October Meeting Highlights The Board replacements for Bruce Fitzpatrick and Ted Saal, Deborah Trimble and Chris Richey, were presented for the Board to accept or reject. The vote was unanimous and both members were welcomed to the Board. The meeting minutes from September were voted on and adopted. Financial documents were previously forwarded to the Board members for their review and inspection and as such there will no longer be a formal Board financial report. The Board has appointed Cris Ashworth to be CYC’s counselor relative to the accounting and control process at Westwood. Cris reported on many changes he has put in place for the club’s benefit: a. New fuel meters are now installed on the pumps and a daily control form with starting, ending and sold fuel inventories which will allow CYC to better manage fuel inventory. b. The use of trailer tags for rental /ramp members for better control of the number of memberships sold and to account for those transactions. c. The change of due dates for member billings so that payments fall within the due month and fuel charges will be billed within the month that the fuel was purchased. d. Implementation of a cash flow control sheet and petty cash fund for Mike with replenishment based on submission of invoices and documentation. e. Standardizing fuel prices to improve accounting practices and assist in identifying root causes of volume changes. Kent has been in communication with Bradley Dugger regarding setting a proposed price on the property. Bradley and his brother will send something back to him in the next few weeks. Kent recently met with representatives from MBA and Harpeth Hall regarding a request to put a boathouse at CYC for their rowing teams. The proposal would be for the schools to build their own boathouse/dock, along with any and all infrastructure needed and to rent space from the club. The Board expressed interest in the proposal and has agreed to look at the idea in more detail. The need for D&O insurance was brought up. Deborah Trimble will investigate the current policy coverage and research if it’s a necessary expense. Westwood provided a copy of the security quote the Board requested last month which will be reviewed by RaeAnn Faulhaber. She will check competitive quotes and obtain member feedback. The issue of past-due A/R was discussed with Deborah Trimble volunteering to contact the three members in arrears. Phil and Linda Carman’s Fish Fry was a big success!
