Producing Team Administrator Hull UK City of Culture 2017 Salary: £17,500 – 22,500 Subject to Experience In 2017, the eyes of the world will be on Hull as it becomes UK City of Culture. The delivery organisation for the project, Hull 2017, has been set up to deliver 365 days of transformative culture through a range of diverse and high-profile events and projects. This new role of Administrator is key to the Hull 2017 project’s success; the Administrator will be critical to the planning and realisation of the programme and co-ordination of the producing team. The Producing Team Administrator will report to the Executive Producers. Ferens Art Gallery: Hull Museums project milestones, marketing / comms; data collection and evaluation Principle Aims G To assist and provide administrative and logistical support to the Producing Team to ensure efficient programming development and delivery of the Hull 2017 programme Project Management G Develop and implement project management systems with Producing Team covering programme development as well as programme delivery periods G Key Accountabilities Develop and maintain the programming schedule for Hull 2017 as well as logging schedule information from organisations city-wide Contracts G G Maintain efficient contact relationship systems, schedule and administration processes G To manage main project management system G Administrate development of producing contract framework G Draft, issue, monitor and manage all contracts for producing team G Liaison with partners through contract period re Act as project lead for developing temporary accommodation providers for producing and technical teams, inputting into city readiness teams Prepare systems for artist liaison and volunteer involvement in projects G Finance G G Previous Experience: Administrate Hull 2017 financial systems for producing team and projects in the programme (from project budgets to keeping expenses up to date) G 2-3 years administration experience is essential G Ability to develop and maintain good working relationships and effectively is essential Support preparation of budgetary framework, and its implementation across projects through delivery and final reporting G Ability to deal with issues relating to diversity & access is essential G Excellent IT, verbal, written and presentational skills are essential G Office experience is essential G Experience in a busy arts or not for profit creative department is desirable G Driving licence is desirable G Knowledge of Project Management software is desirable Administration G G G G Provide general administrative support to the Producers, Technical Director and future members of the Producing Team Organise agendas and attend meetings, take minutes or notes and distribute information to relevant individuals Prepare and write reports, create and develop databases of contacts and undertake other similar administrative functions as and when required Plan, research and maintain information for producing and technical teams and manage contacts integration with wider Hull 2017 team Communications G G G G Prepare and implement mass communications for producing team Support preparation, drafting and implementation of copy, presentations and reports relating to the programme for Hull 2017 Lead and implement regular communications internally with Hull 2017 team and partnership teams (City Arts, VHEY and Hull Events) Act as a first point of contact for enquiries to the producing team General G Support and promote all company policy, with specific attention to Equality & Diversity, Customer Care, Health & Safety and Data Protection G Ensure a safe working environment is maintained at all times with particular regard to the health, safety and welfare of customers, visitors, staff and yourself G Support the organisation and its staff through the effective use of management systems G Any other reasonable duties required to ensure the smooth running of the business development department Personal attitudes: G Positive, proactive, self-motivated and flexible approach G Genuine interest in the Arts G Able to manage time effectively, to enjoy developing and implementing planning systems G Ability to cope with demanding workload while maintaining good humour, diplomacy and appropriate confidentiality G Be a logical and effective problem solver and decision maker G A willingness to work evenings and weekends when necessary G A desire to learn and develop G Be able to show initiative and resilience when dealing with change Producing Team Administrator - Hull UK City of Culture 2017 How to Apply This is a full time position based in Hull.
