Troop Fall Product Manager Position MAJOR RESPONSIBILITIES Attend Fall Product Program training. Make sure all girls are registered. Demonstrate commitment to the Girl Scout Mission by supporting the Fall Product Program. Train girls and parents in the troop explaining and distributing the materials, procedures, and timelines. Collect individual girls’ envelopes containing orders and money. Check to be sure all forms are filled out completely and correctly, and all money is included. Enter girl information in Nut-E software. Deposit money and turn in magazine order forms and booklets to the Service Unit Fall Product Manager. Distribute individual rewards to girls. COMPETENCIES Be registered as an adult member of Girl Scouts of the USA. Have a completed Volunteer Application on file at the council service center. Be able to follow Girl Scout policies and guidelines. Accept the principles and beliefs of Girl Scouting. Ability to coordinate a successful Fall Product Program in the troop by informing parents and girls. Possess the ability to encourage and motivate girls and their parents. Exhibit tact, patience, and understanding in working with people. Be task oriented and have excellent math and record keeping skills. Have internet access, good computer skills and know how to use the Nut-E software. Any person accepting a volunteer position in Girl Scouts of Louisiana – Pines to the Gulf is committing herself or himself to a position of great responsibility to the girls, their parents, fellow volunteers, staff members, the Girl Scout organization and the general public. 2. A volunteer position demands a professional approach at all times. The volunteer should: • show emotional maturity • recognize the importance of the position • put aside personal matters in favor of the principles of the Girl Scout organization • make wise decisions regarding health and safety • follow administrative directives • communicate in a reasonable manner with girls, parents, other volunteers, staff members, and the general public • assume authority when appropriate • show a high tolerance for stress • be patient and level-headed should an emergency occur • provide for individual girl’s needs in a group setting 3. Personal qualities of a dedicated volunteer include flexibility, patience, leadership, self-confidence, self-motivation, sense of humor, self-control, and empathy for children. 4. Volunteers are expected to adjust personal actions to the principles in the Promise and Law, volunteer policies, and goals of Girl Scouts of Louisiana – Pines to the Gulf Council and to conduct themselves in a manner that is a credit to the Girl Scout organization. 5. Any display of sexual activity with other volunteers, parents, staff members, friends, or girls is not permitted. Actions displaying friendship and or fellowship shall be in good taste. 6. The use of alcohol while on Girl Scout property or in the presence of girls is prohibite. “The use or consumption of illegal drugs is never allowed. No one shall be under the influence of alcohol or drugs when working with girls. Illegal drugs are never permitted on Girl Scout properties.” 6. Smoking or the use of tobacco is permitted only in designated areas and never in the presence of girls. 8. All actions and behavior shall comply with health and safety standards as outlined in Volunteer Essentials, Chapter 4 and the Safety Activity Checkpoints. 9. The discipline of Girl Scouts shall in no way be verbally or physically abusive. Girls are to be treated with dignity and respect at all times. 10. Management of Girl Scout funds shall be handled in a responsible and trustworthy manner. 11. All volunteers shall project a positive image of Girl Scouts of Louisiana – Pines to the Gulf and GSUSA through their actions and attitude. 12. Volunteers should dress appropriate to the activity. 13. Policies and procedures as outlined in the GSLPG Resources should be followed at all times. 2 IMPORTANT DATES The 2012 Fall Product Program will take October 8 – November 4 in all of Girl Scouts of Louisiana – Pines to the Gulf. Mark your calendars with these very important dates. September Attend trainings in one of the five regions October Train troops who miss the September training October Set meeting to train parents and girls. Distribute materials Oct. 8 – Nov. 4 Fall Product Program dates November 6 Girl orders due to Troop Fall Product Manager (TFPM) November 7 Troop orders due to your Service Unit Fall Product Manager (SUFPM) November 9 Service unit orders due to council December 3-7 TFPM picks-up nuts/candy items from SUFPM December 10-14 TFPM distributes nuts/candy items to girls. Make sure all girl orders are picked up before school lets out for the holidays. January Pick-up rewards from SUFPM and distribute to girls Make sure to tell your parents’ money is collected at the time the customer places their order. 