Announcing… Rapattoni Magic Version 8.17.03 Rapattoni Corporation is pleased to announce the newest release of Rapattoni Magic. Many programs throughout the system have been optimized for functionality and speed. Following are just a few of the new features and changes. Please see the attached Release Notes for a complete, detailed list. Highlights • Payment Plan – Make Paying Bills Online Easier For Your Members! You now have the option to allow members to make partial payments from your IMS Web site. You can specify a minimum amount to pay instead of paying the full amount, making the process less of a burden for your members. Of course, they still have the option to pay the full amount if they choose to. • Split Dues Payments Members’ dues payments can automatically be split into local, state, and national. If you set up the invoice type for E-Commerce Split, the software will allocate the money appropriately when a member pays an invoice. It’s even possible to deposit them into different bank accounts, automatically. This new feature will allow state and national to receive their money earlier, which will help you avoid paying additional fees. • New Report - Committee Member Conflicts Report A new Committee Member Conflicts Report is available for your staff. This report will help you keep your committee meetings and schedules better organized by displaying the member, committee, time, day, and location in a simple report format. • Copying Classes Made Easy! A new button in Rapattoni Magic lets you copy and create a new class using the information from a current class. All information, including Course ID, Billing Group, Rate Table, IMS Options, etc., is copied over. You simply need to modify the class day/time and location. This will save you valuable time when creating new classes. • New Magic Resource Center A new button, located under the About Support section in the Help menu, quickly links you to our online Magic Resource Center. Here, you can find answers to frequently asked questions, tips, technical articles, and more. You can also find this Web site by going directly to www.Rapattoni.com and clicking on Magic Resource Center. • New Security Feature We have added a new security feature that can hide the Social Security Number field unless you have the proper access rights to view this field. This helps keep Social Security numbers confidential and more secure for your members. IMS Broadcast Notice History In the IMS Broadcast Notice History, it will now display the sender's first and last name, instead of the nickname and IMS login. IMS Committee Calendar As a new feature, we have added the comment field to display on the IMS Committee Calendar. When you add a comment to a specific committee in Rapattoni Magic, it will display to your members on the IMS Web site. This will give you the flexibility to attach any important information to each of your committee meetings. IMS Convention Detail We have modified the convention detail screen in IMS to give your members a more "complete" look of the convention information. Previously, if a member was registered for a package within a convention, they could only see the package they were registered for. However, with the new modification, the member will now be able to view all of the convention details. For enhanced security purposes, we have added a new field for all credit card transactions. The new field will represent the Credit Card Security ID located on all credit cards. This number is usually a three or four digit number located above the credit card number. It is used by credit card companies to identify the person making the transaction as the actual credit card holder. There will be a blue hyperlink next to the field to help explain the purpose of this field to users who are not aware of its function. IMS Credit Card Info IMS Listing Agent Detail For reference purposes, we have added Member MLS ID and Office MLS ID to the IMS Listing Agent Detail screen. IMS Member Personal Info For reference purposes, we have added Member MLS ID and Office MLS ID to the IMS Member Personal Information screen. IMS Payment Info You now have the ability to split member's online dues payments into Local, State, and National. The software will split the payment if one of the invoices paid has "E-Commerce Split" selected in the invoice type. This will make dues payments easier to organize for your staff and save you time during your billing period. IMS Payment Info Telecheck will reject any payment over $2,500.00. As a reminder, we have added a warning message (displayed in red) that warns you if you try to enter an amount greater than $2,500.00. IMS View Account There is a new link that allows you to toggle between the following two options: "view all offices" or "view all active offices." You can choose to either view active offices only or view all offices, regardless of their status. We now have the ability for you to link to VoteNet, which will enable your members to vote online. To take advantage of this feature, you will need to purchase the service from VoteNet. VoteNet will then provide you with a URL that you can link directly to your IMS Web site. This URL will need to be configured in the Service Setup Form and sorted properly as a menu item. The URL will show as a link to the members, and they can click on it to log into eBallot and vote! The setup