JOB DESCRIPTION POSITION: Admissions Coordinator SUPERVISOR: Director of Admissions SUPERVISES: N/A STATUS: Full-time - 30 hours per week, Monday – Friday; Occasional weekend hours JOB SUMMARY: Acts as a representative to prospective students; assists and reports to Director of Admissions JOB DUTIES AND RESPONSIBILITIES: Represents AOMA Graduate School of Integrative Medicine (AOMA) to prospective students. Provides prospective students with information about all aspects of graduate programs in acupuncture & Chinese medicine, including academics, student experience, alumni success, acupuncture licensure and practice, living in Austin, and general information about Chinese medicine. Serves as an initial point of contact for admissions office; maintains contact with prospective students and applicants, answering questions, making/returning phone calls, responding to email messages, referring students to appropriate resources. Coordinates campus visits for prospective students: leads campus tours, facilitates classroom visits with faculty, schedules complimentary acupuncture appointments in AOMA Student Intern Clinic. Represents AOMA at University career days/ graduate school fairs, health fairs/shows, and similar venues. Coordinates receipt and tracking of application materials and documents during application process; schedules admissions interviews for applicants; schedules registration appointments for new students once accepted; works collaboratively /communicates directly with Registrar, Academic Advisors, and Financial Aid Office during admissions and registration processes. Assists Director of Admissions with planning and preparation of new student orientation. Assists Director of Admissions to coordinate, plan, and promote special admission on-campus events including graduate program information sessions and prospective student weekends; participates as an admissions representative during these events. Reports weekly to Director of Admissions regarding admissions activities, numbers of inquiries, and status of applications. Completes general office duties including: photocopying, filing, printing, laminating, supply ordering, and sorting mail. REQUIRED QUALIFICATIONS: Bachelor’s degree Excellent written and oral communication skills: must possess ability to convey complex information in articulate and engaging manner; must be comfortable speaking/presenting to individuals and small groups Ability to listen attentively, to relate, and to respond to concerns in an appropriate manner with sensitivity and tact Experience communicating in a professional manner with diverse groups of people from different geographic, socioeconomic, and professional backgrounds Proficiency with higher-level aspects of Microsoft Word, Excel, and Outlook Computer literacy and proficiency with internet research and navigation Strong organization skills; must have ability to prioritize tasks for efficient time-management and work with littlesupervision PREFERRED QUALIFICATIONS: Experience with/knowledge of Chinese/holistic medicine preferred Experience with CRM or marketing automation software and databases highly preferred 1-2 years’ experience in college/graduate level admissions OR similar experience acting as a representative of a company or organization highly preferred PHYSICAL REQUIREMENTS: Communicating, detecting, conversing, discerning, conveying, expressing oneself, discussing and exchanging information Determines, distinguishes, identifies, recognizes, perceives, estimates, judges, inspects, compares, observes, assesses.
