To address India's need for sustainable and inclusive growth, in partnership with stakeholders, GIZ’s key focal areas are: Energy (renewable energy and energy efficiency), Mitigation of greenhouse gas emissions Environment (sustainable urban and industrial development, natural resource management, climate change adaptation, biodiversity) Sustainable economic development (rural finance, social security systems, small and medium enterprises) Skill development (http://www.giz.de/de/weltweit/368.html) Background to the project: The government of Karnataka is currently starting a “Green Logistics” project with the support of GIZ focusing on sustainable supply chains for agricultural products into cities.The project seeks to improve food security and the access of the urban population (in cities like Bangalore , Mysore) to fresh affordable food (perishables) at the same time ensuring a reliable income for the small and medium sized farmers in the rural areas. The project is embedded in the recently established “Green Growth Agenda” of the Karnataka state. A. Responsibilities performing general clerical services assisting with filing documents in reference files or DMS in line with GIZ’s filing rules helps organise events and document meetings, workshops and seminars within or outside the project B. Tasks Preparation of small contracts Preparation and Documentation of service requests and enquiries Preparation of invoices for financial procedures Handling of petty cash and book-keeping as per GIZ procedures Administrative support for preparation and implementation of trainings, conferences, Support to travel management of staff and participants, including flight and hotel bookings Coordination of meeting appointment for director of unit and staff meetings Preparation of minutes of meetings etc. Photocopies and scans documents as needed Organises and compiles information materials Labels files in accordance with GIZ filing rules Completes forms and tables in accordance with specific instructions from the administrative manager helps prepare visitor programmes, draws up travel schedules, organises transport of visitors and makes hotel and ticket reservations participates in internal and external (team) meetings and workshops and assists with documenting these, e.g. by writing minutes regularly draws up a list of forthcoming meetings and events C. Required qualifications, experience and competences Qualifications: Bachelor degree, preferably in finance Certificate/diploma in secretarial assistance from a recognised institute Professional experience: at least 2-4 years’ professional experience in a comparable position experience in project and event management Additional competences: good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office) Fluent written and oral knowledge of English, Kannada and Hindi.