3 Fall Product Program FREQUENTLY ASKED QUESTIONS Why Magazines? The QSP program provides two ways families, friends and relatives can support their favorite Girl Scout by purchasing their magazines (new & renewals). It’s more than a money earning opportunity…it offers reading material for the family. When is the money collected and who can participate? Money is collected at the time the customer places his or her order. Any registered Girl Scout Daisy through Girl Scout Ambassador who turns in a signed Parent Responsibility and Permission Form is eligible to participate. Participation is voluntary. What is the benefit to the girl? The Fall Product Program helps girls to develop five essential skills that are the core to the Girl Scout Leadership Program: goal setting, decision-making, money management, people skills and business ethnics. The girl earn funds to support her troop and the Girl Scout council, as well as earning rewards for her. What is the benefit to the troop? The troop earns $1.65 for every paper magazine order and $1.75 for every online magazine order, $2 for every completed address booklet, (Girls must sell a magazine, music selection, nut or candy item before they receive credit for a completed address booklet) and $1 for every nut or candy item purchased. This is a great way to get those needed “start-up” funds to purchase membership pins, and books. What is the benefit to the council? The council retains an average of 32% or 32 cents of every dollar of the total purchase price for every magazine or music selection, both renewals and new, and for nuts/candy ordered. That money goes into the general operating budget. All the rewards to the girls, plus the troop proceeds are paid out of the council proceeds. Does it cost more to renew or purchase a magazine from QSP? No. The magazine selections offered through QSP are at regular subscription rates, plus the brochure features many special offers. QSP no longer accepts special offer coupons from publishers. My magazine doesn’t come up for renewal for six months. Can I renew now? A magazine can be renewed at any time. If you renew now, you will extend the subscription for the period of your order, usually one year. Do girls go door-to-door to sell? Not necessarily. This program is for families, relatives, close friends, parent employees, etc. We discourage door-to-door solicitation. Businesses with waiting rooms such as doctors and dentists offices or beauty shops can be offered the opportunity to participate. What if I don’t like the magazine I purchased, don’t receive my magazine, or have another problem? Customer satisfaction is supported by a money-back guarantee from QSP. In the rare event of a problem, call QSP at the toll-free number that is printed on the back of the customer receipt. The number is 1- 800-678-2673. 4 When do girls and the troops receive their rewards? Girl rewards are sent to the Service Unit Fall Product Managers and picked up by the Troop Fall Product Manager to distribute to the girls. How does my troop receive their proceeds? Troops keep their proceeds and deposit the balance due to council. If the troop does not keep their proceeds up front, checks are mailed and may take 3-4 weeks from the time the council service center receives the paperwork. Why nuts and candy? Many areas expressed a concern that schools sold magazines, so adding nuts and candy offered an opportunity for more troops to participate in a fall money-earning activity. These are products not widely available for other groups. The cost is less than a magazine subscription; so more people can buy. QSP has offered this option for several years, and councils have been very successful. What are address booklets? The address booklets were introduced several years ago as an added bonus for the troop. Each girl receives one address booklet in her packet. If a girl turns in her book with at least 10 completed names, addresses, and zip codes, the troop receives $2 per completed booklet and the girl receives the Create Opportunity Patch. Use the names of relatives or friends who didn’t have a chance to order a magazine. QSP, Inc. does not sell addresses or use them for other purposes. The names will be mailed a one time magazine offer. Girls must sell one of the products before they receive credit for a completed booklet. Only one completed address booklet per girl will be accepted. What do I do with the money I collect from the customers? Before the sale starts in October you will receive pre-coded deposit slips to deposit the money. Each service unit has their own council bank account. Some service units share bank accounts. Please make sure you put your troop number on each deposit slip you bring to the bank. Make sure the bank validates both copies for you to turn in and keep one for your records. 