2015 Hawaii Trip Student Rules/Guidelines Dear AHHS Band Parents and Students: The time is drawing near for the Alamo Heights High School Band to travel to Hawaii. The dates for the trip are March 7-­‐12, 2015. We will be having a parent meeting on Monday, February 23rd at 6:30pm in the Alamo Heights High School band hall. We need at least one parent and the band student at this meeting. This meeting will inform you of the trip schedule, rules, expectations and answer any questions that you might have concerning the trip. The following is basic information you will need concerning the trip. Please take a moment to look through this packet and organize your plans. Trip Philosophy The 2015 Trip to Hawaii is a chance for the AHHS Band students to expand their social, cultural, historical, and musical horizons. This experience will give our students an opportunity to create memories, foster friendships, share music and bring these experiences back to San Antonio. Our philosophy is that we will work diligently, be open to new people and experiences, and to reflect thoughtfully on this exciting opportunity. Many times when we are with a big group of people, we forget that there are other non-­‐band people around us. The representation of Alamo Heights High School and our community should be in the front or our minds at all times. We will be around people from all over the world. Our goal is for every person who comes in contact with us to leave with a wonderful view of the Alamo Heights Band. Sun screen, sunglasses, hat LABEL ALL ITEMS CLEARLY WITH YOUR NAME!!!! Money Needed 1. Shopping money 2. Souvenirs and extra meals if needed 3. Many meals are included. Look at the itinerary for meals that are “on your own” 4. Breakfast is already paid for at the hotel each morning 5. There is really no set amount to bring as personal spending habits will dictate how much to take. Chaperones The chaperones are with us to help us. They want to make this trip as enjoyable for everyone as possible. They will check rooms at the hotel, supervise while we travel, and assist with all events at the performance site. Students are expected to treat all sponsors with respect and courtesy at all times!!! Illness/Medication Report any illness to your directors or chaperones. Medication that can be self-­‐administered by the student needs to be carried with care and listed on the attached medication form. ALL MEDICATIONS (PRESCRIPTION OR NON-­‐
PRESCRIPTION) MUST BE LISTED ON THE MEDICATION FORM. All medication must be in original containers and be labeled with the student’s name and medication name. Prescription medication must have a pharmacy label on the container. Luggage 1. Baggage fees will be charged on bags and instruments that are checked. Fees for checked baggage are $25 for the first bag and $35 for an additional bag. This charge is for each way. In order to expedite the check-­‐in procedure at the airport, we will pay the fee and you can pay the fee to the band. Information about luggage requirements can be found at: a. All baggage should be labeled with your name. 3. Instruments that are not allowed as a carryon must be checked. Band will pay for the luggage fees for instruments. We will rent: tubas and large percussion. 4. YOU CARRY EVERYTHING THAT YOU BRING!!! Flights 1. We are grouped into two flight groups. Group A is the largest group (73 people) and flies on United Airlines with a layover in San Francisco. Group B has 20 people on it and flies on American Airlines with a layover in Los Angeles International. Both groups have students with adult chaperones and directors on each flight. Students will know which flight group they are in soon. 2. We will communicate specific procedures to the students about going through security and boarding the plane. These include, but are not limited to: a. Most of our adults will go through the security checkpoint first to be there for the students as they come through. Two adults including Mr. Stephenson will be the last through security to make sure all are through. b. Make sure you abide by all TSA rules regarding what you can bring on the plane in your carry-­‐on. You can find that information here: http://www.tsa.gov/traveler-­‐information c. We will be assigned seats on the plane, and you will probably not be assigned a seat that is by your friend. We will board the plane and sit in the assigned seats until we are given the green light to change seats. At that time, you may change seats one time with another AHHS Band member only. 3. You will need to bring a snack unless you would like to purchase a meal on the plane. We have a fairly short layover on the trip to Hawaii, and it would be best to be prepared with food. Do not bring water with you as TSA will not let you take it through security. You can bring an empty water bottle and fill it after you get through security. 4. Make sure you wear your polo and jeans on the plane from Austin to Hawaii. Hotel Information 1. We will be staying at a very nice hotel – the Hyatt Place Waikiki Beach.. 2.

A room captain will be appointed by the Directors. They will be in charge of handing out all of the keys to your roommates and turning in your keys Thursday morning at check-­‐out for the entire room. You are responsible for your belongings at all times. There will be no “swapping” of rooms. Keep the noise down in the hallways and the room. There are other guests in the hotel. There will be a police officer assigned to AHHS in the hallway the entire night. They are there to keep us safe and ensure we follow the rules. A chaperone will inspect your room and go over procedures with you at the Saturday evening check-­‐in. They will also check your room in the morning for check-­‐out…the room must look the same. Curfew will always be communicated with you…DO NOT OPEN YOUR DOOR after curfew. Keep your door locked at all times and do not open it unless the person announces to you by name who they are from the Alamo Heights High School Band as a director or a chaperone. You are responsible for any damages or missing items from your hotel room. NO OUTSIDE PHONE CALLS FROM THE HOTEL ROOM PHONES. Do not enter anyone else’s room for ANY reason. Do not use room service or try to use the pay-­‐per view service. These services will be turned off. Do not call the front desk for a wake-­‐up call. We will take care of this. NO GIRLS IN BOYS’ ROOMS OR EVEN NEAR THEM NO BOYS IN GIRLS’ ROOMS OR EVEN NEAR THEM Breakfast will be served each morning and is already paid for. All students should be present for breakfast. 11.

Impressions in General 1. You are a “walking billboard” for the Alamo Heights High School Band Program. 2. Be a class act at all times!! 3. Be polite and courteous to others. No vulgar language will be tolerated. Common Sense There is no way we can anticipate every possible scenario. All we expect is that you use good judgment and common sense. Rule of thumb: IF there is a question in your mind as to whether you should do something or not…DON’T DO IT!! Discipline 1. This is a school trip and all school rules apply. 2. Violation of these rules may subject you to severe consequences and possible removal from the AHHS Band Program. 3. Further consequences will be followed-­‐up by an administrator back at Alamo Heights High School following the trip. 4. Drugs, alcohol, tobacco products or any other illegal substances are strictly forbidden on this trip. 5. All Alamo Heights ISD rules apply on the entire trip. While we do not anticipate any problems, we are prepared to deal with them. This letter is the only warning that the students will be given. Students who fail to follow the trip rules/guidelines may be dropped from the AHHS Band Program and face possible ISS or suspension. We are confident that there will be no problems. If we anticipated a problem, we would not be taking this trip. Parents, please review all of this information with your child. When you are familiar with the rules and guidelines, please sign the appropriate spaces on the next page. If you have a problem with any of the rules then DO NOT SIGN IT.
