MESSAGE FROM THE EBC PRESIDENT
Dear Colleagues, Trade Representatives and Suppliers,
On behalf of the European Brewery Convention it is a pleasure to welcome you to visit Porto for the 35th EBC congress. Our congress will be held at the Congress Centre Alfândega facilities overlooking the River Douro, its picturesque backdrop of architectural delights, port wine houses and barges. The second largest city of Portugal will be
the perfect setting for our technical, technological and scientific lectures and presentations.
A new approach which has been suggested by members of the EBC Executive Committee, and endorsed by the Local Organising Committee, aims to give institutes and university departments more of a say in the selection of
abstracts. Additionally, some sessions will be offered not just in dual parallel but in triple sessions in order to accommodate more high quality papers.
Porto is atmosphere, Mediterranean flair, a whiff of the former Portuguese global empire, wonderful cuisine and so
much more. It would be my recommendation to visiting delegates to make ample use of synergy effects to explore
this marvellous city, its seaside and hinterland all during the time of the EBC congress 2015.
EXHIBITION
As at previous EBC congresses, a trade show exhibition will again be part of the 35th EBC congress in Porto in May
2015. The venue in Porto (Alfândega Congress Centre) offers excellent facilities for this. The exhibition will be set
up in the area where the beer dispense is located and where the coffee breaks and lunches will be served, close to
the scientific and technical posters. Details can be found in this brochure, while regular updates will be published
as of middle of 2014 on the congress website: www.ebc2015porto.org
The EBC Congress attracts about 600 industry delegates who travel from all over the world to listen to and view
scientific & technical papers and posters, covering recent developments and breakthroughs in the brewing, malting
and related industries – and also to have the opportunity to meet industry suppliers and knowledge brokers.

THE VENUE
The congress will be held at the Alfândega Congress Center which is an iconic riverside venue in Porto´s Historic
City Centre, a UNESCO World Heritage Site 10 minutes away from the main hotels in Porto and less than 30 minutes
from the International Airport and train stations.
The 150 years old Congress Centre building architecture contains unique forms and natural spaces.
The exhibition will be set up on the West Ground Floor close to the two lecture halls. Several beer bars will be incorporated into the exhibition at different positions right next to the exhibition booths to ensure an even distribution
of the delegates throughout the entire exhibition during the conference breaks.
HOTEL RESERVATION
Porto has a wide range of hotel capacities and offers accommodation from 5 star deluxe hotels to lower budget accommodation including even a modern youth hostel for student delegates. MUNDICONVENIUS has made advanced
reservations for congress delegates with special rates and conditions in several hotels. All hotels are located near
the congress venue or in the city centre and are well connected with the congress venue.
Hotel booking details will be announced in the Provisional Programme and on the congress website.
APPLICATION AND CONTRACT FOR STAND RENTAL
Reservations of exhibition stands must be made using the exhibition stand reservation form included in this brochure, which should be completed, signed and returned to MUNDICONVENIUS before April 15, 2015 to guarantee
listing in the final programme.
The reservation form is a legally binding agreement. Receipt of the application will be confirmed (check Terms of
Payment). In the event the exhibition space is be sold out you will be informed immediately.
Additional stand equipment, decor and services, including additional tables, chairs, electrical outlets, telephone lines
and internet access lines will be available to exhibitors at an additional cost. The order forms for these items will be
included in the Exhibitor Service Manual which will be sent to registered exhibitors by the end of February 2015.
Exhibitor applications will be processed and stands assigned when payment is received. Kindly be advised that the
number of stands is limited and expected to sell quickly. Therefore, exhibitors are encouraged to submit their completed exhibitor application and payment as soon as possible.
Exhibitors may not “sub-contract” (i.e. resell) stand space to any other organization or individual. Sub-contracting,
reselling stand space and/or leasing time in a stand are violations of event policy and will result in expulsion. In
such instances, stand fees will not be refunded.

HOW TO BOOK AN EXHIBITION STAND
Stands will be assigned to the exhibitors on a first-come, first-served basis.
The signed stand application form must be completed using the official form included in this prospectus. Applications should be mailed to MUNDICONVENIUS.
Kindly indicate the requested stand(s), your desired number of stand(s) according to the floor plan and your
second and third alternative choices. The final allocation of your stand by MUNDICONVENIUS depends on availability, sizes and overall conception. To view which stands are still available, please check the congress website
(www.ebc2015porto.org).
If you are interested in booking more than one exhibition stand (per stand 4x3m or 4x2 m), please let us know and
kindly also mention your desired numbers according to the floor plan.
Stands cannot be assigned without a signed application, to be sent in by April 15, 2015 at the latest.

