2015 Exhibitor Schedule
SATURDAY, MARCH 14
9:00AM -- Check-in and Set up Opens
The Exhibitor Check- in table will be hosted in front of the Theatre, outside. (A
map is on last page of this packet)
10:00AM – 5:00PM -- Snack bar Available, Memorabilia Purchases & Raffle Tickets
A snack bar will be open in the Multipurpose Room/Cafeteria beginning at 9AM
for everyone! We aim to keep snack prices low, ranging $0.50 to $2.00, so please
be sure to bring some cash!
There will also be T-shirts for sale at $8.00/shirt and commemorative pins for
$2.00/pin at a table next to the Snack Bar.
Introducing our STEM Raffle with items such as BLANK and BLANK to win! Tickets
will be sold for $1.00. Each participating student will receive one (1) free ticket in
their check-in bags.
** If you would like to provide an item for the Raffle, please contact staff.
11:30AM – 2:00PM -- Lunch for Exhibitors Available
Free pizza and salad bar provided by Papa Murphy’s.
Three food trucks (Food Trucks will be available until 4PM)
11:00PM – 5:00PM -- Exhibits Open to the Public
We will host the Career Expo outside, weather permitting. If the weather is
unfavorable, the Expo will take place in and around available buildings.
4:30PM -- Tear Down Begins
To protect our exhibitors, students and volunteers, please report any violations or
suspicious activity you may observe at the Event to a participant in the official
Fair shirt, a blue polo with the green logo on the chest, immediately.
Exhibitor Check-In
When you arrive on March 14 at 9:00AM, please have a member of your exhibit register
with the Exhibitor Check-in table, marked on the map on page 3 of this packet.
Check- in will be open from 9:00AM to 11:00AM. Exhibitors who need more time for set
up should arrive as early as possible, whereas exhibitors who have less set up can arrive
closer to opening. We will be opening the Expo promptly at 11:00AM with a broadcast
announcement throughout the STEM Fair.
If you are planning to bring a truck or other vehicle to help you unload or as part of your
exhibit, please contact Bianca Gutierrez at [email protected] or at
916.441.3150 to arrange accommodations.
2015 Exhibitor Information
All Exhibitors Receive:
• Name badges, two chairs and a table at your exhibit space.
• Please bring a canopy if you would like shade.
• Please notify staff if you would like a table cloth.
• Listing in the program, feature in our newsletter, The BEAKER, and recognition on our
website.
Exhibit Space Support Staff:
Volunteers to assist exhibitors will be available. During the Event, volunteers will be
readily visible wearing an official STEM Fair blue polo or yellow volunteer t-shirt.
Event Spaces Include:
• Is approximately 10’ x 10’ with a concrete patio
• Open-air, exhibit space (weather permitting)
• 8’ foot table(s)
• 2 fold up chairs (more are provided for those who requested in registration)
Set Up & Where to Unload
Set-up
All exhibitors should enter the grounds via the Folsom High School staff and delivery
entry on American Aggregate Road (see Directions and Parking). Look for directional
signage to lead you to exhibitor parking, and check-in. If you need help bringing in your
materials, please let check-in know.
Scheduled Move-In Times:
A limited number of exhibitors may be required to move in during certain hours. Those
companies involved will be notified in advance to make arrangements. If you have
specific needs due to the size or structure of your exhibit, you must contact us to make
arrangements for your move-in. If you have not made arrangements, you may not be
able to install part or all of your displays until after other exhibitors have moved in.
Display Rules & Regulations
Americans with Disabilities Act (ADA)
All exhibiting companies are required to be in compliance with the Americans with
Disabilities Act (ADA), and are encouraged to be sensitive, and as reasonably
accommodating as possible, to attendees with disabilities. Information regarding ADA
compliance is available from the U.S. Department of Justice ADA Information Line, (800)
514-0301, and from the ADA Web site at www.usdoj.gov/crt/ada/adahom1.htm.
Structural Integrity
All exhibit displays should be designed and erected in a manner that will withstand
normal contact or vibration caused by attendees and should also be able to withstand
moderate wind effects that may occur since the venue is outdoors. Exhibitors should
ensure that any display fixtures such as tables, racks, or shelves are designed and
placed properly to support the product or marketing materials to be displayed.
Electrical
Please notify Fair Staff early if you will need access to electricity
at [email protected] or 916-441-3150. Please be sure to bring your own
extension cord, at least 10ft long.
Storage
Exhibitors may store a limited supply of literature or product appropriately within the
exhibit space area, so long as these items do not create a safety problem, or look
unsightly.
Demonstrations
As a matter of safety and courtesy to others, exhibitors should conduct product
demonstrations in a manner which assures all exhibitor personnel and attendees are
within their exhibit space and not encroaching on the aisle or neighboring exhibits. It is
the responsibility of each exhibitor to arrange displays, product presentation, audio
visual presentations, and demonstration areas with the Fair Coordinator. Contact

demonstration.
Tear Down
Exhibits must be removed from the grounds by 6:00 PM, Saturday, March 14. Items
remaining in place on the grounds after this time will be removed by the volunteers and
may be disposed of.
Official release time is 4:30PM. Staff will direct the official close time based on conditions
to ensure the safety of attendees and exhibit workers. Please do not begin to dismantle
your booth until the official announcement is made.
Exhibitor vehicles are not allowed to approach the building prior to 6 p.m. (unless
previously arranged) so that attendees can leave without being impeded by vehicular
traffic. Exhibitors are welcome to carry out any items through the regular entrances after
they have been released.
