Who is eligible to be an exchange student?

Most students of Southern Cross University are eligible, provided they have completed at least one year of fulltime study
(8 units) at the time of exchange and have a GPA of 4.5. Students must have passed all units in their course to date.
Students who have any fail units on their transcript must provide a letter with their application explaining any fail grades
and make an appointment to meet with the Manager of Exchange. Any alleged misconduct by students will automatically
disqualify students from eligibility for participation in the exchange program. Students may reapply once allegations have
been cleared.
Will the subjects I study whilst an exchange student count towards my current course of
study?
Yes, provided the subjects you wish to study are approved by the Board of Studies for your School at Southern Cross
University. Please discuss unit selection with your course coordinator and have them sign off on your course credit
transfer form. This is the most important aspect of your exchange.
How do I know what subjects are available at the overseas institution?
The International Office has handbooks from institutions, some of which contain a brief description of subjects taught.
However, some subject outlines are not offered every semester. If you cannot find course outlines on the internet please
contact us and we will communicate directly with the partner University.
Unfortunately, this information is not always available prior to your application deadline for the semester you wish to
study. Applicants must therefore select eight units in order of preference. In this way, we hope to ensure your enrolment
in at least four of these. It is easier to sort out your units and have them approved before you leave.
How long can I stay at the overseas institution?
You can only stay for one or two semesters as a participant in the exchange program.
If I am studying at an overseas institution then .....
Care must be taken to ensure equivalent units are studied at the overseas institution to those enrolled in
Southern Cross University.
Approval for subjects that you intend to take at the overseas institution must be approved by your course coordinator prior
to application.
You must carry a full-time load to maintain your visa validity and (where applicable) Centrelink payments, ie 12 credit
hours as a minimum.
Any changes in units studied at your overseas institution will necessitate changing enrolment here at
Southern Cross University to avoid excessive or incorrect HELP assessment.
Private health insurance whilst studying overseas will be your responsibility.
What arrangements do I make?
If, as a Southern Cross University student you wish to study overseas as an Exchange student with one of the attached
listed universities, then you need to make arrangements through your School and the International Office. Under these
arrangements, students from Southern Cross University can study at a participating overseas university without paying
fees to that university. However, these exchanges are only permitted on the basis that you must pay HELP charges here.
This means that you MUST REMAIN ENROLLED at Southern Cross University while you are on Exchange, so that your
HELP liability can be determined. Before you go, you must obtain written approval from your Course Co-head/Head of
School to substitute your proposed Units at the overseas university for the Units you would have studied in your Southern
Cross University course.

In the case of Elective Units, you can enroll in the relevant Exchange Elective Unit code(s) created for this purpose. If you
are subsequently unable to do the Units, as approved, you must enroll in something else. You must contact the
International Office at Southern Cross University and obtain approval from your School, for the variation prior to
commencing the units. Approval for unit changes made abroad must be documented on the form titled “Changes to
Proposed Course Credit Transfer Agreement”. This form must be faxed to the International Office with supporting
documents (such as course outlines or syllabi).
You will be charged HELP for the Units in which you enroll. When you return from your Exchange, and receive the results
from your overseas university (by original transcript only), you will be given advanced standing in the Units that you have
passed. You will receive ungraded results only, as you would for other cross-institutional studies.
What happens if I want to stay for an extra semester?
If you decide to stay overseas for an extra term of study, then you must make appropriate arrangements for the
substitution of Units and arrange the Exchange through the International Office, again!
In some cases, students have decided to stay longer but have arranged to study at the overseas institution as a feepaying (rather than Exchange) student. In this case you DO NOT need to enroll concurrently at Southern Cross University
and will not pay HELP here (ie. on the basis that you are paying full-fees for tuition, there). In fact, you need to
WITHDRAW from your Course at Southern Cross University, and explain your intentions. You will be required to submit
an application for re-admission upon your return. If the Units are approved and satisfactorily completed, you will receive
Advanced Standing, when you go through the process of application, upon your return to Southern Cross University. Be
aware you will be subject to international student fees at the host institution which may be considerably more than SCU.
Can I continue to get Youth Allowance/Austudy Payment/ABSTUDY whilst overseas?
Yes, provided you remain enrolled in your Southern Cross University course, undertake subjects that will be credited
towards the requirements of that course, and the workload for those subjects is sufficient to meet the Youth
Allowance/Austudy Payment/ABSTUDY workload requirements, ie a HELP load of at least 0.375 per semester.
You must send Centrelink a letter advising the changes to your study circumstances -- this letter of confirmation must be
arranged through the International Office.
Before you go we advise you contact Centrelink to nominate someone to act on your behalf whilst you are away. It is
difficult to liaise with Centrelink when you are home – add time zones, long distance calls and automated phone systems
and it becomes very very difficult.
For Youth Allowance/Austudy payment students' letters should be forwarded to your local Centrelink Office. For
ABSTUDY students, letters should be forwarded to the ABSTUDY Processing Centre, PO Box 1122, LISMORE, NSW,
2480 (Street address is Conway Plaza, corner Conway and Carrington Streets, LISMORE) .
How much money will I need?
You will need money for your plane ticket, travel insurance, food, accommodation and other personal expenses.
Overseas institutions have agreed to waive their usual semester fees for Southern Cross University students participating
in the Exchange Programme. (However, you will still incur the Higher Education Contribution Scheme charges and
Union fees). Therefore, you will need a minimum of approximately $8,000 for the semester on top of the HELP. Please
note when applying to Universities in the USA and Spain you will be required to show approximately $10,000 AUD at the
time of applying.
We ask you to provide financial information – if not a bank statement, please provide one from your parents or a
guarantor. We will need a letter from them too.
Another alternative is to show us a budget of expenses and how they will be covered – see page 15.
Are there any scholarships available?

