2014 EXHIBITION PROSPECTUS & CONTRACT
Participate in the 32nd Annual International Conference & Exhibition (NAPE 2014) scheduled for 9th13th November 2014 at the Eko Hotel & Suites Lagos, Nigeria. Exchange ideas with the world’s best
minds in the oil and gas industry and share a global vision, success stories and challenges for securing
future investment opportunities and increasing reserves.
Technically and financially supported by NOCs, IOCs, Independents, Service companies and other
stakeholders within and outside Nigeria. Highlights of this 5-day conference shall include Technical,

1.2 RESERVATIONS AND CONFIRMATION OF RESERVATIONS
Booth sizes begin with a minimum of 9 sq.m and exhibitors can pay for multiple booths from two floor
levels. The rate per square meter is given at;

Exhibition Committee (see page 3) and forward the full (100%) payment upon confirmation of space
availability to the NAPE Secretariat at: Plot 47A, Femi Okunnu Housing Estate, Lekki- Peninsula, PMB

Booking for which payment is not received will not be confirmed. Exhibition space assignments will be
on a first-come first-served basis for all exhibitors. Exhibition space assignments may be subject to
change.
Email addresses must be written clearly on the application form to expedite the confirmation
process. Confirmation of allocated space will be sent by email two weeks from the time that the
completed application (signed and accompanied by payment) is received. All reservations are
provisional until you have been sent a confirmation and 100% payment is received by the NAPE
Secretariat. Reservations may be cancelled or terminated at any time. NAPE reserves the right to cancel
or terminate a reservation at any time and to withhold possession of exhibition space if the exhibiting
company fails to perform or abide by the conditions or provisions of this exhibition prospectus and
contract. Please see section on PAYMENT for more details.

1.3 SPECIAL EVENTS
This exhibition offers companies a unique opportunity to launch their products or services, as well as
special sales promotions.
Exhibitors who wish to subscribe to any of the promotional items, host special promotional events or
product launch should please contact Esther Adeniyi ([email protected]) with inquiries or details –
(type of event, special requirements, space required, date and time of the event). Arrangements will be
made for space requirements for these events. Space and time shall be allocated on a first come, first
served basis.
1.4 PAYMENT
All cheques should be made payable to: "Nigerian Association of Petroleum Explorationists" and must
be delivered to the NAPE Secretariat at: 47A, Femi Okunnu Housing Estate, Lekki Peninsula, Lagos.
Cancellations after August 16, 2014 will attract a cancellation fee equal to 30% of total fee due.
1.5 EXHIBITION PACKAGE
The exhibition rate only covers the cost of renting floor space for the duration of the exhibition. Also
included in the package are:
 hall lighting
 air-conditioning
 company’s listing in the conference program book
 general security throughout the exhibition.

