IMMORTAL ATHLETICS CHEERLEADING HANDBOOK 2015 – 2016 1 IMMORTAL ATHLETICS PHILOSOPHY: Our mission is to teach young athletes of today to be leaders of tomorrow. We strive to encourage a hard work ethic, while teaching good sportsmanship above all. Winning is fun, but not everyone can win all the time. We strive to teach athletes to enjoy the journey just as much as the final outcome. We teach athletes to be humble while having the attitude to never give up! “Perseverance is the hard work you do after you get tired of doing the work you already did.” ~ Newt Gingrich The safety and success of each and every athlete is of the utmost importance to the Immortal Athletics staff. Team Selection is a process of evaluation so Immortal Athletics can put together the most competitive teams possible. We will have the most success when teams are competing at a level that they are capable and training a level above what they compete. When doing this we can correctly train the skills with proper technique, build confident and strong athletes and provide a safe environment. “We are what we repeatedly do. Excellence, then, is not an act, but a habit.” ~ Aristotle It is important to understand that while winning is always the goal – our main priority is to ensure that our athletes have a good experience and learn lessons in team work, confidence, and overcoming life’s obstacles. We want to build strong athletes with good character. In order to achieve this goal we need support of the parents. Part of learning and growing is dealing with disappointment, learning to overcome and working together is what makes the athlete strong and builds their confidence. The parent’s role is crucial to the success of all of our teams. Together we can achieve more!! DESCRIPTION OF IMMORTAL ATHLETICS COMPETITIVE PROGRAMS: Immortal Athletics is a 12 -­‐ month program. We will begin meeting and practicing in May 2015 and continue through the end of April 2016. All financial obligations must be paid by March 2016. Please see the financial packet for more details. Teams are strictly competition and performance groups. Each team’s primary focus is to prepare for National competitions. Teams will participate in several local and regional competitions as well as demonstrations and exhibitions. During the year, the cheer teams will focus on all components of cheerleading including tumbling, jumps, pyramids, partner stunts, dance and showmanship. For safety and fairness of all participants, ONLY coaches and athletes are allowed in the gym training area. o We will not allow parents, friends, grandparents, etc. on the floor at any time for any reason. o If you need something please let our front desk know and they will alert a coach. o Please help us in this effort to provide the best service to our / your athletes. Participants are NOT allowed to compete, fill in or participate with any other all star cheerleading or dance team while enrolled in the Immortal Athletics program. For more information please visit www.USASF.net o Each athlete is required to provide a copy of their birth certificate or current driver’s license if applicable o Each athlete will be required to have a USASF ID and pay membership dues. More information on dues can be found in the financial packet. We are honored to work with your children and we do not take that task lightly. Please also understand that participation in the program is a choice and a privilege. Any parent or athlete who displays negative behavior or is counter – productive to the overall success of the program can be dismissed from the program at anytime without warning. INFORMATION AND SOCIAL MEDIA OUTLETS •

EMAIL o This is the main way we will stay in communication with our parents on schedules, updates, information about competitions etc. Please make sure we have your current email address on file, so that you can receive all pertinent information. SOCIAL MEDIA o Please remember that social media is the fastest growing way to send a message. Please make sure you think before you send a message that you might regret later. Words and pictures are things that you cannot undo or take back. o Athletes AND parents that are apart of IMMORATAL ATHLETICS must know that you are representatives of this program. Any ill will or downgrading to any programs, competition companies, judges, IA staff, or other individuals within IA can be dismissed from the program without warning. Consistently enforce all disciplinary actions Strive to provide a fun, safe and overall positive experience for your athlete, while focusing on the importance of healthy competition. ROLE OF THE IMMORTAL ATHLETICS ATHLETE We expect the following from all athletes as members or alternates of any Immortal Athletics team. These expectations will be strictly enforced, during practices, clinics, competitions and any other Immortal Athletics events. Athletes are expected to: • Cheer for FUN! • Be gracious when you win and graceful when you lose. • Treat fellow teammates, coaches, and staff with respect. Put the program 1st , Team 2nd , and Athlete 3rd. • Accept decisions made by authority • Not participate in gossip. This includes internal gossip about other athletes, as well as other cheerleading and dance programs. Problems shall be addressed and resolved directly, and parents should not listen, participate in, or instigate any idle, worthless gossip. • Show good sportsmanship and class at ALL times. • Use social networking and electronic media as a means of publicizing and spreading the word of Immortal Athletics in a positive and appropriate manner. • Refrain from using any social media networking, messaging, services