GENERAL INFORMATION This exhibitor manual provides information about practical matters to prepare your participation in the EU Higher Education Fair – Vietnam 2014. All necessary information for preparation for the fair will be included in this manual. For more information on this point, please refer to the section ACCESS TO VENUE Fair Design The fair will consist of the following inter related elements. An opening ceremony with the presence of Vice Minister of the Ministry of Education and Training, the Ambassador of the Delegation of European Union to Vietnam, VIPs, senior officials from participating EU Institutions, heads of selected Vietnamese higher institutions and senior officials from the Government of Vietnam. The Exhibition Area: European HEIs will be able to showcase their courses on offer and give information about system(s), campuses and facilities for hosting foreign students, etc. Presentations: An programme of interactive presentations and practical workshops will be delivered by national agencies and representations (EU Member States), and HEI exhibitors (selected on the basis of the proposals submitted in the application form). BOOTH CONSTRUCTION Booths will be grouped by country, with national clusters consisting of HEIs and national representations (if applicable). Final floor plans will be made available to exhibitors, uploaded on the website and distributed to the visitors at the exhibition. Page 4 Each booth will display the communication signs of the Fair, a flag identifying the country and the logo and name of the HEI. The organizers will contact each exhibitor and ask them to send the materials. Floor: Carpeted One waste paper basket Lighting and power: One spotlight on the top of back-wall, one electricity plug. Internet connection Wi-fi internet connection will be provided free of charge at the venue. Decoration of booths Booths will be made available to exhibitors in the morning on November 15th. From 7:00 onwards, exhibitors wearing the EHEF exhibitor badges will be allowed to enter the exhibition area to decorate their booths. If exhibitors require access before this time to the venue organisers will endeavour to assist. All exhibitors are expected to finish the decoration of booths on time for the opening for visitors. Guidelines for booth decoration Exhibitors are free to decorate their booths according to the following guidelines: Institutions/organizations will be able to display their materials on a 2.0m width x 2.1m height format on the back-wall. Booth and exhibit decorations (inclusive of: displays, furniture, posters, stickers, etc.) may only be pasted or placed within the individual booths and may not be placed or extended beyond the assigned space of each booth (maximum height is 2 meters) It is not allowed to cover any signs, logos or country/institutional names which have been put up by the organisers to each booth. Decorative materials may only be pasted on the display panel using the stationery set provided by the organizers (double‐sided tape or blu-tack that will be provided to the exhibitors. Use of nails, pins or any other materials that may damage the booth material is not permitted. ADDITIONAL SERVICES Hotel accommodation Special rates for hotel bookings at several hotels nearby the venue have been negotiated for exhibitors. Selection has been made based on close proximity to venue. Organizers can help book accommodation for exhibition if requested. Please note that the special rate will be applied if the booking is released from the organizer, not from the exhibitors directly. During the fair, staff will regularly collect waste from the booths on both days, but the exhibitor is requested to use the waste bin inside the booth. Security During the fair, security guards will be present to guard the venue. However, exhibitors are responsible for their material left in the booth. All exhibitors are urged to insure their staff members and property. The organiser cannot be held liable for personal injuries, losses or damage of any kind. The receipt of the shipping will be acknowledged ASAP. All materials of exhibitors will be delivered to the fair venue before the commencement of the exhibition. Exhibitors should order the courier service provider or freight forwarder the door to door service. Any costs relating to shipping materials such as shipping fee, customs fee should be paid by exhibitors. Exhibitors are responsible for their own insurance. Content of shipment Please do not send anything other than the information material (brochures, flyer, posters etc.) or small giveaway items. VISA Passport and Visa Most foreign nationals require a passport and visa to enter Vietnam for any purpose. Visitors must obtain a visa from a Vietnamese Embassy or Consulate in exhibitors’ home countries prior to entering the country. Visas can be picked up at the Vietnamese embassies abroad or upon arrival at international airports depending on arrangement with the embassy. Details can be found on the website: http://www.vietnamtourism.com/e_pages/useful/useful.asp?uid=2282 Visas are exempted for the citizens of the countries, which have signed a bilateral or unilateral visa exemption agreement with Vietnam, tourist visa may be valid for 15 to 30 days. Citizens of Sweden, Norway, Denmark, Finland and Russia holding different kinds of passports are exempt from visa requirements and are allowed to stay for not more than 15 days if they meet the following requirements: Valid passport for 3 months before of entrance date to Vietnam Round trip air ticket or air ticket to another countries Not include in the list of prohibition of immigration to Vietnam. Each visitor should carry photocopies of the passport identification page and the page containing the Vietnam visa in order to facilitate replacement in the event of theft or loss of the passport. ACCESS TO VENUE Exhibitor badges All representatives of an exhibiting