Baseball South Australia is the peak body for all Baseball
played in our state across regional and metropolitan areas.
Baseball SA is responsible for leading the state wide
delivery of baseball through its affiliated associations.

Baseball SA is a membership based sporting organisation
operating in both summer and winter, providing our
players with an opportunity to participate in Baseball at all
times.
Baseball SA is a not for profit, member based organisation
which is governed by a volunteer Board of Directors.
Primary Purpose of Position
The Competition & Membership Coordinator role is responsible for all office
administration, manage & administer the IMG database system and ensure all
communication methods are kept up to date for IMG.
The aim of this role is to improve the overall delivery and presentation of Baseball SA
throughout our baseball community.

Office Management



Administer the IMG system on behalf of Baseball SA
Assist all stakeholders groups with access,
registrations and use of the IMG systems as the
Baseball SA super user
Provide training to clubs, association and staff on
how to use the IMG registration and website
platforms
Oversee the administration of all registrations, letter
of intents, clearance and permit process on IMG
Ensure all players in all competitions are registered
correctly
Assist the Operations manager with players final
eligibility
Check off team rosters for teams participating in
tournaments
Set up new users on the IMG platform
Responsible for all enquires and correspondence
associated with IMG
Enter the competition fixtures
Provide regular website updates for competitions,
tournaments and pathway programs
Ensure Communication is advertised via the website,
Facebook and twitter
Advertise State trials and registration on the website.
Set up players registration questionnaire
Develop and maintain contact list to improve
communication with clubs and stakeholders
Ensure internal systems are up to date (e.g. phones,
photocopying, scanning, computer software) as well
as suggesting and investigating upgrades where
necessary
Coordinate and train staff in the use of internal
systems
Update incoming and outgoing communication for
Baseball SA, inclusive of after-hours messaging,
phone and email protocols
Order office stationary when required
Arrange tribunal hearings, including venue and

notification of hearings to all relevant parties
including umpires, player/s, clubs and tribunal
members



Other

Assist in the organisation and delivery of the annual
award nights & events
Assist in the organisation and delivery of the grand
final series
Assist in the organisation and delivery of all
tournaments
Other duties as defined by the CEO from time to time
Coordinate, attend and take minutes
at Baseball meetings
Order all competition trophies, medals and pennants
Knowledge and Skills













No prior Baseball knowledge is required
Strong customer service focus
Team player
Excellent organisation skills and ability to manage and prioritise tasks
Demonstrated capacity in the use of technology; database management, Microsoft
Office
Current Driver’s License
Current working with children check

Be highly meticulous and have a keen eye for detail
Able to relate to a broad a diverse cross section of the baseball community
Able to work on several projects simultaneously
Prepared to travel and work intrastate, as required, and acknowledge that out-ofhours’ work will be required on various occasions