only takes a few minutes, and it will help make the voting process easier and better organized. IMS VoteNet Page Web Trans Log by Batch You can now print a Web Transaction Log By Batch and specify a particular time period. This new option will assist you in reconciling transactions with your credit card processor. Programs - Membership Accounting Ask Batch We have added a new error message to avoid confusion when selecting batches. The following message will display if an incorrect batch type of "W" (IMS Web Batch) is selected and a different type is required: "The batch selected is for IMS transactions only." Bill Information Form We have added a zoom option to the AR Position field on the Bill Information Form. This field is used for indicating your association's position on a particular bill (Y/N). Cash Receipts Posting Form To avoid problems with processing credit cards, we have added a new warning message. If you select a credit card as your payment type and attempt to type in the reference field, you will get the following message: "Reference must be blank so that the card can be validated." The Charge Code Set field will allow you to run a report based on a specific set. Also, using the Charge Code Status field, you can run reports for a particular status. Using these new fields will give you a more precise Charge Code Report. Charge Code Report We have added a new sort option to the Charge Code Report to give you added flexibility when running this report. You can now sort by G/L Account Number in addition to the previous sort options. Invoice Type Table We have added new options to the Invoice Type Table for Internet Member Services that will provide more control and flexibility for your staff. The following options have been added to IMS: Update Status: Whether or not you want the system to update the member's status to Active if invoices are paid (Y = Yes, update status, or N = No, do not update status) E-Commerce Split: Whether or not you want to allocate Local, State, National monies when processing credit cards using NRDS (Y = Yes, allocate, or N = No, do not allocate). Payment Plan: Whether or not you will allow a payment plan in which members can pay in installments. This new feature will allow members to make partial payments on IMS. If you choose to take advantage of this feature, you will need to fill in a Minimum Payment %. When members go to the screen to pay their invoices, they will have the option to participate in the Payment Plan and pay the minimum amount. If they elect to participate in this, they will be prompted to pay the amount you specify as the Minimum Payment %. (Y = Yes, allow payment plan, or N = No, do not allow payment plan). Minimum Payment %: Allows you to set a minimum amount (%) for the Payment Plan. Require Credit Card: Whether or not credit card payment will be required to be stored in the Member Credit Cards Table when accepting payments through the Payment Plan (Y = Yes, credit card required, or N = No, credit card not required). Sort Sequence: If you select Payment Plan (Y) and Require Credit Card (Y), then you have the option to assign the member credit card a sort order in the Member Credit Cards Table. Pay One Invoice To avoid problems with processing credit cards, we have added a new warning message. If you select a credit card payment type and attempt to type in the reference field, you will get the following message: "Reference must be blank so that the card can be validated." Recurring Charges Report Modified the criteria to allow all Item Codes if running the report for Charges, Detailed, By Member. Sales Invoice Form To avoid problems with processing credit cards, we have added a new warning message. If you select a credit card payment type and attempt to type in the reference field, you will get the following message: "Reference must be blank so that the card can be validated." Sales Invoice Form You now have the ability to split member's dues payments into Local, State, and National. The software will split the payment if one of the invoices paid has "E-Commerce Split" selected in the invoice type. This will make dues payments easier to organize for your staff and save you time during your billing period. Sales Invoice Form On the Sales Invoice Form, we have added a new button to speed up the process of posting invoices to a member's account. When you are in the Sales Invoice Form to create a new charge and charge it to the member's account, a box appears stating that the posting process is taking place. During this process, a new button (blue link) will appear, called "Click here to close this form." This button will allow you to complete the process manually without having to wait for the window to close. If you wait and do not click the button, it will automatically close in a few seconds. Write Off Invoice We have added a new error message to help avoid confusion when writing off invoices. The following error will appear if you select a batch with a billing group whose G/L company is different than the G/L company for the invoice's billing group: "G/L company for the batch is not the same as G/L company for the invoice. Please select another batch." Committee Rapattoni Magic Release Notes Report run on 09/24/03 at 16:21 Type Name From Version: 8.16.03 Thru Version: 8.17.03 Page 3 Description Programs - Membership Committee Committee Acknowledgment