11th November 2014 Dear Parents of Year 4 Pupils in 2015 The 2015 Camp Week takes place from 23rd February – 27th February 2015. The Year 4 Camp next year is based at the Southwell School Boarding House. The children will stay in the Boarding House from 8.00am on Monday 23rd February until 1.00pm on Friday 27th February 2015. We do require 8 Live-in Parents (four ladies and four men) to stay overnight with the children, assisting at meal times, after tea activities and with dormitory routines. It would be necessary to be available for the entire four nights. Live-in Parents are required to arrive at the Boarding House by 5.00pm each day and are able to leave after 8.00am each morning. During the day, Live-in Parents are free to go to their work, or back home, or offer to help on any of the day trips that their child is involved in. If you have more than one child at Southwell, please only apply for one camp. Each parent may apply for one camp. Please indicate below if you are available to be a Live-in Parent for the Camp. Once all offers of assistance have been received, each will be considered according to requirements for this camp and an appropriate ratio of adults to students. All applicants will be notified by the end of Term Four conditional on Police Vetting. All student details, medical forms, full consent forms, programme timetable and day trip assistance forms will be sent out to you at the beginning of Term 1 next year We look forward to your response. Be a good role model and encourage pupils during all activities. 3. Create a positive spirit within your group in particular and in throughout the camp in general. 4. Ensure that cabins / rooms have been tidied (Check after breakfast each day.) 5. Supervise Duty Groups: Check what the duties are Check when they have to be done Supervise and assist the group 6. Ensure all children have applied sunblock. 7. Check that pupils have appropriate gear: shoes hat raincoat backpack full water bottle 8. Remind pupils to take any necessary medication (This will be co-ordinated by a staff member or doctor) 9. Assist with the preparation and serving of meals and tidying up after meals. 10. Sit with pupils when eating and supervise, ensuring appropriate table manners and behaviour. For Safety and Risk Management reasons we must request that there is NO Alcohol consumption during camp week. Parents are expected to be onsite at all times, any offsite absences must be approved by the Dean. Refer any pupils of concern to staff members. LIVE-IN PARENT OFFER OF ASSISTANCE FORM YEAR 4 2015 CAMP Southwell School Boarding House Those parents who are selected to be a Parent helper will be required to be Police Vetted. Acceptance onto a camp will be dependent on having a clean Police Vet. However, it takes twenty days to clear so we will process the camp applications from parents as we receive them. Should there be a problem with the Police Vet we will contact parents discretely and confidentially. You will see by the attached form that the process for the Police Vet has changed. The form needs to be completed and then brought to the School office. When returning the form you will need to bring two forms of identification. One must have a photograph on it. (e.g.: Passport, Driver’s Licence, Firearms Licence.) The identification and the completed form can only be brought to the school office by the parent making the request to join camp. (i.e.: You cannot send the form to school with a student.) The form can only be checked and verified by Gloria Archer at the front office, she will be available the week of the 17th November from 8:00am until 4:30pm. Medication All Medication (includes vitamin pills/creams) must be handed to the Nurse on arrival on Monday. Please clearly name all medication and send medication in their original container. OPTIONAL EXTRAS Children must take full responsibility for their: - camera, watch, games, any bedtime soft toy/blanket etc. All personal items must be clearly named. No cellphones, please. Please remember to write to your child. Mail time is exciting. To avoid disappointment it is very important that your child receives at least one letter during the week. Post/fax or leave at the School Office. No gifts or goodies to be included with mail please. If your child has a birthday during camp week it will be acknowledged during dinner.