institution will be registered and given a badge. Each exhibiting institution is entitled to a maximum of t w o representatives. For security reasons it is essential to wear the name badge throughout the Fair. Only persons with a badge will be admitted to the exhibit hall prior to the official opening hours of the event. These persons must be employed by or otherwise be directly affiliated with the exhibitor, and they may represent only the exhibitor and no one else. Their names must be given to the organisers in advance. Exhibitors will receive their badges on the morning of the events at the venue. Security During the fair, there will be security guards at the venue. However, exhibitors are responsible for their own belongings and materials left at the booths. All exhibitors are urged to insure their own staff members and property. The organisers cannot be held liable for personal injuries, losses or any kind of damages. Travellers can change money at many commercial banks which are available nearby the fair venue (please see the below map). Travellers can also exchange money at hotels. Diamond above 3 carat, must be declared. Gold which is over 300gram, must be declared. Machinery, jewelry which worth over 300 USD must be declared and can’t be put in the luggage sign posts. Goods purchased from abroad to Vietnam will be evaluated by Vietnam Customs (does not depend on the purchase invoice in foreign ). If over 300 USD, these good must be declared and 50% of tax will be applied on the amount exceeding. Bring rainwear and an umbrella if you're in town during the monsoons. Language The official languages are Vietnamese. Vietnamese is a monosyllabic language expressed in a romanised alphabet with diacritical marks. Monosyllables and tones are the main differences between Vietnamese and English aside from a number of vowels and consonants that exist in one language but not in the other. People from different regions in Vietnam speak with very different accents. Accents can be so strong that speakers often have to repeat themselves before they are fully understood. People from the central regions generally have little difficulty understanding those from the north or the south, but “heavy” central accents can make the converse less true. Nonetheless, the language is essentially the same throughout the country so Vietnamese from different regions do eventually understand one another, especially now that there is greater mobility within the country. However, one word may have varying meanings depending on which region you find yourself in, or a word may exist in one area, but not in another. Food Page Eating is a very definite pleasure for the Vietnamese. It is not uncommon to be offered food when you are visiting someone, or when you are attending a meeting. However, it is neither impolite to refuse the offer, though the host may insist, nor need you worry about finishing everything that is offered. Vietnamese food is similar to Chinese but focuses more on simple preparation rather than elaborate undertakings. It is rather light and not as oil-based as its Chinese counterpart. With its long coastline, Vietnamese cuisine features a great variety of fish and seafood. In addition, the country offers a diverse range of delicious and, when in season, very inexpensive tropical fruit. Many Vietnamese dishes are served in individual portions, but this style of eating is considered snacking only. Snacks and delicate can be ordered in large quantities and eaten as main courses. Real meals are round-table sit-down affairs where some dishes are ordered for everyone. Sometimes when visiting a restaurant you may not be consulted when it comes to the ordering. The host usually assumes this task as he or she is supposed to know the restaurant well enough to have invited you there. If you have to order, simply enumerate the dishes, for example, ‘one steak, two coffees’. Soup is not usually served in a simple portion and normally arrives with other dishes. If you want your soup in advance, specify so. Each person usually seasons his or her own food from the spices and condiments on the table. For example, the simplest bowl of “phở” can be turned into something very individual by adding varying amounts of chili sauce, lime, mint leaves, bean soup spouts and fish sauce that are present on the table. ‘Western’ food is available in hotel restaurants and usually means a Vietnamese interpretation of some French dish. Shopping Shopping in Vietnam is for those who like to bargain; for those who do not, it can be trying at times. It is still cheap to live in a city like Hanoi, mainly because food prices are extremely low. However, items can rarely be returned once bought, even if they are broken. So exercise care when you buy. BARGAINING: except in state-owned department stores, you need to bargain. Competition means the merchants in a given market are likely to overstate their prices by approximately the same percentage. Since the government does not allow the use of foreign currencies for street transactions, you normally have to bargain in Vietnamese “đồng”, although some merchants may have a calculator handy to tell you the price in greenback. Communication There are 6 mobile phone services in Vietnam including Vinaphone, MobiFone, Viettel, Vietnammobile, Sfone, Gmobile. You can easily buy a sim card for installing in your mobiles. Pre-paid card can be bought easily on the street. 3G service is available for all networks. Telephone charge for international calls is quite high. The telephone code for Vietnam is 84 and for Hanoi is 4. Telephone number for emergency in Vietnam are: Police: 113; and Health Emergency: 115. Power and electricity Two prong plugs are common in Vietnam (type C and type A). Many of the new 4 and 5 star hotels use the British standard 3-pin plug (Electrical Plugs Type G). The sockets available at the booths are suitable for two round prong plugs (type C).
