In addition to the five South Hampton Roads cities of Norfolk, Virginia Beach, Portsmouth, Chesapeake and Suffolk, our Y provides services to Franklin, the Eastern Shore, the Outer Banks, Elizabeth City and Currituck County in North Carolina. A partnership has been formed with the Y, Tide Swimming and the City of Virginia Beach who donated the land to build this new YMCA that will feature a 50-meter Olympic-sized swimming pool, as well as a 40,000 square-foot family center. We are also eager to be an operational partner in JT’s Camp Grom. This will be the only camp of its kind on the East Coast. The 70-acre, beach-style adventure camp is designed to welcome everyone with a focus on inclusive programs and services for wounded veterans, families of the fallen, and adults and children with disabilities or special needs. We are excited for these special campers to have a place to have fun and grow as a family. Our new strategic plan, 2020 Vision, honors the Y’s promise to strengthen the foundations of our community by increasing the number of healthy families. Over the next five years, the YMCA is committed to producing significant, measurable results for over 250,000 people annually in our service area using three strategic priorities as our guide: community health and well being, academic performance and leadership, and service to others. Through increasing health collaborations and partnerships with local and national government, expanding opportunities for children to go to camp, and increasing annual giving and volunteer hours, we will be successful in reaching these goals. The Y’s management reserves the right to amend or add policies/operating rules to ensure the safety and comfort of all users. The YMCA of South Hampton Roads also understands that consistency among our family centers is a cornerstone of our business practice and wants all members to be met with the same rules regardless of which center they visit. However, due to varying facility designs, space and amenities, from time to time you may see a variation to a rule or policy between our centers. Please contact the Executive or Membership Director at any of our facilities should you have any questions. Check-In Your safety is our top priority. All members will be required to present a valid membership card upon entrance to the facility. Member Services will then scan your card. Having knowledge of who is in the building and at what time allows us to ensure a secure environment. Communications There are many ways that we communicate with our members, including the following: • www.ymcashr.org with blog/news • Website alert system for breaking news • E-mail and direct mail • Mobile app for iOS/Android devices • Facebook, Twitter and Instagram @ymcashr • Text the keyword ymcaalert to 84483 to receive text message alerts. Standard text messaging rates apply; you can opt out by texting stop at any time. • Comment form on ymcashr.org If you have any questions about your membership, please contact your membership director at your YMCA family center. www.ymcashr.org You can visit our website for a complete list of locations, information, classes, schedules and special events. Members also have the exclusive privilege of registering for swim lessons online prior to registration opening to the public. We invite you to share your comments through our online comment card available on our site. Please refer to our website for the most updated information. Stay & Play Family members have the opportunity to utilize the YMCA’s Stay & Play service for no longer than two hours per day. A parent must be in the facility or on the premises at this time. This YMCA service is intended for children six weeks to seven years old. Our program is 16 considered a child-minding service, which means that a parent must be able to resume responsibility for his or her child’s supervision within 30 minutes. See the following pages for options for youth ages five and older. These additional guidelines apply: • Due to severe food allergies, please refrain from bringing food into Stay & Play. • Ensure your child has been fed prior to his or her stay; regular scheduled feedings are not conducted. (To comfort young ones, we will administer bottles.) • Please fill formula bottles, change your child’s diaper and/or take your child to the restroom before entering Stay & Play. Diaper changing will be provided in the centers that have the facilities. In some centers, diaper changing is not possible, in which case Stay & Play staff will locate you in the facility. Contact your family center to find out if diaper changing is available. • Check with Stay & Play staff on sign-in/out procedures. You’ll need to complete a registration card and will be required to present your membership card. • Children must wear closed-toe shoes; no sandals or flip flops are allowed. • Sick children are not permitted in Stay & Play. A sick child is defined as a child who has: a fever within the last 24 hours; diarrhea; vomiting; rash or open sores; cough; cold symptoms; lice; etc. • Stay & Play staff will not administer medication to your child. • Positive discipline such as redirection and logical consequences will be used when behavior problems arise. Chronic problems may result in suspended privileges for a period of time. • Stay & Play staff will locate a parent if a child cries for a prolonged period of time (every effort will be made to soothe the child). • Please do not allow your child to bring any toys from home. This will avoid toys being lost or broken. Staff are trained in First Aid, CPR and rescue breathing. For complete information, pick up your Stay & Play Parent Guide at your local Y’s Stay & Play Center or at Member Services. Proper attire For your safety, appropriate footwear inside the Y is mandatory. To maintain a familyfriendly environment, members must keep midsection/torso covered. Medical Emergency YMCA staff members are CPR, First-Aid and AED (automatic external defibrillator) trained and certified. AEDs are available in all centers. Please see a staff member if someone needs assistance. Emergency Plan The YMCA of South Hampton Roads has established emergency procedures that are available and posted at each location. Staff have