removed from the premises and will be charged the rate
for a standard booth ($1,665). Charges incurred due to

Promotional Vehicles — $500
Promotional vehicles are allowed on the show floor in designated areas as determined by The Show
manager and Palm Beach County Convention Center. Further instructions, details, and specific arrival
times will be sent by the show manager closer to the event date. The following are the guidelines set
forth by the Palm Beach County Convention Center.
Gasoline- and Diesel-Powered Vehicles and Equipment
These include, but are not limited to, automobiles, boats, recreational vehicles, lawn mowers, and other
power equipment. All vehicles on display inside the facility shall have NO MORE than 1/4 tank or five (5)
gallons of fuel in the tank, whichever is less; all fuel tanks shall be locked or effectively sealed and at
least one battery cable shall be disconnected from the ignition system. Ignition keys for vehicles on
display shall be kept by a responsible person at the display location for removal of such vehicles from
the building in the event of an emergency. Please note that you must provide carpeting or visqueen
that must be placed underneath the vehicle for any possible leakage. Due to noise, air pollution, and
fire hazards, no liquid fuel powered vehicles should be operated inside the exhibit halls.

EXHIBITOR CONTRACT
Rules & Regulations
The Undersigned (hereinafter, the “Exhibitor”), hereby applies for space at the The Show: West Palm Beach
as managed by Show Management of Fort Lauderdale, Florida which is scheduled to be held at the Palm Beach
County Convention Center on January 15, 2015.
1. The following rules and regulations become binding upon acceptance of this contract between the applicant
and Florida Community Association Professionals (FCAP).
2. Space Assignment — Booth locations will be assigned on a first come, first served basis with priority
given to contributing sponsors and prior exhibitors. Booth preferences will be assigned in the order received.
FCAP reserves the right to assign booth locations as needed. Vehicles are allowed on the show floor in specific
locations for an additional fee. The Show manager will work with you on vehicle placement.
3. Standard and Premium Booth Description — Booth packages include one 10' x 10' pipe and drape
booth, one 6' table, two chairs, one waste basket, one company identification sign, and representative exhibitor
badges. Total individual exhibit floor space is limited to 10' x 10' unless requested and approved in writing. No
walls, partitions, signs or decorations may be erected which will interfere with the general view “down the aisle,”
or with other exhibits. Additional booth requirements may be requested by the exhibitor from the decorating
service provider (Show Management of Fort Lauderdale). The exhibitor is solely responsible for all costs incurred.

4. Sponsor Booth Description — Sponsor Booth packages include one 10’ x 20’ pipe and drape booth in
a designated sponsor location, one 6' table, two chairs, one waste basket, one company identification sign,
representative exhibitor badges, and one lead tracking scanning device. Total individual exhibit floor space is
limited to 10' x 20' unless requested and approved in writing. No walls, partitions, signs or decorations may
be erected which will interfere with the general view “down the aisle,” or with other exhibits. Additional booth
requirements may be requested by the exhibitor from the decorating service provider (Show Management of
Fort Lauderdale). The exhibitor is solely responsible for all costs incurred.
5. NOTE: No exhibitor will be allowed to break down their booth until the close of The Show at 3:30 p.m.
Any company that willfully dismantles its booth prior to closing time will not be permitted to exhibit at future
FCAP events. The exhibitor understands that this schedule be strictly adhered to as a courtesy to other
exhibitors, event coordinators, and The Show attendees.
6. Payments & Refunds — A $500 non-refundable deposit is due upon submission of this application.
All balances must be paid in full within 7 days of booth reservation. All balances must be paid in full before
marketing or sponsorship notices are placed on The Show website, FLCAJ magazine, or collateral material.
7. Lead Tracking Scanner — Exhibitors that reserve their booth and have paid their balance in full by
December 1, 2014 will receive one Opticon2001 scanner for use in capturing attendee information. All
scanned information will be provided to exhibitor after the close of The Show via email to the designated
contact for exhibiting company. Exhibitor agrees to return scanner to FCAP coordinator by 3:30 p.m. on
January 15, 2015. Failure to return scanner in working order will result in a fee of $150 to the exhibitor to
be paid by cash, check, or credit card.
8. Food Service — FCAP coordinators reserve the right to provide food and beverage service during certain
hours in the exhibit area. No free samples of food, beverage or any product may be given away or otherwise
distributed by any exhibitor. Individually-wrapped candy IS approved to distribute to attendees.

9. Security & Liability — FCAP coordinators will provide basic security services from 1:00 p.m., Wednesday,
January 14, 2015 through 6:00 p.m., Thursday, January 15, 2014. The exhibitor agrees to hold FCAP, Palm Beach
County Convention Center, sponsors, the show decorator harmless and to indemnify FCAP, Palm Beach County
Convention Center, sponsors, and the show decorator against claims or liability arising out of the actions, fault or
negligence of the exhibitor, its agents or employees prior to, during and after the exposition. FCAP, Palm Beach
County Convention Center, and the show decorator shall not be responsible for any loss, damage, or injury that
may happen to the exhibitor or the exhibitor’s agents, patrons, guests, employees, or property from any cause
whatsoever (unless occasioned by the sole willful or gross negligence of FCAP coordinators, the Palm Beach
County Convention Center, sponsors, and the show decorator) prior to during or subsequent to the exposition
period. The exhibitor hereby releases FCAP coordinators, Palm Beach County Convention Center, sponsors, and
the show decorator from, and agrees to indemnify them against any and all claims for such loss, damage or injury.
10. Damage to Property — The exhibitor, its agents, guests or patrons shall not injure, mar, nor in any manner deface the expo center premises or equipment therein, and shall not cause or permit anything to be done
whereby the Palm Beach County Convention Center or its equipment shall be in any manner injured, marred,
unduly soiled, defaced, lost, stolen or otherwise removed from the building, and will not drive, or permit to be
driven, nails, hooks, tacks or screws into any part of the expo center, and will not make nor allow to be made,
any alterations of any kind therein. Should any of the Palm Beach County Convention Center’s equipment or
show management equipment used by the exhibitor in the conduct or operation of the exposition be damaged,
lost, or stolen, the exhibitor will promptly pay for the equipment by cash or certified check.
11. Public Policy — All companies or individuals exhibiting at The Show: West Palm Beach are participating at
the exclusive discretion of FCAP and must abide by all local codes, rules, regulations, and ordinances, including
fire regulations, and must abide by the directions and instructions presented by official FCAP coordinators, Palm
Beach County Convention Center and show decorator personnel. The exhibitor understands that any violations
of these policies may result in the immediate closing and removal of the exhibitor’s booth.
