Appendix B: Sample Action Plan Below are the recommended steps for administering your Reflections® program. Use this page to organize tasks, delegate tasks to your committee and schedule deadlines. Actions Task Leader Step #1: Orient yourself to the Reflections Program. Read through this guide to familiarize yourself with the program and what will be required. Confirm with your President that your Local PTA is in good standing with the State PTA and eligible to participate. Make sure the Reflections program is included in your PTA’s program budget for the school year. Visit www.nevadapta.org for information. Register your Local PTA using easy-to-use online from available at www.pta.org/reflections. Establish a timeline for your Reflections Program activities, using this template as a guide. Step 2: Organize a team of volunteers. Recruit your Reflections Program planning committee. Engage school personnel and community members for additional support. Step 3: Promote the Reflections Program to students, school personnel and the community. Visit www.nevadapta.org for posters and flyers Step 4: Collect and organize artwork for judging. Step 5: Judge artwork and assign awards. Step 6: Advance winning artwork to the next round of judging. Send email to parents/guardians of students advancing to the next round with a link to www.pta.org/reflections and request that they complete the Student Entry form. Be available to help. If internet access is limited, distribute and collect the offline Student Entry form in Appendix ?? to gain all of the pertinent information required, including parent/guardian signature authorizing PTA use of student’s name and artwork for promotion purposes. Then, submit the information into the online Student Entry form at www.pta.org/reflections. Receive and print confirmations for PTA registration and student entry forms. Follow Nevada PTA’s guidance on sending in the Reflections packet: o Print confirmation pages of your PTA registration form and online submission form for advancing student winners Due Date Appendix B: Sample Action Plan o For visual arts and photography, attach printed confirmation of student entry to artwork and put it in an appropriately sized envelope o Compile all other submissions on CD-ROM or DVD and name each file: <STATE>.<DIVISION>.<CATEGORY>.<LAST NAME>.<FIRST NAME> Example: NV.PHOTOGRAPHY.MID.SMITH.JOHN Shipped entries to arrive no later than 3pm January 10, 2014 to: Nevada PTA 6175 Spring Mountain Rd., Suite 1B Las Vegas, NV 89146 Step 7: Celebrate student participation and achievement. Take pictures of your celebrations and award-winning students with their artwork. Post the photos on Nevada PTA’s Facebook page. We would love to celebrate with you! Contact your Local Media to promote the award recipients and your PTA’s participation. Step 8: Wrap up. Recognize your student participants, winners, judges, and volunteers. Return non-advancing student artwork. Evaluate your program and consider future improvements.
