March • Renewal contracts to exhibitors with opportunity to
request changes due
May 31 • Pay booth rental in full and receive 2 points
• Pay 50% of booth rental in full and receive 1 point
July 1 • Exhibit renewal contracts (including requests for
increase size and relocation) and 50% payment due
July 5 • Certified letter to all unpaid 2015 exhibitors
providing a July 10 last chance before booths
relinquished
July 15 • Renewing exhibitors received confirmation letters
and NAVC.com exhibitor login and password due
November 1 • Last day to cancel your booth for a 50% refund
November 15 • Exhibitor description and product category key
words due for Official Program Guide (go to
portal)
January 15 • Lead retrieval (B. Card) orders due (see Freeman
Service Kit)
• Badge orders deadline (with final booth personnel)
• Shipping accepted at the Gaylord Palms Resort
January 15-16 • Booth set up at Gaylord (8:00 AM – 5:00 PM)
January 15-20 • Gaylord — Badge pick-up at the Exhibitor

January 17 • Welcome Sponsor Packets are delivered to exhibit
booths prior to opening. (This will include your
Official Program Guide, general flyer of NAVC
Conference information, sponsor ribbons if
applicable, animal identifications if applicable and
NAVC Passport stamps if applicable.)
January 16-20 • Marriott — Badge pick-up at the Exhibitor
Registration Desks
January 20 • Booth dismantle (Marriott) by 10:00 PM
January 21 • Booth dismantle (Gaylord) by 10:00 AM

December 16 • Shipping accepted at the Freeman Warehouse

for details) Additional fees will apply for materials
received after January 11
December 28 • Order Freeman Online to gain discounts
February • Contracts for NAVC Conference will be sent
to sign up for booth space at the OCCC by
appointment, for all NAVC Conference 2016