The exhibit space will be in the form of standardized shell scheme stands, of which the dimensions are:

All fees are net in EURO, to add Portuguese VAT 23% or to apply VAT reverse charge system.

STAND ALLOCATION
The exhibition will be located in the West Ground Floor of the venue where coffee and lunches will be served. There
will be several seating opportunities, bistro tables and beer bars in the exhibition. An internet station will be
nearby.

When you have viewed the floor plan, please send us your exhibition order form by mail; indicate your preferred
stand number and your preferences regarding your stand neighbours. Space is limited and the exhibition stands are
assigned on a “first come, first served” basis.
The organizers reserve the right to modify the exhibition floor plan before the construction of the stands.
CONGRESS PROGRAMME
The scientific programme of the congress will comprise invited lectures, submitted lectures and poster presentations with discussions. The presentations will cover different aspects of brewing science and technology, including
the application of new technologies, starting with raw materials, including brewing, packaging and distribution
processes and ending with consumer consumption.

PROVISIONAL CONGRESS PROGRAMME
The Provisional Programme with detailed information about the scientific and social programmes, hotel accommodation and registration will be published in January 2015. The same information will also be published on the
congress website www.ebc2015porto.org
Those who register for the exhibition will automatically receive a copy of the Provisional Programme.
EXHIBITOR SERVICE MANUAL
A technical manual giving further general and technical information, advice and full details on all aspects of the
exhibition, venue, organisers and ancillary services available to exhibitors will be circulated in February 2015.
EXHIBITOR GUIDE IN THE FINAL PROGRAMME
All exhibitors will be requested to submit product information for publication in the congress documentation. Attached to the confirmation of your stand application we will send you a form to be completed with your company
details and your product information.
CONGRESS APPLICATION FOR SMART PHONES (APP)
There will be a Congress Application for smart phones which will contain all exhibitor profiles, the floor plan and the
congress programme. Please check the opportunities using this application as a platform for your company.
TERMS OF PAYMENT
An invoice for 100% of the total rental fee will be sent to the invoice address indicated by the sponsors and exhibitors on the reservation form in February 2015. Payment is due 30 days net after invoice date. Non-receipt of payment will automatically result in the release of the reserved space, a forfeiting of the deposit fee and cancellation
of the contract.

OFFICIAL CURRENCY/ VAT REGULATIONS
All exhibition costs are quoted in EURO. All mentioned prices are subject to Portuguese VAT at the statutory rate
(in 2014: 23%). VAT reverse charge may be applied. Place of performance and venue of jurisdiction is Porto. The
Portuguese law applies.
LIABILITY
Whilst the Exhibition Organizers will endeavour to protect exhibition property during the exhibition, it must be
clear that none of the organizing parties will accept liability for any loss or damage sustained or occasioned from

Exhibitors will be responsible for all damage to property and for any loss or injury caused by them or their agents or
employees and will indemnify the Organizers against all claims and expenses that might arise. In case the exhibition should be cancelled, postponed or altered in any way in whole or in part the exhibition organizers shall not be
liable for any loss which the exhibitor or exhibition contractors may incur owing to the intervention of any authority
which prevents or restricts the use of the premises.
TERMS AND CONDITIONS OF EXHIBITING
Please note that all exhibitors have to comply with the Terms and Conditions in this document and also the specific
regulations of the Alfândega Congress Centre that are available on request. Signature of the reservation form implies
acceptance of these conditions. You should, in particular, refer to the information regarding insurance and liability.
INSURANCE
Exhibitors are reminded of the need to consult their Insurance Company to cover themselves fully against all risks
at the Exhibition. Particular attention is drawn to the need for the following:
Abandonment insurance: As mentioned above the Organizers are not obliged to reimburse any money paid in advance in the case of cancellation or restriction of the exhibition.
Stands, fixtures and similar insurance: All risks on loss or damage to the exhibitors’ property, fixtures, fittings and
all other property of a similar nature such as personal effects of directors, principals and employees whilst on the
premises and transit risks from the exhibitors’ premises and return.
Public Liability: Liability to the public may arise out of the exhibitors’ activities and must be covered by insurance.
Insurance should be effective with minimum delay.

