How to share large files online in the MIS Portal How to share large files online in the MIS Portal Step 1 MIS Administrator grants website permissions to the staff or student Step 2 Staff or student uploads the file and share the access URL MIS Portal 1 (mis.eq.edu.au) allows staff or students to upload files then share the URL for others to access. Various permission levels can be set to ensure only the right people view your documents. All URLs to access documents stored online via the MIS Portal’s Content Upload feature have the below format (individual Access URLs are not displayed - you will need to create it yourself): http://resources.YourSchoolDomain.eq.edu.au/home/YourMISID/YourFileName Things to note: 1. Files to be uploaded cannot have spaces or characters in the filename. For example, the file ‘Example_MIS Guide.doc’ should be renamed to ‘ExampleMISGuide.doc’ prior to uploading. 2. Filenames in the URL are case sensitive. For example, if the document title is ‘MIS.doc’, then http://resources.exampleschool.eq.edu.au/home/examplemisid/mis.doc will not work. The correct URL would be http://resources.exampleschool.eq.edu.au/home/examplemisid/MIS.doc. 3. Changing permission levels to access the URL may take up to an hour to take effect. Guide 1 How MIS Admins can give website permissions to staff or students Log into the MIS Portal: 1. Navigate to mis.eq.edu.au and Login 2. Go to the following tabs: Administration – Manage User – Change Details 3. Select the MIS ID radio button, search for the user and hit Select 4. Ensure the box for Personal Website is ticked 5. Press Submit 6. Go to the following tabs: Administration – ManageSchool – Email/Web Quotas 7. Select the Web Quota radio button Here you’ll see a total of: a) Quota available: This is the amount given to your school based on your enrolment numbers, plus any additional web quota your school has purchased b) Quota allocated: This is the total your MIS Admin has distributed to staff and students, and how much has been used by your school website c) Unallocated: This is how much space is remaining, to distribute to other staff/students and to use for your school website. This total is the difference between d) Quota Available and Quota Allocated. 8. Enter the MIS ID of the staff or student and press Select Review how much quota they currently have allocated to them 9. If necessary, increase this quota by entering the new total (in the screenshot example, rirod0 will now have a total of 50MB, not an increase of 50MB which would amount to a total of 70MB). Press Submit. Guide 2 Uploading the file, setting permissions and sharing the access URL Login to the MIS Portal 1. Navigate to mis.eq.edu.au You will see your MIS homepage with the Content Upload section to the left. Now that you have website permissions, you’ll see a link titled Manage my website. 2. Select this link. For files you want to make public (accessible to anyone with the access URL) 1. Click the Browse button inside the Upload File box to search for the file you want accessible online. 2. Once located, select Upload. You are now ready to give your access URL to those you want to view your online file, hoever it may take up to an hour to become available. Your URL will not appear on the screen. Therefor, pleae take note of the following detials: Know your school domain name – i.e the part you enter when you to to your school’s website (e.g. wellpoinss) Know your MIS ID Know the exact name of the document including the extension (e.g “.pdf” or “.doc”) Steps to create your URL: 1. Your URL will always start with http://resources 2. Add your school domain name 3. Add “.eq.edu.au/home/” 4. Add your MIS ID 5. Add the exact name of the document For files you want only select users/group of users to view You’ll have to create a directory called, for example, Secure. Remember to include the name of your directory in your Access URL. 1. To do this, type the word Secure into the Create Directory box and select CREATE. 2. Click on your new Secure Directory 3. Click the Browse button inside the Upload File box to search for the file you want accessible online. For all files that aren’t going to be made publicly accessible, upload them into this Secure directory. 4. Once the desired file is located, select Upload. 5. In the Search for user(s) or group section, locate the user by MIS ID (or Group if you want to choose the staff or Year 6 group for example) that you want to be able to view your files. Press Select. 6. Press submit. You will see your selected users, or groups of users, in the Current access restrictions section. Note: It may take up to an hour for the user/s to gain access via the URL. To remove that person, tick the checkbox under Remove and select Update. You are now ready to give your access URL to those who you’ve given permission to view your online file. Your URL will have the format of: (please see more detailed Access URL instructions on Page 6). Don’t forget to include the name of the ‘secure’ directory in the Access URL you give out!
