Bay Area Tutoring Centers, Inc. | May 5, 2015
Dear Parents and Students,
As you know, spring finals are fast approaching. To ensure that each student gets ample time for finals
preparation, we will be open every day beginning Friday, June 5th through Wednesday, June 10th.
The regular tutoring schedule will not be in effect during this time. If your student wants to schedule SAT
or ACT tutoring during the week of finals prep, you must mark it on your finals request form.
All finals request forms are DUE BY WEDNESDAY, MAY 20 T H . Forms received after this date cannot be
guaranteed priority. If your form is received on time, you will be called sometime between Monday, June
1st and Wednesday, June 3rd with your scheduled times.
PLEASE REVIEW THE FOLLOWING INFORMATION PRIOR TO COMPLETING A REQUEST FORM:
•
Students should begin review sooner rather than later. We recommend calling to schedule
additional tutoring prior to finals week.
•
We do our very best to schedule students on the days and during the times that have been
requested, but we cannot guarantee that all requested days and times will be assigned. Priority
will be given in the order of final exam dates.
•
We cannot always honor specific time requests. Please provide your widest range of availability
on each day. Look into practice/game schedules and prearranged activities ahead of time to
minimize availability modifications. Keep in mind graduation parties, Inspirational, and other
scheduled appointments. Be sure to check with your school to confirm the schedule on days that
finals are held (e.g. full day or half day of school).
•
Students have the best chance of being scheduled on their requested day when a wide range of
availability has been provided. Please do not request a 2-hour session, and give only 2 hours of
availability – we will not be able to schedule you.
•
We do not have the luxury of an extended holiday weekend for spring finals, and as much as we
understand that students may not prefer late evening times, please understand that there are a
limited number of hours available to schedule tutoring for many, many students.
•
We strongly suggest requesting tutoring for Friday, June 5th and Saturday, June 6th. We are
aware that some students prefer the days immediately before their exams, but we are simply
unable to accommodate all of our students on these few days.
o
The SAT is on Saturday, June 6th. Please provide afternoon and evening availability on
this day even if you are taking the test in the morning - particularly if your final exams are
scheduled on Monday and Tuesday. Please do not exclude this day from your availability
if your only Saturday commitment is the SAT test.
o
If your student will not be available over the weekend (Saturday, June 6th and Sunday,
June 7th), please contact the office as soon as possible to make arrangements for a
session #1 to be scheduled the week prior.

•
We recommend requesting two 2-hour sessions to have a comprehensive review (see attached
recommendations). Please understand that it is not possible to cover all of the material in less
than 4 hours.
•
A student’s session #1 will cover roughly the first half of the semester and session #2 will cover
roughly the second half of the semester. When asking for two sessions, spread them out
between the days. It is extremely unlikely that a session #1 will be scheduled any later than
Sunday, June 7th, so please provide availability on Friday, Saturday and Sunday.
o
For example, if your student has a final exam on Monday, June 8th we recommend
requesting tutoring on Friday and Sunday, and give availability on Saturday as backup.
•
If you only request one session, you must indicate whether the student would prefer covering
material from the first half of the semester or the second half (session #1 or session #2). It is not
possible to cover all of the material in only one 2-hour session.
•
A 2-hour prep session tends to be more beneficial than two 1-hour sessions.
•
We strongly suggest that students work through any teacher-provided study guides or problem
sets prior to attending finals review sessions with us. This will promote more engaging and
efficient sessions.
•
Please Note: the recommended number of hours for a comprehensive final review is not a
substitute for independent study by each student, nor is it a guarantee of receiving a particular
grade on the final exam.
IMPORTANT FINALS TUTORING POLICY NOTICE:
Billing:
Students with past due account balances after May 20th, 2015 will not be eligible to receive finals
tutoring. No exceptions. Please be sure that your balance has been paid in full prior to May 20th, 2015. If
you have any questions regarding the status of your account, please contact our office immediately.
The balance for tutoring hours attended during the month of May will be due by June 20th, and the
balance for finals tutoring hours in June will be due by July 1st. You will receive this information in your
emailed monthly statement. We strongly encourage families to arrange payment in advance for these
months to make sure that their account balance does not become past due into the summer months.
This arrangement can include prepaying for a package of hours, or simply providing your credit card
information and an authorization to charge your card for the future amount due. Please contact our
office for more information and to formally arrange payment.
You can save money by prepaying for a package of hours in advance! Save 5% on a 10-hour package
($570), or save 10% on a 20-hour package ($1080). Prepaid hours may be used for any kind of tutoring
that we offer, do not expire, and may be shared with siblings. Only the tutoring hours attended on or
after the purchase date may be included in the package. Please contact our office for more information.