or electronic media to distribute negative or inappropriate information that could be detrimental to yourself, your family, and the Immortal Athletics reputation in any way. These are grounds for immediate dismissal from the program. IMMORTAL ATHLETICS CHEERLEADING HANDBOOK 2015 – 2016 4 ROLE OF THE IMMORTAL ATHLETICS PARENT Parents are expected to: • Do everything possible to make the athletic experience positive for your child and others. • View the routine with team goals in mind. • Attempt to relieve competitive pressure, not increase it. • Demonstrate winning and losing with dignity. • Be an encourager – encourage athletes to keep their perspective in both victory and defeat. • Be a good listener • Encourage their athlete to always treat fellow teammates, parents, coaches, and IA staff with respect. • Ensure that their child understands what we expect of them as an athlete as explained in “Role of the Athlete” • Not express their opinions during practice or coach their athlete from the sideline. • Defer to the coaches discretion regarding team decisions. Inevitably, we will lose or gain team members through the course of a season. Any dismissal or addition of a team member is solely at the discretion of the coach, all star supervisor, and owners. • Refrain from using any social media networking, messaging, services or electronic media to distribute negative or inappropriate information that could be detrimental to yourself, your family, and the Immortal Athletics reputation in any way. These are grounds for immediate dismissal from the program. • Practices are closed and maybe opened from time to time at the discretion of the coach, all star supervisor, and owners. • Parents should not listen, participate or instigate any idle, worthless gossip. It is a detriment to team unity and chemistry. • Parents should support coach’s decisions as well as the rules and guidelines of the program at all times. Failure to do so may result in immediate dismissal from the program. • If at anytime a problem arises about an athlete, parents should direct the athlete to their respective head coach to sort out the problem. If the problem is not resolved after this step, the parent may then SCHEDULE a meeting with the head coach and gym manager. Any disruptive behavior from a parent may result in the parent not being allowed back in the gym or immediate dismissal from the program. IMMORTAL ATHLETICS CHEERLEADING HANDBOOK 2015 – 2016 5 Parent Travel Obligations: • Parents are responsible for their athlete’s activities and behavior at out of town events. • Parents must understand that competitions are a time for the athletes to focus and should be fully committed to the program and team through the time of the event. • Athletes may need to arrive by a designated time on Friday evenings of a two -­‐ day event for scheduled practice times at the event. It is also possible that awards for some teams could be late Sunday evening. The gym will give you this information as soon as it is available to them. • If a parent / guardian cannot attend an out of town event, you will arrange for another IA parent or responsible adult to travel with your athlete to and from the event, and to be responsible for the athlete during the entire event. ATTENDANCE POLICIES AND PROCEDURES Immortal Athletics strives to be an organized program. Athletes are expected to attend all competitions as a team. We realize many children and young adults are involved in a variety of activities; however, we cannot make exceptions for schedule conflicts. We practice X hours a week. We expect top priority and 100% commitment and attendance. Many other programs allow students to miss practices without accountability or regard for the ones that do show up. We are able to keep extra practices to a minimal because our practices are productive and mandatory. The following dates are available for holidays and vacations throughout the 2015 – 2016 year. Memorial Day May 22 – 25, 2015 Summer Break July 3 – 12, 2015 Labor Day September 4 – 7, 2015 Thanksgiving November 25 – 29, 2015 Christmas, Hanukah, & New Year Break December 21 – January 4, 2016 Blackout dates that are Mandatory for all athletes are August 11 -­‐ 16, 2015. These dates will be used for teams to learn choreography and are mandatory. If uncontrollable forces make an athlete miss choreography camp the parent is still responsible for the financial commitment. Athletes must also find a replacement to learn your choreography that you must know prior to the next practice. IMMORTAL ATHLETICS CHEERLEADING HANDBOOK 2015 – 2016 6 SUMMER ABSENCE POLICY Athletes are allowed up to 4 absences for family vacations during the months of May – September 7th, 2015. These absences may be in conjunction with any of the above listed summer breaks. Please plan accordingly. Alternates must follow all rules, requirements and guidelines. Additional absences will jeopardize an athlete’s placement on their respective teams. LATE POLICY Athletes who are late for any reason will be required to stay after practice that number of minutes to do Jump conditioning or other conditioning fit to appropriate age and level. This is for all athletes including those who are unable to drive and rely on others to bring them to practices. EXAM POLICY Grades are very important to Immortal Athletics and we hold school in high regard. We ask that you encourage your athletes to stay on top of their assignments and studies, so cramming is not a necessary plan of action when it comes to Exam week. THESE PRACTICES WILL BE MANDATORY and no excuses will be tolerated. Studies show that a break during exam prep has increased the