EpiCare Frequently Asked Questions (FAQs) for Providers 1. What is EpiCare? What is Epic Hyperspace? What is EpiCare Link? EpiCare, commonly known as Epic, is Saint Francis Care new patient‐centered electronic health record. Epic encompasses the complete patient registration, scheduling, clinical and billing information for the Saint Francis Care hospitals and clinics. Providers will use the following tools to access Epic: • • Epic Hyperspace application will be used by providers to take care of their patients in the hospital. It includes functionality to allow providers to write notes, orders, admit and discharge patients. EpiCare Link is the web‐based portal that providers in the community and their office staff, will use to access information stored in the Saint Francis Care Epic electronic health record. It provides read‐only access to Epic. 2. What are the two Saint Francis Care hospitals? When do they go‐live on Epic? The Saint Francis Care hospitals are: Saint Francis Hospital and Medical Center (Hartford, CT) Mount Sinai Hospital and Rehabilitation Center (Hartford, CT) The Epic go‐live is April 1, 2014, for Saint Francis Hospital and Mount Sinai Hospital & Rehabilitation Center. 3. Why do I hear different terms for Epic such as Cadence, Beacon, and OpTime? Epic is a robust clinical information system that provides hospitals and providers a wide variety of tools and modules to improve and enhance patient care, with each module having its own name. Cadence is the scheduling module. Beacon is the oncology application. OpTime is the surgery module. There are more than 30 modules within Epic. 4. Can I continue to document new patient data in CareLink instead of using Epic? No. CareLink will only be accessible as a read only application starting April 1, 2014. Providers can access CareLink to look up historical data. 5. Is CareLink going away? No. Historical patient data will remain in CareLink. CareLink users can continue to access historical data using their CareLink username and password. As of April 1, 2014, new patient data will only be accessible through Epic and EpiCare Link. Access 6. How do I first get access to Epic? An Epic account will be created for credentialed providers who have completed their required training. Access to Epic is required for providers to be able to practice at the Hospital. There will be no exceptions. 7. Will I use my CareLink username to access Epic? No. Your username and password will be the same as your email username and password, which is the same as a network computer login. Providers who do not have St. Francis email can contact helpdesk to activate their username and passwords (860-714-5519). 8. How will I access Epic from the Hospital? You can access Epic from any Hospital desktop on the computer by clicking the EpiCare-PRD icon. 9. How will I access Epic outside the Hospital? Providers can request remote access to EpiCare. More information about how to request remote access can be found at www.stfranciscare.org/EpiCare. If you already have remote access to CareLink today you should automatically see the icons for EpiCare. If for some reason you do not see an EpiCare icon, please contact helpdesk. 10. Will my support staff be able to access new patient data through CareLink? No. Not after March 31, 2014. The office staff of credentialed providers, non‐credentialed referring providers and select community agencies/providers will have access to the electronic health record through a product called EpiCare Link, which is a secure online portal that connects them to information stored in the Saint Francis Care Epic EHR. There is a separate onboarding process for referring clinic staff needing to access EpiCare Link. Our Epic team has been contacting clinic managers to prepare providers’ access to EpiCare Link. New providers that join St. Francis Hospital and Medical Center should call (860)714-7000 or send an email to [email protected] to schedule their training. Support at Go-Live 12. Will onsite support be provided to providers? Yes. Go‐live support will be provided in several different ways. The Physician Lounge, located at Saint Francis on 3-9, will have Certified Trainers available for Epic support. The Physician Lounge computer workstations will be staffed with knowledgeable trainers and physician leaders available to answer questions, provide additional training, help with Epic customization and assist with access. Go-Live Support Guide 13. I still have questions. Who can I contact? Call our local support at 860‐714-5519 for questions related to computer logins and passwords. Support is available to you 24 hours a day, 7 days a week.
