Each and every one of these events are vital to the hospital, because we rely on the money that our friends in the community raise for us through events. Great fundraisers can be organized by people of all ages! Some of our most successful events have been organized by kids through their schools, clubs, and sports teams. Almost anything can be turned into a fun way to raise money for Children’s! The success of your special event is important to you and your community. Experience has taught us that events succeed because of the effort and commitment of their planners. To ensure your success, our professional staff is prepared to advise you through your planning process, from recommending ideas for events to providing advice on how to manage logistics. We hope the information on the following pages is helpful as you plan your fundraising event. Please note that you must obtain permission from the Event Coordinator to use our name and/or logo. All events must be approved by the Event Coordinator, including date and format. All materials with our name and/or logo must be approved by the Event Coordinator before distribution. We are unable to reimburse and/or fund expenses, provide mailing lists of our donors, or promote your event to an external audience. Children’s National Medical Center reserves the right to participate in similar promotions and special events. Sponsorships are often an important part of a special event. Due to potential conflicts of interest and existing business relationships, Children’s National Medical Center reserves the right to decline any sponsorship, or the solicitation of specific sponsors. Due to HIPPA regulations, we are unable to provide any unpublished patient information or stories to groups interested in supporting a specific patient or patient family at Children’s. Artwork by Shelby Koons, age 6 • Promoting Your Event T o maximize participation in your event and let people know the creative ways you are supporting the young patients at Children’s National Medical Center, we encourage you to promote your event through printed materials and other forms of outreach. Please follow these guidelines when communicating about your event. > Logo The “Dr. Bear” logo can generally be used for events that have been approved by Children’s National Medical Center. Any print or electronic use of the logo must be approved in advance and must adhere to established design standards. > Promotional Materials Children’s National Medical Center requests the opportunity to review and approve all promotional materials including the use of the Children’s National logo, advertising, letters, brochures, flyers, media advisories, press releases, and other promotional materials prior to production and distribution. Part of this review is to ensure that your partnership with Children’s National is described accurately. > Media Outreach The PR & Marketing team and Children’s Hospital Foundation staff have established guidelines about media outreach for fundraising events. Please secure approval from the event coordinator before announcing your event publicly, inviting the media to your event, or issuing any media advisory or news release. In general, Children’s National staff will not provide media support for events planned by other organizations. We welcome the opportunity to review your materials, provide language describing Children’s National, and offer other support as appropriate. > Endorsements While Children’s National Medical Center welcomes the support of any individual or organization, Children’s National does not endorse any product, firm, organization, individual, or service. We respectfully request that you promote and conduct your event in a manner that avoids statements or appearances that imply an endorsement by Children’s National. > Photography Don’t forget to photograph your event! Photos are a great way to promote your event after it’s over – on your website, blog, newsletter, or annual report. Please share photos with us – we love to see all the ways people are supporting Children’s National! The Fine Print C hildren’s National Medical Center will issue tax receipts for any donations made payable to Children’s Hospital Foundation and accompanied by comprehensive contact information. Tax receipts will ONLY be issued if checks are made payable to Children’s Hospital Foundation. Please allow four weeks from delivery date for tax receipts to be issued. Tax receipts will be issued for non-cash contributions if accompanied by documentation from the donor noting the item(s) donated, the fair-market value of the item(s), and the purpose of the contribution. Please note that receipts for non-cash contributions do not include a dollar value; this is the responsibility of the donor according to the Internal Revenue Service. For tax purposes, you should seek guidance from a tax professional to determine the amount of your charitable contribution. Children’s National Medical Center is unable to reimburse and/or fund any expenses for the event. Children’s National Medical Center is not financially or otherwise liable for the promotion, organization and execution of special events. Special event organizers must provide insurance certificates.