5 2012 Fall Product Program October 8 – November 4 Parent/Guardian The 2012 Fall Product Program is a council-sponsored money-earning opportunity that enables Girl Scout troops to earn funds at the beginning of the Girl Scout year. Participation is voluntary. The theme of this year’s sale is What Can a Girl Do? Get Connected! Keeping girls connected for over a century, Girl Scouts has encouraged girls to stay connected – to family, friends, community and the world. The Fall Product Program is an integral part of a Girl Scout’s journey toward leadership development. Through this program girls develop five business skills used throughout their adult life: Goal-Setting, Decision Making, Money Management, People Skills and Business Ethics! Look for the Fall Product Program Link under the “What’s New Section". Girls may complete ten postcards in the Step 2 booklets that will be sent to out-of-town relatives, friends and customers. They will be able to purchase magazines or renew current subscriptions. NOTE: names are not sold to a mailing list. Take orders for nuts and candy with decorative tins perfect for gift giving. Customers may donate to “Treats for Troops” through virtual order donations for the military. It is an online learning activity for girls and a way for your family and friends to purchase magazines online. Review the online marketing policies and Safety Checkpoints from available on our website. How Does It Work? It’s as easy as 1, 2, 3……just go to www.gslpg.org and click on the QSP Online Program link to get started. The Online Program will not be available on the website until October 8. Register Complete the goal setting activity Personalize part of the message that will be emailed Order your family’s subscriptions and invite other family members and friends to shop online. In addition to a patch for the Girl Scout her troop will also receive credit for all online orders. At the end of the sale, the Detailed Order Report will be emailed to the registered email address. Print the report or email it to your troop/group leader when orders are due (council may want to include exact due date). You can also check throughout the sale to track your progress and enter additional emails to meet your goals quicker! The girls should use names of relatives and friends who didn’t have a chance to order a magazine. Girls must sell a magazine, music selection, and nut/candy item before they receive credit for a completed address booklet. Only one completed address booklet per girl will be accepted. Tell girls to let their customers know that magazines and music selections may take 12-14 weeks to be delivered from the time the council service center receives the order. Magazines ordered online takes 6-8 weeks. You will receive your nuts and candy order sometime in December. Service Unit Fall Product Managers will let you know when to pick up your order. 10. PROCESS EACH GIRL’S ORDER BY DOING THE FOLLOWING: Check all orders. All forms must be filled out correctly and completely: code number of magazine, name of magazine or music selection, number or length of subscription, and full name and address of purchaser. Make sure Girl Scout's name and troop number is on each order. Turn in only white and yellow copies of order forms (pink copy is for customer). Add all columns carefully on each nut and candy order card and enter into the Nut-E software program at the following website http://www.ashdonfarmsnute.com. Keep the girls’ order cards until the items come in. Make sure that each girl’s money matches all orders turned in. Deposit money owed to council using the deposit slips provided by the council. Check all address booklets turned in. They must have at least 10 completed names, addresses, and zip codes. If they are not complete, do not turn them in. Collect all signed Parent Responsibility and Permission Forms. 11. November 9 – Turn in the following paperwork: All signed Parent Responsibility and Permission Forms Completed address booklets (one per girl who sold at least one product) Troop Report from Nut-E Validated Deposit Slips Completed Magazine Order Forms Address Adventure Form 12. When you enter the total magazines and nut/candy items into the Nut-E software program based on what each girl sold it will automatically check the rewards she has earned. Print a Troop Report for your records and to distribute nut/candy items and incentives. 10 Address Adventure Patch Order Form Instructions: Each girl participating in the Fall Product Program can earn the Address Adventure Patch by completing the activities listed on the Address Adventure Activity Poster. If girls earned the patch last year, order the increment for this year.