Merge We have added a new field to the Committee Acknowledgment Merge, giving you added flexibility with your committee merges. In previous versions of Rapattoni Magic, you were only able to merge active committee members. However, with the new field, you can merge a specific status. We have defaulted the form to merge active committee members, but it can easily be modified. You may also merge all statuses by leaving this field blank. Committee Member Conflicts We have added a new committee report called Committee Member Conflicts Report to help you keep your members and their meetings better organized. This report will show you all of the meeting times/days for all of your committee members and will also help avoid any conflicts in their schedules. It will display the member, committee, time, day, and location of the meeting. Committee Merge Form We have added three additional position codes on the Committee Merge Form. This code identifies a member’s position on a committee (zoom to select up to six codes, or leave blank to include all). Contributions Contribution History Report There is a new selection criteria field for the Contribution History Report. The "Specified Billing Year Only" field allows you to run the report for one specific billing year, without having to view contributions from previous years. Contributions Merge Form We have added a new merge output field in the Contribution Merge called Lifetime Amount. If you choose to use this merge field in your merge, it will display the total lifetime amount of contributions made by that particular member. Credit Card Processing Credit Card Transaction Report You can now print a Credit Card Transaction Report and specify a particular time period. This new option will assist you in reconciling transactions with your credit card processor. Education Class Information Form We have added a new button to the Class Information Form that will save you time and make adding additional classes easier. The new button, labeled Copy Class, allows you to copy and create a new class using the information from a current class. All information, including Course ID, Billing Group, Charge Code, Rate Table, Default Grade, IMS Options, Instructors, etc. will be copied to the new class. You will still need to go into the newly created class to fill in class times/dates and location. You also have the option to modify any of the information after it has been copied. Class Registration Report The Class Registration Report will now print all class information, even if no members are registered for the class. This will enable you to access the desired class information in a report format without having to worry about whether or not any members are enrolled. Class Registration Report In the Class Registration Report, the member's credit card number will now be masked with asterisks (*), except for the last four digits. This new format is more secure and will still allow you to reference the credit card with the last 4 digits. Class Schedule Report We have added a 4th Sort Option to the Class Schedule Report. This new option allows you to sort by Class End Date, giving you more of a variety to choose from. Course Query Form To be more consistent, we have changed the phone display from Home Phone to Office Phone to match what is currently displayed in the Class Registration Query Form. Added Course Type as a selection criterion for the reports, to increase flexibility for pulling education data. Education History Report Event Cancel Conv/Event/Class Create Invoice - Conv/Ev/Ed Government Affairs We have added a new option to create credits on a member's account or refund the member's credit card when canceling registration. This will make it easier and faster for you to process cancellations and to issue credits. We have now added Split Contribution functionality for contribution charge codes. If you are using a Charge Code that is set up as a Contribution, the invoice created will allocate the money based on the percentages created in the Contributions Percentage Table. This feature will help you allocate the money automatically, rather than having to do it manually. We added an E-mail address field to the Legislator Report to provide you with additional tracking and contact information for all of your legislators. Internet Member Services IMS Financial Transac. Report You can now print an IMS Financial Transactions Report and specify a particular time period. This new option will assist you in reconciling transactions with your credit card processor. IMS Setup Form IMS now gives you the option of allowing members to charge to their account. In the Accounting Setup Form, you can either select Y to allow members to charge to their account, or N to not allow this option. This feature is only enabled for Event, Education, Convention, and Store services. This will give you more control on which services members can charge to their account. We have made a name change in the IMS Accounting Service Setup Form to better describe the function of the text box. Invoice Message has been changed to Receipt Message. IMS Setup Form IMS Setup Form We have added a new option on the IMS Membership Detail Form that will provide you more flexibility in the online application process and eliminate any confusion for new applicants. You will have the option to separate the applications between