child’s ability to retain the information being studied. Failure to attend practice during this week could result in dismissal from the program. SICK POLICY You must attend practice when you are sick. We will not make exceptions. You will not be required to participate; however, you must be present. An athlete will jeopardize their position if this rule is not followed. In addition, you must provide a doctors note with detailed information regarding the illness, treatment and length of recovery. This includes dental, medical, and any other health related issue that would prohibit a student from participating. Extended sickness such as Mono or Strep throat will jeopardize and athlete’s position on the team. IMMORTAL ATHLETICS CHEERLEADING HANDBOOK 2015 – 2016 7 ABSENCE POLICY The only excused absence is a school function that results in a grade. All other absences are unexcused. Part time jobs, dances, concerts, banquets, long distance driving, family reunions, weddings, recitals, school / church socials, and any other non related school activities are unexcused. Absences are NOT allowed the weekend and week prior to a competition. An unexcused absence may result in the athlete being moved to an alternate position or pulled from the upcoming performance at the discretion of the staff. It is the responsibility of the athlete to learn any changes prior to practices. Alternates must follow all requirements and guidelines. An Absence Request Form must be submitted 2 weeks prior to the absence. DO NOT email or fax absence request forms. These forms are for absences including school athletics, choir, band, and other school activities. School activities are scheduled and planned far in advance, please submit your request in advance. A completed form does not automatically excuse the absence. Absences must be approved. We will verify with school administration and the teaching staff if we think that someone is being dishonest. Be prepared to show documentation from a teacher or instructor. You will be removed immediately if the request is falsified. Absences are not permitted the week of a National event. INJURIES In the event that an athlete is injured at home or during other extra curricular activities, we ask that you please notify us as soon as possible. You should call the gym and the team representative to get the necessary information to the coaches. We will make changes with choreography prior to practicing. We will re – choreograph routines based on the person’s injury and length of recovery. Once the individual has fully recovered, he or she may NOT be choreographed back into the routine. The coaches have complete discretion in replacing such individuals for the rest of the season. All injured athletes must continue to pay their monthly tuition. IMMORTAL ATHLETICS CHEERLEADING HANDBOOK 2015 – 2016 8 COMPETITION ATTENDANCE Each competition is mandatory. Prior to each competition, athletes will be given the following set of team – specific times for each competition. • Arrival Time – When you must be present in the competition venue. • Meet Time – When your team is required to meet with a coach and congregate at a specific place. Athletes must leave all backpacks, purses, make -­‐ up, phones, warm up jackets and pants, etc., with parents at this time. Exception: If you are a crossover & need a bag to change, you may bring that with you. • Warm -­‐ up Time – The time the event – hosting company has scheduled the team to warm up. • Performance Time – The time when the team is scheduled to perform. • Award Time – The time of the awards ceremony that your team has been scheduled to receive it’s award. • AWARDS ARE MANDATORY FOR EVERYONE!!! In case of an emergency or unseen circumstance that may not be avoided, those who are not at awards forfeit any prizes and awards you may win. We will do our best to collect outstanding prizes (jackets, back packs, medals, etc.), but it is not guaranteed. • If an athlete does not show up for a competition, he/ she may be dismissed from the team. DRESS CODE “Where there is unity there is always victory.” ~ Publilius Syrus Practice Dress Code • Athletes must wear the assigned practice clothes to each assigned practice. Cheer shoes must be worn at every practice at all times. If wrong practice attire is worn, athletes will condition at the discretion of the coaches of that team. • All lost or noticeably damaged practice and uniform items must be repurchased immediately and a matching substitute worn until the item is replaced. • Athletes are free to purchase larger sizes or additional sets of practice clothes at anytime throughout the season. • Hair should be in a high ponytail with specified practice bow at all times. If hair falls above shoulder level then it must be keep out of the face at all times and proper bow should be worn at all times. • All athletes must maintain a well – groomed appearance and good personal hygiene at all times. • Females should wear bloomers / spandex and sports bras under their practice attire. NO jewelry (other than approved medical ID tags) is allowed when participating in any scheduled activity. Fingernails should be kept short. Fake fingernails can be very harmful to the athlete and teammates and are strongly discouraged during the season. Athletes may be asked to remove fake nails if this is an issue. New piercings are also STRONGLY discouraged during the season. •
