Introduction Welcome to the Research Administration Training Program (RAT Pack)!! You have been asked to mentor one of the new trainees recently hired into the program. The information included in this packet will help you to understand how the program works, along with what is expected of you as a mentor. Appendix A, “Research Administration Training Program Guide” outlines the Program. Expectations As a Mentor to a RAT Pack Trainee, you are expected to do the following: Serve as a liaison between the executive committee and the trainee Manage the trainee (this includes making sure that the trainee understands expectations, time off, E210 approval) All vacation time should be requested through the mentor. The mentor should then check with the supervisor before approving anything. Manage the rotation process (this includes setting up each rotation, making sure the trainee understands logistics, assisting in parking set up, and assigning SAP roles, see Appendix B, “SAP Roles”) Work with rotational supervisors to ensure that the learning objectives are met Evaluate employees (both 120 and yearly reviews, to be completed in the same manner that your Division completes all evaluations and submit to the Committee Chair. Also note that you should check in with current and past rotational supervisors for input when filling out evaluations) Ensure that the rotational evaluations are complete Ensure that all online and in person trainings are completed by the trainee in a time frame that fits with each rotation (see Appendix C, “Training Program Template.” Each trainee will receive one of these to track progress) Manage Curriculum Periodically meet with the trainee to track/discuss progress Support and encourage the trainee to finish all rotations/complete the program Assist with job placement Hiring Process Appendix D, “RAT Program-Hiring Support Workflow” provides you with the hiring process from start to finish. Most, if not all of the information included in this document is handled by someone other than the mentor, but the information may still be of use to you. Things that you will need to make sure are taken care of prior to the trainee start date: Make sure there is use of/order a laptop for the trainee Set up workstation Email JHED ID ZSR E210 Parking Hopkins Badge (Homewood campus only, East Baltimore Handled by HR) On-boarding Things to Remember The trainee you are mentoring is a regular full time, non-exempt JHU employee. All of the same expectations, rules and standards apply for this trainee as others hired in your Division. It is important to keep in mind and relay to the trainee that non-exempt employees who work over 40 hours on any given week are required to be compensated with overtime.