users who want to sign up for a membership account and users who want to sign up for a public access account. The two applications are formatted differently, and users will have the ability to choose which application they would like to fill out. Also, we added a new check box that will force the software to auto-generate new member invoices based on the applicant's billing type. After paying off the invoices, the applicant will be able to access the member IMS Main Menu. This feature can be turned off if you do not wish to use it. Merchant Number Form Additional Distribution fields have been added to the form where merchant numbers are set up. The fields may be used in conjunction with the E-commerce Split feature that enables you to separate members' dues payments into local, state and national. The Additional Distribution fields accommodate depositing these amounts into different bank accounts. (NOTE: Please contact Rapattoni support for assistance modifying your merchant number setup.) Inventory Inventory Query Form The Inventory Query Form will now display active charge codes only. Previously, if a charge code (in the Charge Code Table) was set to inactive, it would still show in the Inventory Query Form. To help make your inventory easier to manage, we have modified the program to only show active charge codes. Inventory Report We have added E-mail address and Web Page address to the Re-Order Report so you can view all Internet information associated with your vendors on this report. Vendor Information Form We have added a new Internet button to the Vendor Information Form to allow you to track E-mail addresses and Web Page addresses for your vendors. Vendor Report You can now display e-mail addresses and Web page information on the Vendor Report. This will help you keep track of all Internet information for your vendors. Membership About Support We have added a new button that will quickly link you to our Magic Resource Center, which contains valuable information. Here, you can find answers to the most frequently asked questions, technical articles, tips, and much more. This new button can be found under the "About Support" section in the Help menu of Rapattoni Magic. Internet Information Form When adding a new E-mail address to a member's record, the software will ask you if you would like to update the member's billing preference. Since you are adding a new E-mail address, you may want to change the billing preference to E-mail for the member. You are not required to make a change once you are prompted. If you leave the E-mail address field blank, the billing preference will default to Mail (M). We have added the On Roster indicator to the Member Association Maintenance Form. This new field will help you "pull" member records based on the On Roster preference located in the Member Association Detail Form (Y=On Roster field is set to Y; N=On Roster field is set to N). Member Association Maintenance Member Information Form For your convenience, we have now modified the default for Preferred Publication from Office Street to Office Mail. This change can be seen in the member's preferences and can be modified if necessary. The system will force you to enter a password for the member record before exiting the Member Information Form. However, if the IMS Login field is blank, then the password field may also be left blank. You will only be forced to enter a password if you have the access rights in Rapattoni Magic to view passwords. Member Information Form The system will now display the member's social security number only if the Rapattoni Magic user has the appropriate rights to view social security numbers. This change is system wide and has been implemented to ensure privacy of the member's record. Member Information Form When adding a new E-mail address to a member's record, the software will ask you if you would like to update the member's billing preference. Since you are adding a new E-mail address, you may want to change the billing preference to E-mail for the member. You are not required to make a change once you are prompted. This change has been made system-wide to better define the purpose of these fields. We have added Billed Status to the selection criteria for the Member Report - Member Status. This will allow you to select specific billed statuses in your report. Member Report - Member Status Merge Output We have added E-mail and Web Page Address to the Vendor Merge fields to allow you run merges on these two new fields. Now it will be easier to track web page information and correspond via E-mail with all of your vendors. Merge Output We have added Voting Precinct and IMS Login as merge fields to the general merge. This will allow you to run all types of merges using these new options. Merge Output The Committee Merge will now allow you to merge the Committee Position Description. This new field will enable you to input this description field in your correspondence with your committee members. When you select the Multiple Zip Code Selector, you have the option to click on the Quick Select Options button. That button takes you to the Zip Code Quick Select Options form. This field will give you the option to add a new member that is not currently in your Rapattoni Magic database. You may assign the new member any member number you desire by populating the "To" field with that number.