been trained to adhere to this plan, which covers injuries, cardiac arrest, evacuation, power failure, natural disasters, loss of communication and more. Personal Belongings Please take special care in locking up all personal belongings in both the locker rooms and in your car. The Y is not responsible for any items left on YMCA property. If you don’t have a lock to secure items, complimentary key locks are available at the Member Services desk for short-term use. Items found that do not pose a health risk and are considered to have a monetary value, will be retained for 90 days. After such time the YMCA will consider the property abandoned and dispose through either sale of the item, donating proceeds to our annual giving campaign, or discard the item. Members are encouraged to inquire at the service desk regarding a lost item and may be asked to describe the item when making a claim. The Y will take reasonable precautions to ensure that claimed items are returned to the rightful owner at request. NURSING The Y supports nursing mothers. For your comfort; designated nursing rooms are provided at all centers and are identified by signage. SECURING YOUR VALUABLES Please safeguard your valuables inside the Y. We strongly recommend against locking belongings in your vehicle. If you don’t have a lock to secure items, complimentary kit lockers and key locks are available at Member Services for short-term use. The Y is not responsible for lost, stolen or damaged personal property. Cell Phones Cell phone usage is NOT permitted in the FitQuest center, Wellness Center, Free-Weight Center, Group Exercise classes, locker rooms or bathrooms at all YMCAs. Cameras on cell phones are not to be used in the YMCA at any time. In-Town Guests Changes • One complimentary visit per year Please inform Member Services if a change has been made to your address, phone number, bank draft (if applicable) or family member status. It is also important to notify Member Services if you or a family member have a health concern. Membership records and cards are the property of the YMCA of South Hampton Roads. • Second visit $5 per person • Third visit $10 per person (no more than three visits per year) Centers can restrict guest usage, hours of usage and area of usage with or without notice to ensure the safety and comfort of members. We highly encourage members to contact the YMCA prior to visiting with a guest to inquire about any guest restrictions due to demands on the facility. Visiting From Another YMCA Association The first week of usage is free of charge (first day of usage triggers one-week period, remaining six days must be concurrent). The second week of concurrent usage is half the guest fee ($2.50) per visit. The third week and beyond of concurrent usage is $5 per visit. AWAY members are considered 100 miles outside of our service area. The Outer Banks Family YMCA is excluded from this program. The Peninsula YMCA and YMCA of Portsmouth are not affiliated with the South Hampton Roads association, which serves Coastal Virginia and Northeastern North Carolina. Guests Away Program Our first priority is to serve our members who have made a commitment to the Y by joining. The purpose behind our guest policy is to enhance member service to current members who are encouraging a friend to join and make reasonable accommodations for members of other YMCAs traveling in our area, for outof-town family of current members and for out-of-town visitors. All YMCA of South Hampton Roads centers are part of one association; therefore, a visit to one location counts as a visit to all centers. When you join a YMCA, you become part of a national movement of 21 million members in more than 2,600 YMCAs. Because each YMCA is autonomous, not-for-profit, and not a franchise, local YMCA policies vary on the use of equipment, facilities, services and programs by visiting members from out-of-town or from nearby YMCAs. If you plan to visit another YMCA, it is a good idea to call that YMCA about visiting member policies. Out-of-Town Guests of Members • Must be accompanied by a member • A member may bring a maximum of five guests per visit • Guests may visit up to 14 days per calendar year • $5 guest fee per person, per visit • Must live 100 miles outside of our service area and not a current YMCA member (see AWAY Program) Financial Assistance The Y offers financial assistance to those in need through our Open Doors program. We strive not to turn anyone away due to his or her inability to pay membership or program fees. Full or partial subsidies are available because of the generosity of members and friends who make gifts to the Y’s annual campaign. Subsidies are based on the individual’s demonstrated ability to pay, the Y’s ability to fund the subsidy, and the space available. For more information about the Open Doors program, contact Member Services. Lost Card Please inform the Member Services desk staff if you have lost your member identification card. A replacement fee may be required. Program Refunds If the YMCA has to cancel a program, you will receive a full refund. If you have to cancel after signing up for a program, prior to the start date, the YMCA will provide you with a 100% credit (good for three months) to be applied toward another program or provide a 100% refund if you have to cancel for medical reasons. No refunds or credits can be given after the program begins. If an individual misses or must drop out during a program for medical/ family emergencies, classes may be made up where space is available. All credits are nontransferable. Camp deposits (to secure camp sessions) are nonrefundable after June 1. Returned Checks Returned checks, EFT or Credit Card transactions will be assessed a $25 returned payment fee. CANCELLATION As per the membership application, we require a 30-day written notice to terminate your membership. Please contact the Membership Director at your family center for a copy of the cancellation form. Solicitation To ensure the comfort of our members, the Y does not allow solicitation of outside business or services in YMCA centers or program areas, except when there is a partnership. 17 YMCA Guidelines Smoking/Tobacco/ Alcohol The Y is a tobacco-free and alcohol-free zone.
