Thank you for enquiring about wedding celebrations at Linthwaite. The Lake District is rightly famed for its romantic landscape and unparalleled views. We believe there are none better than from the hotel’s heavenly hilltop setting, where guests can enjoy picture-postcard vistas of Lake Windermere and the fells beyond. Inside, Linthwaite’s characterful accommodation is just as atmospheric, making it the perfect setting for beautiful weddings enhanced by fine food, great wine and wonderful service. Included in the top 100 International Wedding Venues by Condé Nast 'Brides Magazine' for four years (2009 to 2012) our accolades include 4 Red Stars from the AA (which means we stand out as one of the very best hotels in the UK) and 4 stars, Gold Award, by Visit England. We were awarded Johansen's ‘Most Excellent Country House Hotel in 2007, their Wine List of the Year in 2011 and awarded the AA’s ‘Most Romantic Hotel’. We also have 3 AA Rosettes for food. Linthwaite is an inspired choice for couples in search of a unique location for their special day. Our 14 acres of private landscaped gardens includes an idyllic tarn providing a timeless backdrop for photographs, while the terrace with panoramic views is ideal for alfresco receptions. We offer two options for marrying here at Linthwaite House – intimate day weddings or exclusive use weddings and our beautifully appointed Billiard Room and Board Room are licensed for both civil ceremonies and civil partnerships. Civil ceremonies for same sex couples due to be available from early summer 2014. This wedding guide provides a good starting point to begin your wedding plans, however we appreciate that no two weddings are the same so please feel free to discuss your requirements with us and we are happy to tailor to you needs. If you would like to view the hotel, we’ll happily arrange an appointment for you to ensure that either Kate or a duty manager is available to show you around. -1Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected]. Exclusive Use Exclusive Use creates an enchanting ‘house party’ atmosphere, allowing the wedding party sole use of the hotel and grounds for the duration of the wedding. Exclusivity of the hotel and grounds begins at 12.30pm on the day of your booking. Bedrooms are available to check into from 2.00pm and check out is required no later than 11.00am on the day of departure. Please note that we are unfortunately unable to allow rooms to be used for changing etc, prior to 2.00pm. You would be welcome to have the registrars conduct your ceremony any time between 1.30pm and 6.00pm. Included in the Exclusive Use rate is: • Accommodation for up to 60 people in 30 en suite bedrooms • Full English buffet breakfast (including continental style) for up to 60 guests • Wedding "breakfast" dinner for up to 60 guests (including canapés, first, main and dessert course, coffee with petit fours) • Ceremony room • £100 flower allowance (to tie in with your own personal colour scheme) • Complimentary use of cake stand and knife Two-night stays include accommodation and breakfast for up to 60 people on both days as well as an informal meal on the first night for up to 60 people (see page 6 for examples). You would be welcome to book evening entertainment such as a DJ or live band which would be set up in our Mirror room. We ask for music to draw to a finish at 12midnight and our late bar closes at 1.00am Thirteen of our rooms can accommodate either additional children or infants depending on the room size - using sofa beds, z beds or travel cots. Our sofa beds and z beds are suitable for children up to the age of 12 years only. Please ask for further details. Extra children’s accommodation and meals will be charged pro rata. -2Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected]. Exclusive Use Exclusive Use covers up to 60 people and these numbers would be seated in our Mirror room and Boardroom for the wedding breakfast dinner. We are able to extend numbers beyond the 60 on the following basis: 1: The Mirror room and Boardroom can seat up to 64 people maximum for the wedding breakfast (including any children and infants). If you would prefer to use the full 64 spaces for adults in this space, then we would be able to offer the option of children having a picnic style dinner in the lounge area or on the lawn weather permitting during the wedding breakfast dinner time. They would need to be supervised during this time and this would need to be organised by you however we can recommend child minders. We would recommend a maximum of 8 children under the age of 8 years. If you decide on this option we would recommend that you discuss it with parents first so that they are aware of this situation for the wedding day. Please note that we are only able to sit up to 64 people for an on site civil ceremony (including bride and groom) and therefore any additional children would need to be seated on parent’s laps during the ceremony time. 2: If you are having an