Exhibitors are advised to make arrangements for (spot) lighting, customized wall panels, additional
security as desired, partitions and graphics, signs, power extension cables, computers, furniture and
carpeting. (The Eko Hotel & Suites may supply some items on request, but usually, only a limited
quantity is available, so please make your inquiries early. There may be an additional charge for such
items.)
1.6 INSTALLATION AND DISMANTLING OF BOOTHS
Individual companies are responsible for the construction, set up and dismantling of their booths at the
venue, as well as providing furniture for their use. Installation of exhibition booths shall take place at the Eko
Hotel & Suites on Sunday, November 9, 2014. The Exhibition Hall will be declared open during the Opening
Ceremony on Monday, November 10, 2014. Exhibition closes at 5:00 PM on Thursday, November 13, 2014 and
booths must be dismantled by 10:00 PM on Thursday same day.
Booths must be installed within the space allotted for each exhibitor. Exhibitors must be careful not to
intrude into space allotted to other exhibitors. It is also not permitted for booth displays or graphics to
encroach onto walkways or other designated public areas, this is absolutely unsafe. Such infringement will
be removed at cost to the exhibitor.
1.7 CANCELLATION OF EXHIBITION RESERVATIONS
Reservations may be cancelled by sending an email to [email protected] or
([email protected]) on or before August 16, 2014, and upon the payment of an administrative fee
of N75,000 (Seventy Five Thousand Naira only). NAPE will make a refund of rental fees paid, less the
administrative fee. For cancellations made after August 16, 2014, (“Late Cancellations”), exhibition
space rental fees paid to NAPE will be refunded less 30% of the total cost of the exhibition space
requested plus administrative fee of N25,000 (Twenty Five Thousand Naira only).
1.8 NO-SHOWS AND LAST-MINUTE CANCELLATIONS
Exhibitor no-shows (non-appearance at conference venue) and last minute cancellations (withdrawal from
the exhibition with less than 8 weeks to the actual Conference and Exhibition event) are discouraged. Once
NAPE has confirmed exhibition space at the request of a company, it is assumed that a commitment has
been made, which is binding on both parties. As such, a penalty will be imposed equal to at least 40% of the
total cost of the exhibition space requested, in the case of a no-show or last-minute cancellation. No-shows
and last-minute cancellations may also be blacklisted from future Exhibitions.
1.9 EXHIBITORS’ BROCHURE
All Exhibitors at the NAPE 2014 Conference will be profiled in the conference book, which will be placed
in the Conference bags. This will be at no additional cost to your company.
Please forward a short profile of your company (Maximum of 2 pages of an A4-sized document) with
any goodwill messages from your CEO/MD to [email protected]. The text, logo and pictures
should be legible. The preferred format is Microsoft Word, PowerPoint, PDF or other compatible
format. Crosscheck to see that your company logo is accessible in this format. Please note that your
profile may be edited to fit the desired length. Also ensure that the contact details of your company are
sent along with the profile: office street address, mailing address, telephone and fax numbers, e-mail
and website addresses etc.
To expedite the process, it is advisable for you to send in your company profile immediately your booth
reservation is confirmed. Deadline for receipt of the profiles is August 22, 2014.

2.0 REGISTRATION
Pre- Registration online rates before the conference attract a discount while registration at the venue
commences on November 9th at the Eko Hotel and Suites. Participants are encouraged to pre-register
online or through the NAPE Secretariat before August 29th, 2014 to enjoy the discounted rates. For

Registration materials will be given out at the conference venue if you have not been pre-registered.
Payment is by online transfer, cash or cheque for residents, and the same applies to non-residents including
telegraphic transfer. Cheques should be made payable to "Nigerian Association of Petroleum
Explorationists".
All Exhibitors must be fully registered. Registration covers Name tags/Badges, access to the Exhibition
Pavilion, lunch, conference bags, programs, brochures, etc. Please remember to register as access to the
conference and exhibition venues are restricted to registered persons only. No free passes will be given to
exhibitors.
2.1 OPENING HOURS
The Exhibition Pavilion will be officially opened at the Opening Ceremony on Monday November 10, 2014
and will run concurrently with the Technical Sessions. Exhibitions will be open to visitors from 9:00 AM till
5:00PM daily. Admittance to the Exhibition will be by Registration Badge, Exhibitor Identification
Badge, or VIP Guest Pass only.
2.2 EXHIBITION SAFETY

The exhibition floor is considered a construction zone during installation and dismantling of
booths, consequently exhibitors MUST advice their booth construction contractors and
employees to adhere to standard safety requirements in a construction environment including
wearing safety shoes, hard hats, no open-toe shoes, gloves, face-masks and safety googles
where applicable.

Children under the age of 12 will not be allowed into the exhibition hall during set-up or
teardown. During exhibition hours, children under the age of 13 will not be allowed into any
activities within the hall, except under the strict supervision of an adult who is properly
registered and wearing an identification badge.

Please provide us with the name and contact details of your Booth construction vendor for
NAPE exhibition accreditation and documentation.

