To provide project support for the Southland Economic Project within the Policy and Planning
Division. Other parts of the Division may also require support from time to time.

Key Result Area - Project Support
Key Tasks

The priority task is to write, edit and review
documents associated with the Southland Economic
Project

Undertake all general administrative support tasks
for the Southland Economic Project Arrange
meetings, resources (including meeting rooms, food,
and people), and facilities to support the Southland
Economic Project .

Prepare and circulate minutes from meetings

Co-ordinate mail outs For Southland Economic
Project

Ability to analyse data and establish project scopes
for the Southland Economic Project

Research of files, library systems, internet, legislation
as required.
I am successful when

I am well organised and work with/assist in
organising members of the Division;

I effectively perform a variety of tasks when
requested, accurately and on time;

I provide a timely and friendly level customer
service;

meeting notes and decision sheets are clear and
concise and accurately reflect discussion of
meeting and the decisions of the Council;

Plans and release of information in an organised
and timely manner, with attention given to detail.

Manage electronic files

Take responsibility for ensuring that data required
for the Southland Economic Project is obtained ,
stored and shared appropriately and that any clarity
issues are resolved.

all data, including submission data, is entered
accurately within an agreed timetable;

all reports for the Southland Economic Project are
produced in a timely manner with attention to
detail;

all queries are addressed in an accurate and timely
manner.

Person Specification
The following attributes and experience are sought for this position.
Knowledge/Experience





Tertiary qualification preferred but not essential.
Knowledge of the Southland Community is preferred.
Experience at working with a variety of groups of people would be useful.
Previous experience in a project management role.
Some understanding of basic economic principles would be helpful ,but not essential
Skills




Proficient computer skills – Microsoft Excel, Word, Outlook.
Taking the initiative for action without waiting to be asked.
Ability to recognise things are not right.
Excellent communication and time management skills.

Civil Defence Duties
All staff of Environment Southland may be required to undertake Civil Defence duties in the
event of an emergency. Training will be given as appropriate.
Performance Review
We have a Performance Development Programme (PDP) that is the basis for performance
assessment at all levels of the organisation. Individual performance plans are negotiated from
time to time.
Remuneration
Salary will be paid according to the skills and experience of the appointee.