off site ceremony, then there is the option to use all 3 dining rooms if required (Mirror room, Boardroom and Billiard room (we would recommend a wedding show round if considering this option) for the wedding breakfast dinner. We would therefore be able to cater for up to 80 maximum for the wedding breakfast dinner (including children & infants) if required. Things to keep in mind Children/infants do count towards your numbers if they join you in the dining rooms. As the exclusive use option covers up to 60 people for bed and breakfast and the wedding dinner, additional numbers would be charged for accordingly (Please see separate sheet for pricing). Please note that we have 30 bedrooms with a maximum sleeping capacity of 60 adults + some additional children, therefore any adult numbers over 60 would need to find alternative accommodation. You may have up to 85 people maximum for the evening reception; however we would be unable to accommodate all these guests overnight. -3Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected]. Exclusive Use – Night before and Night after We can also make a maximum of 8 rooms (no more than 16 people including children and infants) available to your guests who wish to extend their stay to the night before or night after your Exclusive Use should this be required (this maximum number of 8 bedrooms enables other residential guests to continue to enjoy the hotel’s facilities also). Exclusive Use - Guest Contributions As the Exclusive Use rate covers all of our 30 rooms, you could consider asking guests to contribute towards the costs of their accommodation in order to make Exclusive Use Hire a viable option. In our experience, we find that guests are happy to finance their own hotel bill, especially if it enables the bride and groom to stage their dream wedding in the perfect setting. If you select this option, we can deduct this from the total cost. Payment will simply be requested from your guests upon departure from the hotel, leaving you free to enjoy your day, without having to worry about collecting money from friends and relatives. We’d recommend applying a flat room rate for all those staying. This is up to you of course, we advise you to carefully consider what you do so that guests are not tempted to look for accommodation elsewhere. In the unlikely event that anyone should depart without settling their bill, we reserve the right to add it to the main account. -4Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected]. Exclusive Use - Availability We offer 1 night stays mid-week (Monday - Thursday), January until the end of July and October to the end of December. We offer 2 night stays mid-week throughout the year. If you are booking a Saturday night, you will need to book the hotel for a minimum of 2 nights (please note that this is applicable throughout the year). Likewise during the months of August and September there is a 2 night minimum stay applicable to any night except a Sunday night booking. Should you require a 1 night weekend booking we do offer the occasional 1 night stays on a Friday night from October to the end of April and occasional 1 night stays on a Sunday night throughout the year. In all cases we try to be as flexible as possible so are happy to discuss your date requirements and if we can accommodate your request we certainly will do so. Please contact our wedding co-ordinator, Kate Thomas on 015394 88600 or email [email protected] to check availability. -5Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected]. Day Weddings You don’t have to take advantage of our Exclusive Use arrangement to marry at Linthwaite. An elegant and intimate daytime wedding can be held at the hotel during quieter periods on a midweek day (Monday to Thursday), subject to availability. Day Weddings - Lead times We are happy to book day weddings at any time for dates in January and February. Dates for other months are usually released six months prior to the date, however please feel free to contact us to discuss your requirements, because if we can accommodate you at any other time, we will certainly do so. Day Weddings - Numbers Numbers for day weddings are limited to a maximum of 16 people including bride and groom, children and infants. We can also make up to a maximum of 8 bedrooms available for wedding parties not taking Exclusive Use. (These maximum numbers allow us to take other hotel residents into consideration, enabling other residential guests to continue to enjoy the hotel’s facilities also.) Timings for day weddings can be tailored for a slightly later ceremony (up to 3.30pm), if you reserve overnight accommodation for all of your guests, followed by the wedding "breakfast" dinner served in the early evening. We would try to arrange private dining in our Boardroom, where children can also be catered for. For an early evening meal, you are welcome to choose up to 3 selections from the first, main and dessert course menu selector outlined in this guide, with