INFORMATION REGARDING THE RESERVATION PROCEDURE
Dear exhibitor.
We kindly ask you to complete the documents above.
We will consider the signed reservation form as a binding agreement. A cancellation however will cause cancellation fees.
When allocating the stand space we apply the principle „first come, first served“. The stand allocation additionally
depends on the size of your stand, the local situation, and the information provided on the reservation form. We
will do our best to comply with your requirements. However without any guarantee.
We plan the exhibition on the basis of the information provided by the exhibitors on the attached reservation forms.
In case you do not provide exact information regarding the desired placement, MUNDICONVENIUS reserves the right
to re-allocate your stand depending on the on-site prerequisites.
Kindly also complete the document; “important company details”, to make sure that all important company information such as invoice address, complete company name for print media and the stand display, contact data of the
persons actually attending the exhibition etc. will be stored properly in our database.
After having received this reservation we will invoice 100 % of the rental fee in February 2015. In case we need to rewrite an invoice due to incomplete information provided by you there will be an extra handling fee of EUR 100,00 net.

MUNDICONVENIUS - GENERAL TERMS AND CONDITIONS FOR SPONSORS AND EXHIBITORS
Introduction
Article 1 - Scope of application
These general terms and conditions apply to any business relationships between Mundiconvenius (Sociedade
de Congressos e Serviços Lda.) in its capacity of event
organizer, hereafter designated as MC and all sponsors
and exhibitors hereafter designated as COMPANY, involved in the organization of exhibits at the congresses, conferences and any other events organized by MC.
Article 2 - Application, assignment of sponsoring
items and exhibition location
a. Beyond these general rules and regulations the COMPANY is also bound by the rules and regulations of the
venue where the event is taking place.
These rules, regulations and building constraints are detailed in the Technical Exhibitors’ Manual.
b. Orders for the exhibition space and sponsoring as
stated at the Sponsoring and Exhibitors Brochure will
be accepted from ………….. To be valid, all applications must be sent by email using the original order
form herein enclosed and addressed to MC.
c. As a rule, the selection of the different sponsoring
items and the location of the booths will be made on a
“first come, first served basis” and the confirmation will
be made in writing. The final allocation of the selected
space depends on the availability and the size of the
construction.
Spaces will be assigned only when payment is received.
MC will do its best to accommodate COMPANY requests
to the best of its ability.
d. MC and the Organizers reserve the right to change
the floor plan of the exhibit area due to unforeseen
circumstances.
Article 3 - Contract
a. The signature of this document by the representative
of the COMPANY confirms the acceptance of the general
terms and conditions hereby stated and operates as a
contract.
b. Upon receiving this document duly signed together
with the order form for the services and/or equipments
required, MC will issue an invoice which terms of payment follows in article 4 below.
Article 4 - Terms of payment and cancellation
a. Upon acceptance of the order form, MC will mail
a confirmation of receipt and an invoice for the full
amount to be paid by the COMPANY.
100% of the invoiced amount must be settled within 30
days of the date of the invoice, at the latest. In the
event the order is received 45 days before the event,
payment must be made immediately.
Failure to pay in full by this deadline will lead to the
cancellation of the right to use the booth or other services without reimbursement of the deposit paid.
b. Payment may be made through bank transfer, details
as follows:

prevailing exchange rates at the date of the invoice.

