Rose Bowl Operating Company ADDENDUM NO. 01 TO: All Potential Proposers DATE: May 21, 2015 PROJECT: Rose Bowl Cleaning and Administrative Housekeeping Bidding Documents CONTACT: Nancy Silver, Stadium Contracts Administrator [email protected] This Addendum forms a part of the Contract Documents for the Project described above and shall supersede referenced sections of the Bidding Documents. This Addendum is an integral part of said Bidding Documents and shall be acknowledged in the Contractor’s Bid Proposal form. Failure to acknowledge receipt of this Addendum in the Proposal may cause the Proposal to be rejected. I. This addendum is comprised of two (2) parts: (1) Pre-proposal Questions; and (2) Attachments. II. PRE-PROPOSAL QUESTIONS A. Question: What is the final date and time to submit questions regarding the bid documents? B. Answer: Friday May 22, 2015 at 10:00 am PST. Following that time a final addendum will be issued prior to the bid due date of May 27, 2015 at 12:00 pm PST. C. Question: What is the number of hours that determines whether an employee is part or full time and thus subject to the City of Pasadena’s Living Wage Ordinance? Also, would full time staff at the Rose Bowl be subject to the Living Wage Ordinance? D. Answer: Yes full time staff would be subject to the Living Wage Ordinance. The determination of whether an employee is part or full time would be consistent with applicable labor laws. 1|Page E. Question: All the last bids were rejected. Is there a difference between non-responsive and rejected? F. Answer: Yes there is a difference. Please see Notice Inviting Bids Rose Bowl Cleaning and Administrative Offices Housekeeping, section 1.8 “Award of Bid and Determination of Responsiveness” for further specification. G. Question: Are you guys just looking at a closer view for each event? H. Answer: The Price Matrix is now consistent to keep an accurate comparison for all bids. I. Question: Is the Price Matrix is based only on the labor? Are we supposed to show a line item for the equipment as well? J. Answer: No. The cost of equipment should be built into the staffing rates. K. Question: When will we know if we are awarded the contract, following the board meeting date or prior? L. Answer: Prior to the next RBOC Board Meeting on June 4, 2015, a Notice of Intent to Award Contract for Rose Bowl Cleaning and Administrative Housekeeping will be distributed to all bidders notifying them of which company the RBOC intends to award the contract to. M. Question: When the bid was rejected did it open it up completely for any new companies to submit a bid? N. Answer: Yes, as long as they attended the mandatory pre-bid meeting on May 19, 2015. O. Question: For the Price Matrix are there a set number of events instead of a range? If so how many? P. Answer: Yes. The Price Matrix has a fixed number for the various types of events (football, soccer, concert, minor events, etc.) and it is all locked in place, all that needs to be entered are the staffing rates. Q. Question: Once a contract is provided to the winning bidder is it possible to replace a cashier’s check with a bond? R. Answer: That is not necessary. Once the contract is fully executed the cashier’s check will be returned to you. 2|Page III. ATTACHMENTS a.