all menu choices and numbers required before arrival. Again, children are welcome to choose either a smaller version of the adults’ chosen menu or something from the children’s menu (please see page 11). If dining is in the main restaurant, there is a minimum age of 7 years after 7.00pm and tables in the hotel’s main restaurant are restricted to a maximum of 6 people. -7Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected]. Day Weddings - Numbers We are also happy to accommodate day weddings for those with numbers up to 30 people maximum (including bride and groom, children and infants). To enable these numbers the ceremony would need to take place at 12.30pm so there’s plenty of time to enjoy a relaxed ceremony before being seated for the wedding breakfast by 2.00pm. Guests can then enjoy the wedding breakfast dinner, speeches and cutting of the cake before the departure of non resident guests is required no later than 5.30pm (you would be welcome to book a maximum of 8 bedrooms (no more than 16 people including children and infants) in connection to your wedding party) For an afternoon seated meal, you are welcome to choose up to 2 selections from the first, main and dessert course menu selector outlined in this guide, with all menu choices and numbers required before arrival. Children are welcome to choose either a smaller version of the adults’ chosen menu or something from the children’s menu (please see page 11). Day Wedding - Wedding "breakfast" dinner Head chef Chris O’Callaghan uses only the freshest locally sourced ingredients to create your intimate wedding "breakfast" dinner. Chris has recently received his 3rd AA Rosette and Linthwaite is also highly recommended by the Good Food Guide (rating 5), which spotlights our restaurant as one of the best in the Lake District. Please see separate sheet for wedding breakfast dinner prices. Day Weddings…and afterwards A popular way to extend your day is to hire a boat on Lake Windermere; contact Windermere Lake Cruises on 015394 42600 for more details and a charter pack. -8Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected]. Day Wedding - Ceremony Room Hire The room hire charge for a ceremony includes a £100 flower allowance which you are welcome to use towards any flower requirements which will be designed to complement your own personal colour choice. No room hire is charged for the use of the dining areas for the wedding "breakfast" dinner. Please see separate sheet for pricing. Exclusive Use & Day Weddings - Prior to the Ceremony A meeting will always take place immediately before the ceremony begins between you and the Registrars; this can either be arranged so that you see the registrars together or individually. This meeting will take place in the lounge area. Exclusive Use & Day Weddings - The Registrars The ceremony will be conducted by the local Registrars. The bride and groom must speak with the Registrars before confirming dates and times here at Linthwaite. The civil ceremony usually lasts no more than 30 minutes, and dates with the registrar can now be booked up to two years in advance. Please note that dates booked outside 12 months would incur a £75.00 charge which would be directly payable to the registrars. The Superintendent Registrar for Kendal (Sue Oliver) can be contacted on 01539 713567. All arrangements should be made by the bride and groom directly with the Registrar. On our separate pricing sheet you will find the Registrars fees. Please note that these rates are to be used as a guide only as they are subject to any changes made by the Registry Office; for further details please contact the Registrars directly. The appropriate fee is payable to the Superintendent Registrar prior to the ceremony and they do not include the costs of giving notice or certificate issues. -9Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected]. Should you wish to have pre-recorded music played we can provide our sound system (CDs only - no MP3 files). Another popular option is to have a string quartet or harpist play during the ceremony. For Exclusive Use bookings only, music can be continued during the drinks reception on the terrace or in the lounges. Unfortunately when exclusive use of the hotel is not taken we are unable to allow the playing of music in the public areas, except the ceremony room, either before the start of the ceremony or during the drinks reception in consideration of other guests staying at the hotel. Exclusive Use & Day Weddings - The Reception Following your ceremony, drinks and canapés can be served on our terrace or in the conservatory overlooking the lake whilst photos are being taken; we suggest allowing at least 1½ hours for your drinks reception and photography (slightly less time may be sufficient for day wedding numbers). - 10 Should you wish to make a booking or require any more information, please don’t hesitate to call our wedding co-ordinator, Kate Thomas, on 015394 88600 or email [email protected].