Exhibition Space Application Form and Contract
Please read these instructions before completing this form. Print, complete, sign and deliver to the NAPE Secretariat with appropriate
payment enclosed.
1. The undersigned (‘Lessee’) hereby applies for exhibition space at the 32nd NAPE Annual International Conference & Exhibition
scheduled for 9th-13th November 2014 at the Eko Hotel & Suites, Victoria Island, Lagos, Nigeria.
2. This contract shall be binding upon its acceptance as set forth below. The Lessee encloses the full payment, equal to 100% of the
total rental rate as stated in the exhibition prospectus (See 1.2 RESERVATIONS AND CONFIRMATION OF RESERVATIONS).
Applications received without full payment and signature will not be processed.
3. The Lessee agrees to make out all payment (in Naira or US Dollars): "Nigerian Association of Petroleum Explorationists" and deliver
same to the NAPE Secretariat at: 47A, Femi Okunnu Housing Estate, Lekki Peninsula, Lagos. The Lessee agrees that all
reservations are provisional until a confirmation has been sent to the Lessee upon full payment. The Lessee also agrees that
exhibition space assignments may be subject to change at the discretion of the NAPE.
4. The Lessee agrees that the exhibition rental rate only covers the cost of renting floor space for the duration of the exhibition. The
paid-for package also covers:

5. The Lessee may cancel the reservation on or before August 16, 2014, by sending an email to [email protected] or
[email protected]. A refund of reservation fees will be made by NAPE less an administrative charge of N75,000 (Seventy Five
Thousand Naira only). For cancellations made after August 16, 2014, exhibit space rental fees paid to NAPE will be refunded only
provided the cancelled exhibit space(s) is resold and all other exhibit spaces in the Exhibition are sold. If this occurs, a refund will be
made, after a cancellation fee is deducted, equal to 30% of the total cost of the exhibition space requested plus an administrative
charge of N25,000 (Twenty Five Thousand Naira only).
6. NAPE reserves the right to cancel or terminate this contract at any time and to withhold possession of exhibit space if the Lessee fails
to perform or abide by any condition or provision of this contract. If this occurs notice will be given in writing and a refund will be made
to the Lessee, after a cancellation fee is deducted, equal to 30% of the total cost of the exhibition space requested.
7. Exhibitor no-shows (non-appearance at conference venue) and last minute cancellations (withdrawal from the exhibition with less
than 6 weeks to the actual Conference and Exhibition event) attract a penalty equal to 40% of the total cost of the exhibition space
reserved. Once NAPE has confirmed exhibition space at the request of a company, it is assumed that a commitment has been made,
which is binding on both parties. No-shows and last-minute cancellations may also be blacklisted from future NAPE Exhibitions, at the
sole discretion of NAPE.
8. The Lessee guarantees that products, items or services to be exhibited or sold are of geological, scientific or general public interest
and will further the purpose of the Conference. NAPE reserves the right to withhold or terminate this contract if it is deemed that the
exhibits are outside the realm and interest of earth sciences, E&P enterprise or the purpose of the conference.
9. No Lessee shall re-assign, sublet or apportion any part of the exhibit space assigned, or have representatives, equipment or materials
from businesses other than its own in the exhibit space unless approved in writing by NAPE.
10. The Lessee shall be responsible for the construction, set up and dismantling of the exhibition booth at the venue, as well as providing
furniture for Lessee’s use. Booth installation takes place at the Eko Hotel & Suites, Victoria Island, Lagos on Sunday, November 9,
2014. Exhibitions will be open to visitors from 8:00 am till 5:00pm daily from November 11, 2014. Booths must be dismantled from
4:00 PM till 10:00 PM on Thursday, November 13, 2014.
11. The Lessee guarantees that booth, displays and products will be installed within the specific space allotted for the Lessee, and will not
infringe on walkways or into space allotted to other exhibitors. Any infringement will be removed at cost to the lessee.
12. NAPE holds no interest in any exhibitor and is not responsible for any exhibitor’s acts or omissions.
13. Notwithstanding anything to the contrary contained herein, if this application and contract (below), signed by Lessee is received by
NAPE before November 10, 2014 or the set-up date for the Exhibition then, then lessee shall be deemed to have agreed to all the
terms of this application and contract.
