 Information and Guidelines The Village Farmers Market is the 2nd and 4th Saturday of each month, starting in June and ending in August. DATES : June 13 & 27, July 11 & 25, August 8 & 22 HOURS: 8am‐1pm . Set‐up begins at 6:30am and you will have 1 hour to tear down. Vendors are required to stay the entirety of the market‐ no early tear downs (unless approved by market staff). LOCATION: Sokol Park, 16th Ave and A St SW, Cedar Rapids, IA 52411 APPLICATION & SELECTION PROCESS APPLICATION: All persons/entities/organizations selling their products at The Village Farmers Market need to be approved by the market. Applicants are required to submit an application and provide proper permits and proof of insurance prior to vending at the market. Applications will be reviewed and Email notifications will be sent to all applicants determining their status for the market. • Approved – Application approved. PLEASE NOTE: approval for the market does NOT mean all dates requested by applicant have been approved. The dates you are approved for will be listed in the email. • Waitlisted – No space available at this time, but applications will be considered if any cancellations should arrive. The dates you are waitlisted for be listed in the email. • Declined – Not selected to participate in the Market. The Village Farmers Market does NOT accept applications from Corporations/Businesses such as banks, realtors, insurance, cell phone, or other service provider businesses. Any corporation or business interested in sponsorship opportunities, please contact: [email protected] Priority is given to local, farmer‐owned producers such as produce, flowers, herbs, meats, wines etc. Artisans/Handcrafters will fill the remaining spaces based on availability, as well as product variety within the market. The vendors are based on the following selection criteria: • Type of product • Completed application including required permits and proof of insurance STALL FEES 10x10 space ‐ $20 per/day/ $110 per season 10X 20 space (vehicle space) ‐ $35 per day/ $210 per season. Vehicle spots are very limited. Priority will be given to produce vendors. Please note that stall assignments may change before your scheduled Market date. PAYMENT: Full Season vendor fees are due upon notification of acceptance into the Market. Day lease fees are due upon each day they are approved for the Market. Payment for stall fees can be processed by cash or check. Any check that’s returned due to insufficient funds shall be charged $25 per check and no future check will be accepted. NO REFUNDS WILL BE ISSUED No Show Fee ‐ All cancellations need to be made to Jennifer Stewart at: [email protected] or 319‐6932013 by 5:00pm on the Friday prior to their scheduled market date. A $25 No Show fee will be enforced if notification of a vendor’s absence from the market is not received. Vendors must keep all spare stock, packing materials, cardboard boxes and bags in an orderly fashion at all times. Vendors are asked to use clean and professional looking signage. It is the responsibility of vendors to furnish their own equipment including tables, chairs, signs, tape, and tents. Table rentals Tents need to be supplied by each vendor and must be weighted. No drilling or staking is permitted. Vendors will have 60 minutes to tear down and leave their stall. All vendors are responsible for proper and complete cleaning of their stalls. Please leave your stall as you found it, clean and in an orderly fashion. Vendors selling at the Market must obtain necessary permits, licenses, and insurance. It is the sole responsibility of each vendor to be familiar with and abide by all state and federal regulations pertaining to the production, harvest, preparation, labeling and safety of products brought to the market. It is an individual vendor’s responsibility to ensure that, if necessary, proper sales tax is applied and appropriate permits are obtained. PERMITS/LICENSES: The following items require permits before selling at the Market (check with Linn County Health Department for specific information) • Meat • Cheese • Salsa • Jarred sauces and dressings • Wine/Brewed beverages • Wild Morel mushrooms • Eggs • Poultry • Honey. linncounty.civicplus.com/603/Food‐Safety The Village Farmers Market requires each merchant to carry $1,000,000 liability insurance, naming The Village Farmers Market, Czech Village Association and its employees, board members, and the city of Cedar Rapids as additionally insured. Labeling requirements for ALL food items • Common name of the food • Address of the person who prepared the food • Allergen information Food that is prepared in licensed food establishments must be labeled at a minimum with the following: • Product name • A list of ingredients • Net weight or volume • Allergen information If a vendor does not abide by the rules, The Village Farmers Market may take any action deemed appropriate, including revoking the vendor from selling at the market for that day and any future market dates. Vendors are required to use their stall for the sale of only those items actually produced or manufactured by the vendor. Vendors selling products other than their own will be removed from the market. The Village Farmers Market reserves the right to refuse vendors at any time, for any reason and to make exception to these rules and guidelines at their discretion. The Village Farmers Market may, at its discretion, cancel a lease without a refund or close any stall for the day for any fraudulent, dishonest and deceptive practices, inappropriate conduct, activities or otherwise disturbing the peace by the vendor, or its employees, agents or representatives on the premises. Vendors shall be courteous to other merchants and shall not engage in activities that make the other vendors and/or public uncomfortable. Consumption of alcohol or drug use by market vendors is strictly prohibited. There is no smoking at any time. For health and safety reasons; guest vendors are not allowed to bring pets into the Market. The sale or giving away of animals at the market is prohibited. Vendors shall not play, or allow to be played any radio or other sound instrument at the sound level that may annoy or disturb other vendors. Vendors are not permitted to use the following techniques while at the market: hawking, calling attention to products in a loud, repetitive, public manner, and selling products in an aggressive way. Vendors are discouraged from giving produce or other items away for free or at below cost pricing. This does not include sampling. Any vendor who has propane tanks, grills or other heat‐
generating equipment is required to have a fire extinguisher in their stall at all times.