Competition Dress Code • Athletes have two options that may be worn during competition. Coaches will give instructions at each event which option will be accepted for that event. o Full uniform with an approved t-­‐shirt over it. o “Official” Immortal Athletics Program Warm – Up • Hair and make – up should be complete before entering the competition venue. Exception: The team is getting together to do hair and make – up. This might occur at certain events if time permits. • ONLY cheer shoes are to be worn at ALL times. No Uggs, boots, flip -­‐ flops / sandals, etc. • NO jewelry is permitted at competitions. • Boy’s hair and faces must be well groomed and clean cut. • During awards ceremonies, athletes must be in complete uniform from head to toe or full program warm – up. This will be up to the coach’s discretion. • If any of the rules above are NOT followed, athletes may be required to do conditioning at the event no matter where they are. Immortal Athletics or Mascot Merchandise • All apparel should be ordered and purchased through the gym. • To protect the integrity of our brand, no parent or athlete is permitted to use the Immortal Athletics or Trident logo without authorization from Deborah Leyva and Mak Holley. o This includes, but is not limited to – gym mascot logos, team names, Immortal Athletics logo or any gym initials. o You may not use any form or variation of Immortal Athletics name in your email address or social media username. o If you have apparel ideas, please submit those to the gym manager. IMMORTAL ATHLETICS CHEERLEADING HANDBOOK 2015 – 2016 10 SEASON EXPECTATIONS “Strive not be a success, but rather to be of value.” ~ Albert Einstein Steps to addressing a concern • If a problem ever arises, the first step to resolving an issue is to make sure your coach knows there is an issue. If your athlete has an issue please direct them to his / her respective head coach to have it resolved. If your athlete has not talked to their respective coach about the issue, we will not meet with a parent about the issue until the first step has been done. A coach can only resolve a problem, if the coach knows there is a problem. • If the problem is not resolved after the first step has been done. Parents may then SCHEDULE a meeting with the gym manager and the head coach to find a good solution that may put the concern to rest. • We understand that everyone has likes and dislikes. We understand that Immortal Athletics may not be able to make everyone happy at all times. If Immortal Athletics cannot or does not provide a fun and positive atmosphere for your athlete, we encourage you to check out other programs that maybe more suitable to service your athlete’s wants and needs. Practice Time, Training and Camps / Choreography • Training for all members begins after Team Selections in May 2015. • The first few months of training consists of skill building, technique training, and conditioning. o These training sessions provide the critical foundation of the season. Attendance is still critical for these practices and pertinent to the team’s success throughout the season. o If the athlete is in town they are at practice. o Please remember that only FOUR (4) practices may be missed for out of town vacations from the months of May – September 7th, 2015. If you are in town during those months you are at practice. This rule is extremely important to the team’s success and team goals for the season. If you do not use all 4 practices for vacations, they do not roll over into months past September 7th, 2015. • Teams will learn choreography for the season in the summer these dates are mandatory unless circumstances arise that cannot be controlled. • Routine clean up and perfection will begin in September and October. o These training sessions are critical to the success of the team, maximum attendance is required. • Additional camps may be scheduled for the teams benefit. Please know that dates will be given out at the time it is available to make arrangements for athletes to attend certain camps. • Competitions / Events begin in November and the season concludes in April / May 2016. • Additional classes may be required of your athlete to ensure skill progressions are happening. technique class, base conditioning and technique class, as well as tumbling class. PROPER TECHNIQUE IS EVERYTHING!!! If skills are not being performed and athletes are struggling with level appropriate skills, Immortal Athletics reserves the right to change a teams division and level at any time throughout the season. OPEN EVALUATIONS BEGIN APRIL 21, 2015 Athlete Evaluations will end on April 30, 2015. PLEASE READ - WE STRICTLY ENFORCE THESE RULES
1. I agree to be punctual and enthusiastic to all cheerleading and/or dance practices, competitions,
exhibitions, etc.
2. I agree to attend all practices sessions as well as any other team activities that are scheduled.
3. I will notify the coaches of all expected absences at least 2 weeks prior to the absence by filing out an
Absence Request Form. I realize that only approved absences are allowed. I also realize that having an
injury that prevents me from practicing does not excuse me from attending practice. All injured or ill team
members must still attend practice, regardless of their ability to participate in practice. Immortal
Athletics allows 4 absences for out of town summer vacations. These 4 absences may be taken in the months
of May 2015 – September 7, 2015. Our competition season policy begins September 8, 2015 and ends May 1
2016. All practices are MANDATORY. All absences after September 8, 2015 must be approved by the head
coach of that respective team.
4. I will report any medications that I am taking to my coaches.
5. I will attend all added or changed practices the coaches require me to attend. This may include but
not be limited to flyer technique class, conditioning class, and tumbling classes.