be paid 30 days prior to the opening of the event by
settlement of the corresponding invoice. Failure to do
so will result in the items not being available at the
exhibit site.
d. In case of cancellation of the Exhibit Contract by MC
in its capacity of the event organize, due to circumstances or events beyond its control (force majeure),
the amounts paid by the COMPANY will be refunded with
15% deducted for administrative purposes.
e. Whenever the COMPANY fails to meet its obligations,
notably with respect to payment of the due fees, MC has
the right, to immediately terminate the contract without liability for any damages, direct or indirect, incurred
by the COMPANY as a result of such termination.
The termination will be communicated in writing to the
COMPANY.
f. Rewriting invoices based on incomplete or wrong information provided by the COMPANY are subject to an
handling fee of EUR 100,00 net.
g. All cancellations by the COMPANY must be sent in
writing to MC by e-mail at [email protected]. Any other means of correspondence will not be
accepted and the following cancellation penalties will
be applied:
• 25% of the total invoice amount if
cancellations are received before 15 January 2015
• 50% of the total invoice amount if
cancellations are received before 15 February 2015
• 100% of the total invoice amount if the
cancellation is received after 15 February 2015
Article 5 – Force majeure
MC is not responsible for either the partial or total nonexecution of the contract in the event of accident, an
act caused by a third party, or in case of “force majeure”
such as: government or local authority acts, total or
partial strikes, lockout, fire, threats to public safety
including, war, terrorism, health hazards, natural disasters, flood, or other comparable events or disasters
which prevent the organization of the event leading to
the cancellation of the event.
Article 6 - Fiscal policy
All prices indicated in the Sponsoring and Exhibitors
Brochure are subject to VAT, if and whenever applicable.
Tax liable persons, non-resident in Portugal, may be
subject to the conditions of art 6 of the Portuguese Tax
Code (reverse charge).
Article 7 - Booth area
a. The COMPANY shall keep its space permanently accessible, clean and in good order throughout the exhibition
period.
b. The booths are intended exclusively for the promotion
of products and cannot be used for any other purpose.
c. The booths must remain open and functioning
throughout the entire event.
d. Subletting or sub using (part of) the space by the
COMPANY without prior written approval from MC is not
permitted.
The Company may not “sub-contract” or resell the stand
space to any other organization or individual. Sub-contracting, reselling stand space and/or leasing time in a
stand are violations of the event policy and will result
in expulsion. In such instances, stand fees will not be
refunded.
e. Demonstrations of any kind within the booth area will
be permitted only after prior written approval from MC.
f. The COMPANY shall be liable for any personal injury
or property damage arising from the working of equipment, machinery, devices and any and all actions implemented at the booth area.
g. The construction of non standard booth plans must
be approved by MC and the venue. Details will be indicated at the Technical Exhibitors’ Manual.
h. The COMPANY is fully responsible for compliance with
the regulations regarding fire and to accident prevention. No exhibit, display of products or working dem-

onstrations, which involve substances of a dangerous,
explosive or any kind of objectionable nature may be
brought into or held in the venue unless specifically approved in writing by MC and the congress center.
i. The use of megaphones, loudspeakers or any other
means of audio playback is strictly prohibited.
j. MC has the right to take pictures and film or video
the exhibitor area and to use this material for advertising and/or press publications. The exhibiting company
is not entitled to set forth any claim in this regard or
request any remuneration.
Article 8 - Leasing, construction, decoration and dismantling of the booths
a. Unless the application form specifies otherwise (and
provides for a standard booth with additional service,
fitting and installation) the area is rented without providing any additional services such as: fittings, installation, etc .
b. The installation, operation and dismantling of the
booth spaces and the display of products or exhibits
must take place in consultation with MC who may give
specific instructions and directives and issue regulations.
c. After the contract has been established, the Technical Exhibitors’ Manual containing further information
concerning the exhibition, together with order forms
for services and additional fittings regarding the construction, installation and decoration of the area (e.g.
telephone connections, electrical installation and electrics, water, drainage, space heating, gas etc.) shall be
provided by MC to the COMPANY .
The COMPANY must order the services and additional
fittings and pay the respective invoices in a timely manner, as instructed by MC. Detailed instructions for payment are described in Article 4.
d. MC shall inform the COMPANY in writing of the date
and time when the booth area shall be available for
installation and decoration, the date and time by which
the booth space must be completed as well as the date
and time for the dismantling.
Except for the date and times indicated by MC, no construction and installation work and the carrying in of
goods is allowed. These dates and times may be changed
by MC.
e. Should the COMPANY for any reason fail to remove all
its property or otherwise fail to vacate the area by the
date and time specified by MC, the COMPANY shall be
held fully responsible for any penalties imposed on MC
or any other losses or costs incurred by MC as a result
thereof. MC can remove any property of the COMPANY
from the booth space after said time at the COMPANY’s
expense, without suffering any liability for loss or damage to such property.
f. Plans with respect to any construction, decoration
and further fittings are to be submitted for approval
to MC within the time limits specified in the Technical
Exhibitors’ Manual. MC may introduce all necessary
amendments to the COMPANY’s planned construction,
decoration and activities.
No construction can take place, decorations be made
or activities undertaken without the prior written approval by MC. MC reserve the right to modify the exhibition floor plan before the construction of the stands.
The COMPANY shall not change the construction, decoration, and activities from the approved plan without
prior written approval by MC. The COMPANY is responsible and liable for all extra costs associated with the
COMPANY’s proposed plans.
Article 9 - Liability, Indemnity and Insurance
a. MC is not responsible or liable for expenses, losses
and damages of any kind incurred or sustained by the
COMPANY or any harm or injury to any person(s) connected thereto, irrespective of how these expenses,
losses, damages, harm or injury may have occurred, except such as may arise from willful misconduct or gross
negligence by MC.

