Yep, I’m back from
vacation. You know that
feeling. You wander
into the office all relaxed
and maybe even tanned.
You have pictures ready
to show your friends and
the bosses. Maybe even
you have a couple of
travel horror stories to
relate or comments
about something funny
that
happened
on
vacation. Or worse, you
return to work with the
cold or flu you caught
while on vacation (just
happened to me!). You
walk in the door and
wham...it’s like you are
hit between the eyes.
Where is that file, did
you talk to this witness,
have you done this, have
you done that, oh by the
way how was your
vacation,
did
you
prepare this.....
You
start breathing shallowly
(just like you did before
vacation) and wish you
could turn around and
walk out the door.
Well, maybe it’s not
thaaaaat bad. But for
paralegals our work
keeping accumulating
even in our absence
from
the
office.
Deadlines do not stop
because we are gone.
Hearings do no go away
just because we are not
there to subpoena the
witnesses.
How can a paralegal
avoid the foregoing
scenario?
Some
scenarios we cannot
avoid because we work
in small offices. If a
paralegal works in a
larger office you can ask
other paralegals or
support staff to keep an
eye on certain tasks or
be on the lookout for
certain
documents,
letter, etc. Perhaps an
arrangement
or
relationship
with
another staff member
needs to be forged long
before vacation so each
has someone to pick up
the slack when the other
is absent from the office.
For
the
paralegal
working in a small office
planning before vacation
is key to a stress-free
(okay, not incredibly
stressful) return to the
office and is much the
same as one would do in
the larger firm. The
attorneys’
calendars
must be surveyed for
upcoming
deadlines.
Some documents or
pleadings
must
be
prepared
prior
to
vacation. If hearings are
scheduled
then
subpoenas must be
prepared prior to the
vacation and served.
Prior to vacation start
a list or notebook of
what must be completed
prior to vacation. If you
think you will have time,
include what must be
completed the day you
are due back from
vacation. Work through
the list.
As you
complete each task you
might want to create a
memo
for
the
supervising
attorney
describing the action
you have taken. Do not
forget to include a
memo for the person
covering in your absence
a list of names and
contact numbers should
contact be necessary.
Clean up your desk. I
know that sounds like
the last thing you have
time to do.
But
sometimes a document
requiring attention has
slipped to the bottom of
the stack on your desk.
You do not want to
return, relaxed and
happy
from
your
vacation, to find a crisis
because of that pesky
document losing itself.
We all complain
about having to work
twice as hard in order to
go on vacation and then
twice as hard when we
return to catch up. Well,
look at the positive side.
Yes you have to work
hard but you have a job
you love (most days) and
you get to go on
vacation. Now get back
to work!