6. I will set a positive example whether in or out of my uniform.
7. I will always treat my fellow teammates and my coaches with the same respect that I would like to be
given.
8. I realize that any loss of composure and/or any “back talk” to my peers or coaching staff will not be
tolerated.
9. I will refrain from unnecessary conversation during practice.
10. I will wear the practice uniforms set by the Immortal Athletics and Cheer Arizona organizations to all
practices. If I am not in proper practice uniform, I will have to purchase the items that I do not have with
me that day or do conditioning at the discretion of the coach.
11. I realize Immortal Athletics and Cheer Arizona organizations are not responsible for my lost belongs.
12. I will refrain from bringing food, drinks, and candy on the practice floor. All drinks must be kept in the
area of the cubbies, and must be in containers that close. Any drinks in open containers, including those
with a lid and straw, will be thrown away, regardless of what they are. I also realize that gum is strictly
forbidden in the gym.
13. I will not allow any persons (family members and friends included) to distract me or interrupt me
during my practice session. In return, I will not interrupt any other team practices.
14. I realize that all my coach’s decisions on uniforms and competition schedules are final and are not up for
discussion.
15. I will report all serious injuries to my coaches immediately.
16. I realize that in the best interest of the team, the coaching staff retains the right to remove or replace a
team member at any time throughout the year.
17. I realize I must dress in proper competition attire at all competitions and team functions and I must be
courteous to all officials, coaches, hosts, competitors, judges, and all such associated persons at all functions.
In addition, I will accept my team placement in a dignified manner with no criticism or comments.
18. If I am told by the coaching staff that I need to; I will take extra technique classes to build my skills.
19. I realize that I must either participate in all fundraisers or be completely up to date with my account.
(This means I will stay up to date with the payment dates. More information can be found in the financial
packet)
20. I realize that my commitment to the Immortal Athletics and Cheer Arizona program takes priority over
any other activities or squads in which I am involved.
21. I understand that it is mandatory for all squad members to travel with the team, staying in the hotel
designated by the gym. All hotel reservations must be made through the team, and cannot be made on your
own. No Exceptions.
22. I realize that the coaches have the right to place me on the team that they feel is best for me.
23. I understand and will adhere to the payment plan arranged for the competition uniforms and routine.
Six installments MUST be paid in the months of May through October, due the 20th of each month. I also
understand if I am not current on my payments, no uniform order will be placed and I risk not having my
child’s uniform prior to a competition and will not compete. I realize with ordering late, the cost for the
items will be more due to increased shipping, handling, tax and processing costs.
24. I assume full responsibility for the cost of the Immortal Athletics uniforms, practice attire, bodysuits,
briefs, shoes, warm-ups, travel expenses, and/or any other item purchased for me, and the payment in full
of those items upon receipt of the items regardless of any circumstances that may arise such as dismissal
IMMORTAL ATHLETICS CHEERLEADING HANDBOOK 2015 – 2016 13 from the team, or disbandment of the team. In addition to the above list, I also
make myself responsible for the monthly fee for the services rendered to me as long as I take part to the
Immortal Athletics All-Star program.
25. I agree to purchase any additional uniforms and/or practice attire if I have damaged or lost my initial
set.
26. I understand that the tuition fees are based upon the year, and will not be pro-rated for any time off.
I realize that my monthly payment is due by the first week of every month (whether present or absent).
If my payments are made after the due date, I will be charged a $25.00 late fee. Tuition and late fee are
not paid by the 15th of the month, my child will be withheld from practice but will be required to attend.
If this should occur prior to a competition, I understand my child will be removed from the routine for
that upcoming event. In addition, I also realize that all returned checks will be assessed a $25.00 process
penalty. (Please make note that all Immortal Athletics gym closures have already been prorated into the
monthly fee.)
27. I realize that if I choose to leave the team or if I am asked to leave the team for any reason before the
season is over, I am liable for all charges as listed on the cost sheet, plus monthly tuition until the end of the
season. Also, any and all monies that have been paid for me are completely non-refundable, this includes
any money in the booster club that has been fund-raised or donated.
28. If you would like to leave the program and would like to buy yourself out of your contract. There will
be a fee determined by the amount of time left in the season and financial obligations that are still to be paid
for.
29. I agree to meet all financial obligations that I undertake, including but not limited to travel expenses,
camps, clinics, competition registrations, choreography, etc.
30. I realize that all team members and parents must abide by all the rules set before us.
31. I realize that this contract is active between May 5, 2015 – April 30, 2016 and will be strictly enforced.
32. I understand that if at any time I should fail to follow the above contract, or if I act in a manner that
