GFD Relief Association Heat In The Street 2015 Vendor Contract The GFD Relief Association is now accepting contracts for review from Professional Food Vendors. Please review this contract carefully. The vendor should complete this contract entirely and initial and sign for EACH stand/concession trailer. The GFD Relief Association will then review each contract. Once accepted, the contract will be signed by the GFD Relief Association and returned to the entity applying for admittance Fees: The fee for vendors to participate in the GFD Relief Association’s HEAT IN THE STREET is $ 300.00 per stand/concession trailer. No add‐on stands or vendors sales outside the initial stand. Payment is required in full. Checks will be cashed July 11, 2015. No refunds after that date. Electrical: The electrical supply is very limited and must be reserved. A Fee of $25.00 is required to have electrical supplied to your spot. Beverage Product and Cup ware: The GFD Relief Association doesn’t have an exclusive contract with any beverage wholesaler and each vendor is allowed to sell any product and serve in any cup ware.. They should be contacted directly. No outside freestanding coolers will be allowed. Ice will still be available for sale. Sale of products in metal or glass containers is prohibited. Insurance: All vendors must have General Liability Insurance naming the GFD Relief Association, City of Glencoe as additional insured with $1,000,000.00 Coverage. Enclose a Certificate of Insurance naming GFD Relief Association and The City of Glencoe with this contract. Passes: The GFD Relief Association HEAT IN THE STREET is an ALL PAY EVENT and requires payment for admittance from everyone. However, each vendor will be given 2 free admissions. Additional passes for vendors are available at the onsite ticket booth at a discounted rate of $15.00 per person. You can collect your passes the day of setup. Parking/Supply Trailers: Everyone MUST park supply trailers/vehicles in the designated vendor parking area. No motor vehicles will be permitted servicing vendors 5PM to 12AM the day of the event . All products must be hand carted to vendor’s stand. Storage: No outside storage will be allowed around or near the stand. Everything must be self‐contained inside the stand or in the storage trailer/vehicle in the Parking Lot Camping: The GFD Relief Association doesn’t have camping facilities on grounds. Rubbish, Gray Water & Grease: The GFD Relief Association has containers for rubbish. This must be used. Gray Water disposal is the responsibility of the vendor. Rubbish containers will be routinely emptied. Security: The GFD Relief Association and the City of Glencoe is not responsible for items lost, damaged or stolen during or after regular hours. Dismantling: No vendor may dismantle before Sunday (7/26/15) 1AM for safety reasons. All vendors must completely remove their stand by Sunday 9AM following the EVENT. Picture of Stand: Each vendor must submit a photo of their stand for review by the GFD Relief Association. Mail a photo of your stand with this contract. Food Items Selling: The GFD Relief Association seeks unique food items and promotes a variety of food items. Each vendor must list the food items selling. This then becomes the official food list for each respective food stand. The GFD Relief Association also requires these food items clearly outlined on a professional menu board. No white boards or cardboard signs. Vendors will not be allowed to be in direct competition with another Vendor. GFD Relief Association will be selling Beer; this will be off limits to all Outside Vendors. Food Items: Vendor Behavior: The GFD Relief Association allows vendors to participate in the HEAT IN THE STREET as long as they conduct themselves in accordance with a “family” and “Community” event. Vendors who fail to promote a “family” and “community” attitude will be removed and forfeit their fees. Timeline: Contracts received until JULY 1ST (after JULY 1st on a case by case basis). Once accepted – contract signed by GFD Relief Association and returned to vendor – designating acceptance. No post card sent. Checks Cashed July 11 2014 – No refunds after that date All vendors must check‐in with Ron Grack at the Heat In The Street event for location placement for the EVENT. No reserved spots. Placement is based on electrical needs and the best interests of the GFD Relief Association. Set up time will be the following: Friday 7/24/15: 10 am to 4pm Saturday 7/25/15: 9AM to 11AM The undersigned vendor agrees to the stipulations of this contract and the policies outlined therein. Failure by the vendor to abide by these policies and stipulations may result in immediate removal from the HEAT IN THE STREET without refund. The GFD Relief Association reserves the right to cancel this event at any time or this contract without cause. The GFD Relief Association cannot be held responsible for acts of Mother Nature which have a negative effect on the event.
