Personal Assistant to Managing Director
POSITION OVERVIEW
The Personal Assistant will be working in the Managing Director’s office and will be
involved across all aspects of our business. The primary objective is to provide
effective administrative support and back up to the Managing Director.
PRINCIPAL RESPONSIBILITIES
Listed below is an overview of typical responsibilities for this position.

Day to day diary management, Managing all forms of incoming and outgoing
communication (phone calls, emails, faxes, letters, etc.) on behalf of the
Managing Director

Organization of meetings and event management as required. Also Coordination of agenda papers for Executive/Management Meetings

Arrangement of appointments with applicants, customers or suppliers as
required for the Managing Director

Assistance in the preparation of presentations and minute taking

Analysing incoming and outgoing communication, submissions and reports
and prepare and co-ordinate the preparation and submission of summary
briefs and reports to the MD as well as to other departments

Preparation of letters, reports and correspondences in a professional way

Communication with departmental and owning company’s staff and with other
organizations and associations on behalf of the Managing Director

Maintenance of the company files with strictest confidentiality

Travel Arrangements

Other traditional PA duties as required
SKILLS EXPECTED

Good command of English and Bahasa Indonesia

Excellent time management and perfect attention to details

Ability to prioritize and work to deadlines if required

Maintaining of strictest confidence of the Managing Director at all times

Possessing a good service attitude and be pro-active in seeking solutions to
problems

Good Microsoft Office skills (Outlook, Word & Excel, Power point, Visio, etc).

Ability to work autonomously
QUALIFICATION/EXPERIENCE

Bachelor’s Degree/Diploma or long term experience in the Business,
Administration, Secretarial or Personal Assistance

Minimum work experience of 5 – 10 years

Proven success record of min 5 years working in an international environment
and with partners around the world

