Parish Secretary / Receptionist
Parish Secretary / Receptionist
The Parish Secretary is responsible for the overall smooth and professional operation
of the parish office. Working under minimal supervision and with a high degree of
confidentiality, the Secretary provides overall secretarial and administrative support
for the Pastor and staff within the parish mission, vision and goals. Duties include (but
are not limited to):
 Maintaining parish records and files (i.e. baptisms, marriages, deaths, first
communion and confirmation) both in written registers and in Parish Friendly
 Preparation of certificates for the various sacraments
 Liaison between parishioners, guests, diocesan offices and the pastor and staff
 Administrative support for Parish Pastoral Council, committees & ministries
 Preparation of a variety of parish & committee reports and documents
 Receptionist duties, including receiving visitors, telephone calls, email – all in a
warm and welcoming manner, providing information, referral and assistance as
required

an administrative/secretarial role. You will have a demonstrated ability to work
independently and with a high degree of reliability and professionalism. You must be
proficient in Microsoft Office Suite of programs including Excel, and familiar with (or
willing to train in “Parish Friendly”. You will have above average written and oral
communication skills, strong organizational and planning skills, and the ability to
prioritize and work well in a multi-task environment.