SCU has been successful in securing government scholarships through the Endeavour Scholarship Programme. These
scholarships are of between $4000 - $5000 to assist students in financing their exchange experience. This funding must
be applied for in advance and is not automatically granted. Student must submit an essay together with a scholarship,
application form and provide bank details to apply for scholarships. Students are also required to provide a report on
completion of their exchange. Some scholarships do have individual eligibility requirements, please refer to

The Endeavour Scholarship Programme was set up by the Australian Government in part to encourage student mobility at
Australian Universities. The Endeavour programme includes three programmes the; Endeavour Scholarship Exchange
Programme, Endeavour Cheung Kong Programme, University Mobility in Asia and the Pacific Programme.
There are opportunities for flexibility within regions under the Mobility Scholarship – come in and see us for more
information as this is evolving as we apply for scholarships and grants.
If any subsidised student does not successfully complete the approved in-country academic programme and/or the home
institution does not grant the funded student the relevant credit, the recipient institution will be required to refund in full the
relevant student subsidy. In exceptional circumstances, DEST may waive the requirement to refund the subsidy

Information on the Scholarship application form is collected in order to verify the implementation of the DEST-funded
international student exchange programmes; to evaluate the Programmes; and for promotional purposes. The information
collected may be passed to the Australian Government through the Commonwealth Department of Education, Science
and Training (DEST), DEST’s contractors and funding partners. In other instances, information on this form can be
disclosed without your consent where authorised or required by law.
The evaluation process may involve contacting you for your views concerning benefits and provisions of the Programmes
and your treatment by both the home and the host institution.

What is OS-HELP?
OS-HELP is a loan that assists eligible students to undertake some of their study overseas. Students may receive up to
$5,000 per six-month study period for one or two overseas study periods, to assist with a range of expenses such as
airfares and accommodation. Loans are repaid as a part of the HELP scheme and are interest free.
Who is eligible for an OS-HELP loan?
There are a number of criteria that a student must meet to be eligible for an OS-HELP loan. The main criteria are that a
student must be:
*
an Australian citizen or the holder of a permanent humanitarian visa;
*
a Commonwealth supported student enrolled in an undergraduate course of study at an Australian public higher
education provider; and
*
selected by their Australian higher education provider to receive an OS-HELP loan.
Students cannot receive an OS-HELP loan for the first or last year (equivalent full-time) of their course of study.
How do students apply for an OS-HELP loan?
Students can apply to SCU international office for an OS-HELP loan.
How much is the airfare ?
Anywhere between AUD$2,300 and AUD$3,000. It depends on the time of your travel, stopovers you want to have on
the way, and the range of deals being offered by the travel agents. You may wish to travel alone, or go with other
students. There are some great 'stopover' packages available. Make sure you look around thoroughly for the best travel
package before you pay for your ticket.
Do not book any flights until you have received your letter of acceptance from your chosen University.

