EXTENDED SCHOOL YEAR (ESY) 2015 - PROCEDURES AND GUIDELINES
I. Complete the Following Procedures for Students Eligible for ESY:
1. Verify that all students eligible for Extended School Year (ESY) services have an Individual
Educational Plan (IEP) that includes identified ESY goals, educational services and the
frequency of services.
2. Identify any students that require ESY services beyond the 20 day summer services
calendar, per the IEP, and whose parents plan on accessing these services. Contact the
designated ESE Service Center to identify the assigned center school location and to
coordinate the delivery of services for these students.
3. Identify students that are on an approved public McKay Scholarship and assign the students
to the ESY location based on their home school.
4. Future eligible students to the assigned ESY location in ISIS utilizing the ESY 2015 Feeder
Pattern chart available at http://ese.dadeschools.net.
5. Enter the ESY school location for eligible students in SPED EMS utilizing the ESY 2015
Feeder Pattern chart, available at http://ese.dadeschools.net (Instructions provided in
Section III).
6. Complete and fax to the ESE Service Center the 2015 ESY Transportation List (FM 7042),
available at http://ese.dadeschools.net for initial routing requests and any subsequent
additions, deletions or revisions. Complete a separate form for each ESY school site, if
applicable.
7. Distribute to parents the School Assignment Notification & Transportation Reservation form.
a. Fax the 2015 ESY Transportation List (FM 7042) for eligible students whose parents
have submitted the Transportation Reservation form indicating a need for a bus to
Transportation and the ESE Service Center.
i. Although all efforts should be made, if the parent does not return the
Transportation Reservation form, the student must be added to the ESY
Transportation list if eligible.
ii. FM 7042 is used for initial routing requests and any subsequent additions,
deletions or revisions. Complete a separate form for each ESY school site, if
applicable.
8. Summer School Transportation (SST) screens will be available on the M-DCPS intranet
beginning Monday, June 1st, 2015 Access to the SST screens must be provided by the site
administrator with AAAA authority. SST screens will be updated daily.
a. Notify parents of the transportation routing information utilizing the ESY Parent
Information form available at http://ese.dadeschools.net.
9. Complete and fax to the ESE Service Center and the Exceptional Student Education office
the 2015 Extended School Year & Summer School Program Services Information
Worksheet, available at http://ese.dadeschools.net only for students that require nursing
services, specialized food preparation, adaptive equipment, assistive technology, or any
other unique service that requires preplanning.
10. Verify that progress reports on IEP goals are completed prior to the close of the school year.
ESY school sites will be implementing students’ IEP goals identified for ESY.

II. ESY Sites are to Complete All of the Above and the Following Procedure:
1. Create a master schedule following the procedures in the 2015 Summer Services
Implementation Guide.
III. Directions for Entering an ESY Location for Eligible Students in SPED EMS:
An IEP meeting is not required to complete the following steps

Select eligible student.
Select IEP Process under the Process tab.
Select ESY.
Confirm ESY View is set to “Workspace.”
Confirm that question “Is the student in need of ESY Services” is set to “YES.”
Select the ESY Location from the dropdown menu.
Select St Save & Continue.

IV. Directions to Create a Report for students who may be Eligible for ESY on
SPED EMS:
1. Select Advance Student Search on the Student Search Tab
2. Select the box labeled “Search for students using the information from the Current IEP
rather than the Workspace”
3. Confirm and/or select your school.
4. Scroll to the bottom of the page.
5. Select the box labeled “Only include students with at least one service marked as ESY”
6. Select the box labeled “Open Results in a New Window
7. Select View Students.
8. A new Window will appear. If the number of eligible ESY students exceeds 100, select the
button “Next # Students” at the bottom of page. Each search result page can be printed
and/or copied into an EXCEL document.
9. The report may include students that may have transferred, are on a McKay Scholarship or
have an expired IEP.
