For exhibition floor space allocation and updates, please see Section 1.2 RESERVATIONS (below). 2 3 1.2 RESERVATIONS AND CONFIRMATION OF RESERVATIONS Booth sizes begin with a minimum of 9 sq.m and exhibitors can pay for multiple booths from two floor levels. NAPE reserves the right to cancel or terminate a reservation at any time and to withhold possession of exhibition space if the exhibiting company fails to perform or abide by the conditions or provisions of this exhibition prospectus and contract. Please see section on PAYMENT for more details. 4 1.3 SPECIAL EVENTS This exhibition offers companies a unique opportunity to launch their products or services, as well as special sales promotions. Arrangements will be made for space requirements for these events. Space and time shall be allocated on a first come, first served basis. 1.4 PAYMENT All cheques should be made payable to: "Nigerian Association of Petroleum Explorationists" and must be delivered to the NAPE Secretariat at: 47A, Femi Okunnu Housing Estate, Lekki Peninsula, Lagos. Cancellations after August 16, 2014 will attract a cancellation fee equal to 30% of total fee due. 1.5 EXHIBITION PACKAGE The exhibition rate only covers the cost of renting floor space for the duration of the exhibition. Also included in the package are: hall lighting air-conditioning company’s listing in the conference program book general security throughout the exhibition. Conference program and proceedings 5 Exhibitors are advised to make arrangements for (spot) lighting, customized wall panels, additional security as desired, partitions and graphics, signs, power extension cables, computers, furniture and carpeting. (The Eko Hotel & Suites may supply some items on request, but usually, only a limited quantity is available, so please make your inquiries early. There may be an additional charge for such items.) 1.6 INSTALLATION AND DISMANTLING OF BOOTHS Individual companies are responsible for the construction, set up and dismantling of their booths at the venue, as well as providing furniture for their use. Installation of exhibition booths shall take place at the Eko Hotel & Suites on Sunday, November 9, 2014. The Exhibition Hall will be declared open during the Opening Ceremony on Monday, November 10, 2014. Exhibition closes at 5:00 PM on Thursday, November 13, 2014 and booths must be dismantled by 10:00 PM on Thursday same day. Booths must be installed within the space allotted for each exhibitor. Exhibitors must be careful not to intrude into space allotted to other exhibitors. It is also not permitted for booth displays or graphics to encroach onto walkways or other designated public areas, this is absolutely unsafe. Such infringement will be removed at cost to the exhibitor. 1.7 CANCELLATION OF EXHIBITION RESERVATIONS Reservations may be cancelled by sending an email to [email protected] or ([email protected]) on or before August 16, 2014, and upon the payment of an administrative fee of N75,000 (Seventy Five Thousand Naira only). NAPE will make a refund of rental fees paid, less the administrative fee. For cancellations made after August 16, 2014, (“Late Cancellations”), exhibition space rental fees paid to NAPE will be refunded less 30% of the total cost of the exhibition space requested plus administrative fee of N25,000 (Twenty Five Thousand Naira only). 1.8 NO-SHOWS AND LAST-MINUTE CANCELLATIONS Exhibitor no-shows (non-appearance at conference venue) and last minute cancellations (withdrawal from the exhibition with less than 8 weeks to the actual Conference and Exhibition event) are discouraged. Once NAPE has confirmed exhibition space at the request of a company, it is assumed that a commitment has been made, which is binding on both parties. As such, a penalty will be imposed equal to at least 40% of the total cost of the exhibition space requested, in the case of a no-show or last-minute cancellation. No-shows and last-minute cancellations may also be blacklisted from future Exhibitions. 1.9 EXHIBITORS’ BROCHURE All Exhibitors at the NAPE 2014 Conference will be profiled in the conference book, which will be placed in the Conference bags. This will be at no additional cost to your company. Please forward a short profile of your company (Maximum of 2 pages of an A4-sized document) with any goodwill messages from your CEO/MD to [email protected]. The text, logo and pictures should be legible. The preferred format is Microsoft Word, PowerPoint, PDF or other compatible format. Crosscheck to see that your company logo is accessible in this format. Please note that your profile may be edited to fit the desired length. Also ensure that the contact details of your company are sent along with the profile: office street address, mailing address, telephone and fax numbers, e-mail and website addresses etc. To expedite the process, it is advisable for you to send in your company profile immediately your booth reservation is confirmed. Admittance to the Exhibition will be by Registration Badge, Exhibitor Identification Badge, or VIP Guest Pass only. 2.2 EXHIBITION SAFETY The exhibition floor is considered a construction zone during installation and dismantling of booths, consequently exhibitors MUST advice their booth construction contractors and employees to adhere to standard safety requirements in a construction environment including wearing safety shoes, hard hats, no open-toe shoes, gloves, face-masks and safety googles where applicable. Children under the age of 12 will not be allowed into the exhibition hall during set-up or teardown. During exhibition hours, children under the age of 13 will not be allowed into any activities within the hall, except under the strict supervision of an adult who is properly registered and wearing an identification badge. The undersigned (‘Lessee’) hereby applies for exhibition space at the 32nd NAPE Annual International Conference & Exhibition scheduled for 9th-13th November 2014 at the Eko Hotel & Suites, Victoria Island, Lagos, Nigeria. 2. This contract shall be binding upon its acceptance as set forth below. The Lessee encloses the full payment, equal to 100% of the total rental rate as stated in the exhibition prospectus (See 1.2 RESERVATIONS AND CONFIRMATION OF RESERVATIONS). Applications received without full payment and signature will not be processed. 3. Once NAPE has confirmed exhibition space at the request of a company, it is assumed that a commitment has been made, which is binding on both parties. No-shows and last-minute cancellations may also be blacklisted from future NAPE Exhibitions, at the sole discretion of NAPE. 8. The Lessee guarantees that products, items or services to be exhibited or sold are of geological, scientific or general public interest and will further the purpose of the Conference. NAPE reserves the right to withhold or terminate this contract if it is deemed that the exhibits are outside the realm and interest of earth sciences, E&P enterprise or the purpose of the conference. 9. No Lessee shall re-assign, sublet or apportion any part of the exhibit space assigned, or have representatives, equipment or materials from businesses other than its own in the exhibit space unless approved in writing by NAPE. 10. The Lessee shall be responsible for the construction, set up and dismantling of the exhibition booth at the venue, as well as providing furniture for Lessee’s use. Any infringement will be removed at cost to the lessee. 12. NAPE holds no interest in any exhibitor and is not responsible for any exhibitor’s acts or omissions. 13.
