WINTER WEDDING FAIR Sunday 2nd November 2014 @ Europa Hotel, Belfast Exhibitor Information & Booking Pack The FROCK AROUND THE CLOCK WINTER WEDDING FAIR will take place on Sunday 2nd November 2014 from 12–5 pm at Europa Hotel Great Victoria Street Belfast BT2 7AP We hope that you can join us for another fabulous affair! CRITERIA This event will focus mainly on inspirational wedding suppliers who specialise in unique, handmade & designer products and services for creative couples. We appeal to creative contemporary, alternative, and fashion forward brides, loving in particular vintage, rustic, boho, handmade and quirky wedding trends and therefore we love to work with wedding businesses who complement the Frock Around The Clock ethos of high quality and originality, our target market, and also our love of gorgeous style. We are looking for inspiring designer-makers and wedding suppliers of all kinds whether you sell authentic vintage or contemporary designer, make one-of-a-kind stationery, bouquets, dresses, and cakes, or you style stunning event decor, craft fabulous hair or create photography magic then we would love to hear from you. STAND OPTIONS & COST The following stand sizes are available: SIZE INCLUDED COST OPTIONS This is our smallest size stand and consists of 1 x 6ft table with no extra space. Ideal for exhibitors who just need a tabletop display. £100 None SINGLE PLUS This size stand is ideal for exhibitors who need a little extra space. It includes 1 x 6ft table with 3ft extra space to the side. £145 This size stand can be booked with or without the table DOUBLE This is a double stand and includes 2 x 6ft tables in either a corner or straight configuration. £190 This size stand can be booked with one, two or no tables. SINGLE Please Note: Allocation and location of stands within the venue is at the decision of the organiser though we will try to accommodate any special needs/ requirements where possible. www.frockaroundtheclock.com INCLUDED IN THE PRICE Electricity is included in the cost – but please indicate on the booking form if you need to be beside a socket. Exhibitors will be listed on the exhibitor list on frockaroundtheclock.com with a direct link back to their website, facebook page, or blog. EVENT PUBLICITY The event will be publicised in the press, on the major event-listing sites, on frockaroundtheclock.com, through our social media pages, mailshot and flyer campaigns, and our Frock Around The Clock WEDDING DIARY Newsletter. We will be running a competition for visitors on the day of the event – prize details have yet to be confirmed. Please get in touch if you would like to be involved. BOOKING PROCEDURES Space always sells out well in advance of our events so early booking is essential. To apply for a space at this event please first submit the Online Booking Form on our website here On receipt of your booking form we will confirm availability of space and issue a Paypal invoice to enable you to complete the booking process. Payment should be made in full by Paypal within 4 days of reserving a space. If payment is not received within 4 days the space will be released and made available for other exhibitors to book. TERMS AND CONDITIONS Placing a booking for this event will indicate that you have read, understand and accept all terms and conditions, including Cancellation Policy and our criteria and booking procedures. www.frockaroundtheclock.com EVENT AND VENUE RULES Exhibitors will be notified of set up times, access details and other rules regarding set up and breakdown of stalls in advance of the fair, and these must be complied with to ensure smooth running of the event. SECURITY, INSURANCE & INDEMNITY The organiser and the venue are not responsible for any loss or damage that may occur at any time during the fair, event set-up or break-down, and valuables should not be left unattended. Each exhibitor has the responsibility to ensure that they have adequate public liability insurance. Each exhibitor is responsible for any loss, damage or injury to person or property arising from any negligence on their behalf at any time during the event. The exhibitor shall indemnify the organiser, and the venue, in respect of any loss, damage or injury arising from their acts, negligence or omission. CANCELLATION POLICY Cancellations made up to 4 weeks before the event will be subject to a 50% charge of the total booking cost to cover administration costs. Alternatively the booking may be transferred to a future event. If cancellations are made with less than 4 weeks notice to the event the exhibitor will not be eligible to transfer their booking to another event and no refund will be applicable. Exhibitors who fail to attend on the day for any reason will not be eligible to transfer their booking to another event and no refund will be given. www.frockaroundtheclock.com
