control will not be able to provide talk-in service on the morning of the event due to traffic
load and other operations.
2. DO NOT USE ANY HEADSET THAT HAS VOX CAPABILITY. Use of these headsets usually results in an open
mike situation and disrupts communications. Always watch your push-to-talk switch to make sure it is off.
3. Introduce yourself to the official in charge (i.e. water station captain or mile mark captain) upon reporting to your
assignment. Let them know that we have communications with all marathon officials, the police and medical support.
Stay close to the official in charge so that you are readily available if needed.
4. Always be courteous on the air and follow good net procedures. Many agencies (police, fire, news media) and other
groups monitor our frequencies. Please set a good example for ham radio.
5. Hold all traffic (except medical emergencies) beginning at 07:20 until the marathon has started and net control has
declared "frequency clear". We will use this quiet time to set up an open mike start so that all officials on the course
can hear the starting gun.
6. Once you arrive at your assigned location, report on station to Check-in net control on 147.09. Then drop to
your assigned frequency, based on the assignment charts.
7. If you must leave your assigned location for a health break, advise net control prior to departing and check back in
upon your return. Net control needs to know the status of all operators throughout the event.