Can I get any travel benefits as a student?
If you pay for an "International Student Identity Card" you will be entitled to many student discounts. You will also be
entitled to use "Student Travel Australia". However, you may not get any better deal from them, than from the next travel
agent. Identity Card application forms are available from the STA Travel, Pacific Fair Shopping Centre, Hooker
Boulevard, Broadbeach, QUEENSLAND, 4218 TEL: (07) 5526 1599 FAX: (07) 5526 1860. Cost is $18. Application forms
available online at STA..
What about travel insurance?
Make sure you arrange for some. You will not be approved for the SCU exchange programme without sufficient medical
insurance. Some partner institutions require that you take out their cover. Medical expenses in foreign countries can be
extremely expensive. The cost of medical insurance can range between $600-$1000AUD for a semester. Comprehensive
travel insurance covers are available which insure you against luggage theft, damage, etc., as well. This insurance will
probably cost between AUD$250 and AUD$450. Travel agents and medical benefits funds offer travel insurance. The
HCF Travel Plan is an example.
What about passports and visas?
You will need a passport and you will need a visa. Passport applications are available from the local Post Office. They
cost around $208 and are valid for 10 years. It usually takes 2-3 weeks from the time you apply until the time you receive
your passport.
There is no need to apply for your passport until your acceptance at the overseas institution has been confirmed.
It is however, a good idea to ensure you have a full certified copy of your birth certificate available. You will require this to
get your passport, and delays are often experienced in obtaining birth certificates. You will need four colour passportsize photographs.
Visas for USA now require an interview at the American Consulate in Sydney. Appointments need to be made in advance
and often there is a wait of several weeks. It is important to have all documentation prepared for the interview including
your acceptance into your overseas institution.

How much will I need for food and accommodation?
At some institutions, in the USA, on-campus accommodation is available in single sex, or co-ed. buildings. This
accommodation offers a large range of facilities. There are normally 2 "cost plans" available with on-campus
accommodation:
13 Meal/Board Plan: This plan provides 2 meals per day; 6 days per
week; 1 meal on Sundays.
20 Meal/Board Plan: This plan provides 3 meals per day; 6 days
per week; 2 meals on Sundays.
An advance payment for accommodation costs will be required during semester. However, none of these allow for costs
to be paid on a weekly basis.
Further, it should be noted that in the USA, generally, rooms are shared with another student.
Other institutions help with finding off-campus accommodation.
Can I work while I'm overseas?
Foreign students generally may NOT work off-campus. Some part-time work may be available on-campus (in kitchens,
linen service, etc.), however, wages are low.
What clothing should I take?
If you will be there in the winter it gets extremely cold, some places have lots of snow.
Heavy, warm clothing is much cheaper to purchase overseas than it is here.

SO WHAT IS THE PROCESS IF I WHAT TO GO ON EXCHANGE?
STEP 1 - INVESTIGATE
 Talk to your family, friends and your Lecturers about going abroad
 Research the country and institution you are interested in going on exchange to.
 Read the information provided on the exchange website
 Draft a budget
 Plan your academic goals for going abroad
STEP 2 – ATTEND AN INFORMATION SESSION
 Check the exchange website for the dates of exchange information session. These sessions are a
requirement of entry into the exchange program
STEP 3 – APPLY
 Discuss your exchange with your Course Co-ordinator and receive sign off on your Credit Transfer form
 Complete the attached SCU application form
 Complete the host application form
 Attach ALL required documents and hand in to the International Office
 If your application is complete and you meet academic requirements your application will be sent to the
Host Institution.
STEP 4 – WAIT FOR A REPLY FROM THE HOST INSTITUTION
 Start to investigate airfares, visas, insurance and travel plans
DO NOT BOOK ANYTHING UNTIL YOU HAVE YOUR ACCEPTANCE
STEP 5 – ACCEPTANCE
 Once you receive your letter of offer you may need to accept in writing.
 Book airfare, travel and medical insurance
 Apply for visa
 Enrol into subject abroad and apply for accommodation if necessary.
 OS Help loans and DEST grants will be allocated at this time.
STEP 6 – ATTEND A PREDEPARTURE SESSION
 Complete the insurance, flight and visa details form
 The International Office will enroll you into exchange electives.
STEP 7 – BON VOYAGE! – GO ON EXCHANGE
STEP 8 – RETURN TO SCU
 Arrange for your grades from the Host Instiution to be credited to SCU.
 Finalise all DEST grant reporting