b. MC is not responsible or liable for the incorrect operation of any or part of the technical installations at the
Congress Centre, and cannot be held liable for damages
of any kind incurred by the exhibitor, caused by insufficient or incorrect operation of these technical installations or parts thereof, except such as may arise from
MC willful misconduct or gross negligence.
c. The COMPANY accepts full responsibility and liability for the repair of any damages directly or indirectly
caused by the COMPANY to the property of the Congress
Centre or third parties.
d. The COMPANY will hold MC harmless and undertake
to indemnify MC in respect of, but not limited to, all
claims, actions, proceedings, costs, expenses, damages
or liabilities, including bodily injury, harm or death,
arising from or in connection with the construction,
decoration, operation, activity or dismantling by the
exhibitor of the booth area during the exhibition.
e. The COMPANY accepts full responsibility and liability
for all costs for legal procedures, legal and other expert
aid, incurred by MC as a result of the COMPANY not complying with the contract.
f. The COMPANY shall adequately insure all their property and personnel against all damages to their property
or personnel, and all damages to the Congress Centre’s
property or other third parties caused by their properties, themselves or their personnel.
g. Deadline for any claims is three months after the
event.
Article 10 - Publicity
a. The COMPANY is allowed to advertise only within the
confines of its rented space.
Non-participants or third parties are prohibited from
advertising in the exhibit halls or presentation rooms,
as well as in the entrance or exit areas.
The COMPANY is not allowed to distribute advertising
material outside the booth area or in the vicinity of the
Congress Centre, to make any announcements regard-
ing the exhibition on the radio and/or television nor to
make recordings for commercial purposes without prior
written approval from MC.
b. The COMPANY shall allow MC or its legal representatives to publish a catalogue, compiled on the basis of
information to be supplied by the COMPANY.
The COMPANY shall submit the required information according to the instructions provided by MC. MC does not
accept any responsibility or liability for any errors and/
or omissions in the catalogue.
Article 11 - Data protection
a. MC treats all person-related data in accordance with
the provisions of law and particularly in accordance
with the requirements of Law nr 67/98 of 26 October Portuguese Data Protection Authority.
b. The collection, storage and processing of personal
data are exclusively related for the purpose of organizing and carrying out the event and are only transmitted
to third parties directly involved in the event .
c. With the signature of this document, the COMPANY
declares its consent that the personal details in the
form may be collected, stored, processed and made
available to third parties within the scope of carrying
the event in question.
Article 12 - Miscellaneous
a. Catering activities and catering related activities in
the booth area are only permitted after prior written
approval by MC and the Congress Centre. No prior approval is required for keeping drinks and foodstuffs in
the booth area that have been obtained from the catering department of the Congress Centre.
b. MC staff and persons duly authorized must at all
times, during and after construction, be permitted free
entrance to all booth areas.
c. Among others, officials from the Fire Brigade, Police
or similar governmental authorities, and Security Officials authorized by MC and the Congress Centre, shall be

deemed to be duly authorized persons under the contract.
d. The COMPANY is not allowed to have goods in the
booth area which cause a nuisance owing to their offensive smell or in any other way cause a nuisance, to
set in action any device producing objectionable noise
or light effects, and/or keep them available.
e. In case of a disturbance of the peace at the exhibit,
caused directly or indirectly by the COMPANY, MC is authorized to shut down the booth and remove all persons
and/or products to restore order. In the event of such
an occurrence, MC will terminate the contract forthwith,
without the COMPANY having any right of restitution
of any and all costs it may have incurred. The COMPANY shall be fully responsible and liable for all costs
resulting from the disturbance and the measures taken
in connection therewith.
f. The terms and conditions of the Congress Centre are
supplementary to these Terms and Conditions. In case
of conflict these Terms and Conditions will prevail unless otherwise specified.
g. If the COMPANY has failed to meet their obligations,
MC may:
1) keep possession of the COMPANY’s goods,
present in the Congress Centre, or have them stored at
the expense and risk of the COMPANY in order to ensure
that the obligations hereby stated will be met, without
prior intervention of a Court.
2) place the collection of the amounts due by
the COMPANY in the hands of a third party and charge to
the COMPANY all costs both in and out of court attendant
upon the collection of the amounts due, to the COMPANY,
whether or not increased with the legal rate of interest
applicable, as from the date the amounts are due.

exclusive place of jurisdiction to be the court of law
