NORTH CENTRAL NEW MEXICO ECONOMIC DEVELOPMENT DISTRICT Job Description JOB TITLE Administrative Assistant JOB DESCRIPTION The responsibility of the Administrative Assistant is to provide secretarial and administrative support to the agency and to work closely with the Non – Metro AAA Director to provide administrative support. DUTIES & RESPONSIBILITIES Duty Receptionist for phone calls and walk-in customers including documentation of activity Provide administrative support for the AAA Director and Executive Director including administrative support for the Advisory and other Committees as directed Responsible for office equipment and fleet maintenance in the Santa Fe Office Responsible for preparation of minutes Percent of total 35% 30% 20% 15% This position will require a highly motivated and responsible individual that can perform repetitive as well as non-routine assignments. This individual must be a self-starter capable of performing work with minimal direct supervision. The responsibilities of this position will require the individual to attend some meetings at the discretion of the AAA Director. Some travel may be required. The Administrative Assistant must have knowledge of the agency’s organization: who the key personnel are and the agency’s mission and programs. EXAMPLES OF WORK PERFORMED Screening and logging telephone calls, inquires and requests, directing them to the appropriate staff or agency Manage referrals from the Resource Center in a timely and accurate manner Send out notices for meetings conducting quorum determinations and assisting with preparations for the AAA Advisory Council Taking minutes as necessary at training, meetings and other pertinent functions Ensure all important information is updated and accurate (i.e. mailing labels, telephone numbers, email addresses) Ensures operation of equipment by completing preventive maintenance requirements following manufacturer's instructions troubleshooting malfunctions calling for repairs maintaining equipment inventories evaluating new equipment and techniques Managing the vehicle fleet for necessary maintenance Perform a wide variety of executive secretarial and administrative duties as required in daily operations Various administrative responsibilities assigned by AAA Director or Executive Director Maintains confidence and protects operations by keeping information confidential Maintains professional and technical knowledge by attending educational workshops reviewing professional publications establishing personal networks and participating in professional societies 1 Contributes to team effort by accomplishing related results as needed Other duties as assigned or necessary to meet the goals and objectives of NCNMEDD QUALIFICATIONS AND SKILLS REQUIRED Basic office and computer skills, particularly MS Office suite programs Ability to make good, sound-judgment decisions Ability to assess and prioritize multiple tasks, projects and demands Ability to establish priorities Knowledge of problem solving techniques Ability to interpret and apply agency policies and procedures Ability to complete tasks within deadlines Maintain effective working relationships with NCNMEDD staff, contractors, and Board members Good oral and written communication skills Ability to communicate well with the general public Ability to develop a reasonable understanding of agency programs Ability to work and perform in conflict/crisis environments Demonstrate behavior that maintains the organization credibility, integrity, and positive image in the community SUPERVISORY RESPONSIBILITIES This position does not require any supervisory responsibilities. PHYSICAL DEMANDS This position requires basic physical demands for working in an office environment including, sitting for long periods, using computers and other typical office equipment, driving a car/van, carrying documents, and walking. TRAINING No special training is required for this position. Standard training for all employees will be applied to this position as well as any training deemed beneficial by management in the future. DECISION-MAKING This position does not require decision-making responsibilities beyond those required in a typical dayto-day working environment. COMMUNICATIONS Reports to the AAA Director and interacts with NCNMEDD employees and contractors, New Mexico State agencies staff, Federal agencies staff, state and local elected officials, the public, and private and/or corporate entities. EQUIPMENT USED Typical office equipment will be used such as computers, calculators, phones, copier/printers, projectors, and cars/vans.
