As we begin looking forward to the championship meets, all teams are invited to participate in the Diocese of Cleveland Boys and Girls Intermediate District and Championship Meets. Please review the attached information to ensure those in attendance experience a smooth-running meet. The cooperation from coaches, athletes and fans is appreciated and expected. Proceeds from the Diocese of Cleveland CYO Championships will be placed in the Bishop Roger Gries CYO Good Shepherd Fund to assist our CYO parishes and staff with training, supplies, and support for the mission of CYO. The Intermediate Diocese of Cleveland CYO Championship will be held as follows: District Meets - Saturday, May 16th o Division 1 competing at 10:00 AM o Division 2 competing at 12:30 PM o Locations: Padua High School & Independence High School o See attached sheet for division listing and team’s district meet site Diocese of Cleveland CYO Finals – Thursday, May 21 o 6:00 PM Meet Begins (5:00 PM - Gates open) o Division 1 compete in running events first, Division 2 compete in field events first o Location: Brecksville-Broadview Heights High School All involved are encouraged to practice our faith as we show respect for each other, display appreciation for effort by all participants, cheer positively, and practice the best sportsmanship. The championships are a tribute to the skills of the teams and their coaches. Sportsmanship extends to fans and other supporters in the bleachers. Please remind your fans of acceptable behavior. We will not tolerate any unsportsmanlike behavior. Those in attendance at the CYO events should represent the mission & philosophy of CYO Athletics. Entry Fees & Admission Team Fee: There will be a $50 team fee (covers both genders) for the District Meet to cover the cost of additional officials to run the meet. This should be paid to the Meet Director on the day of your meet. Please make checks payable to “Diocese of Cleveland CYO”. There is no team fee for the Diocese of Cleveland Championship Finals. Admission Charge: Adults = $3.00 Students = 2.00 Seniors = 1.00 Family = 8.00 General Meet Information Each Team is to submit the following District Meet Eligibility Sheet to the CYO Office by May 13. Two (2) entries per individual event allowed, with both entries scoring towards the Team Championship. One (1) entry per relay event. An athlete is permitted to participate in a total of three (3) events. Entry Deadline is Friday, May 15th at 12:00noon. Rain Date: If the District Meet(s) cannot be completed on May 16th, they shall resume on May 17th at 1:00pm. If the Championship meet cannot be completed on May 21st, it shall resume on May 22nd. Entry Process The Entry Window will open on April 27, 2015. We will be using www.athletic.net for registration. Please read the following for details and reference the athletic.net supplement sent to you at the start of the season. Paper Entries will NOT be accepted. Please do not wait until the last minute to submit your entries. Athletes can only participate in one championship meet (Either Intermediate or Youth/Cadet). B-Teams o In order to have a B-Team in either division, a minimum of five (5) Track Events and three (3) Field Events must be entered on the A-Team. o B-Team roster athletes cannot compete for the A-Team relays, under any circumstance. Make sure that you have alternates for your A-Team relays available on your A-Team roster, just in case. o If you have a B-Team, these athletes should be entered in www.athletic.net under the same meet title as your District Meet with the added designation of “B-Teams” at the end of the title. Please review your entries upon completion and print out a report of your entries to bring to the meet. All entries are due on-line by 12:00noon on Friday May 15th. Once the registration deadline passes, you will not be allowed to add to any individual events. You will be permitted to make replacements/substitutions for athletes already entered and to scratch athletes. Relays may be changed in accordance to the relay sheet list of entries (maximum of 8 athletes listed per relay). All athletes entered into this meet must have a submitted time or distance that is representative of the athlete’s proven ability. It is the coach’s responsibility to make sure all times and distances are accurate. If a time or distance is not submitted for an athlete or does not appear to represent the athlete’s capabilities (in the view of CYO administration), for lane assignments and flights the athlete will be seeded last. Coaches Verification Form & Relay Cards Each team is to have the head coach sign the Coach’s Verification form and bring to the meet. Please do not fax to the CYO Office. Return the form to meet personnel at the time of meet check-in. Relay teams must complete the attached relay cards. Bring the relay cards to the meet. Please do not fax to the CYO Office The relay cards should be submitted at the bull pen for the event when the team is checked in. Diocese Championship Qualification Process The top four (4) finishers in each event at each District Meet will qualify and advance to the Diocese of Cleveland CYO Track & Field Championship Meet. If there are any ties for the fourth (4th) qualifying spot, they will be broken at the conclusion of the meet for that gender. Absent athletes will be disqualified from tie breakers and not considered for advancement. Check the results before your athletes leave. Championship Tournament T-Shirts The CYO will be selling Championship Tournament Meet T-shirts at the Districts and Championship. These T-shirts will have our CYO Championship logo on the front as well as list the participating teams on the back. If you would like to pre-order your T-shirts, to insure size availability, return the attached order form to the CYO Office by Monday, May 11th at 12:00 noon. Team Volunteers Each team must provide volunteers to staff the meet. The listing of volunteers needed will be sent out to coaches and pastoral designees by May 4. Each team must coordinate with the parents or coaches of the team to insure that their staffing requirements are fulfilled. Those teams on the District Meet 2 assignment list with an “H” after their name will coordinate with Joe Magill to serve in leadership roles at those meets. Athlete Requirements Team uniforms must meet the standards outlined in the CYO rulebook. Shirts & spandex worn under the team uniform MUST meet the requirements as outlined in the CYO rulebook. Penalty for illegal uniform is disqualification from the event. Mandatory Participation is in effect for the District Meets. All members of your team that are available to participate must be registered and participate in at least one (1) event. District Meet Order of Events Gates open one (1) hour before the start of each meet; a coach’s meeting will be held 30 minutes before the start of each meet. – 9:00 a.m. Gates Open – 9:30 a.m. (12:00 noon) Coaches Meeting near finish line. – 10:00 a.m. (12:30 p.m.) Girls will run first and boys will compete in the field events first at the District meets. Then they will switch. 100m Preliminaries - Qualify to final based on place in heat – number of qualifiers from each heat dependent on number of heats (8 runners in final) 1600m Run - Top 4 Finishers qualify to Championship 4x100m Relay - Top 4 Finishers qualify to Championship 400m Dash - Top 4 Finishers qualify to Championship 200m Hurdles - Top 4 Finishers qualify to Championship 100m Dash Finals - Top 4 Finishers qualify to Championship 800m Run- Top 4 Finishers qualify to Championship 200m Dash- Top 4 Finishers qualify to Championship 4x200m Relay - Top 4 Finishers qualify to Championship Places and Awards Times that are tied from separate heats will be declared tied; if only one heat is run, the place in the heat will determine final place. Awards will be given to the top eight (8) competitors in each event. Team trophies will be given to the top two (2) teams in each Division. Scoring will be for eight (8) places - 10-8-6-5-4-3-2-1. B-Team members will be scored separately from A-Team members. Coaches should pick-up the team and event awards before leaving the meet. CYO Athletics – Endeavoring to help young people be more Christ-like in the way they live. 12 13 14 Tournament Credentials for Photographers/ Videographers Working credentials are issued by the CYO for CYO tournament contests by the Athletic Administrator to a representative of an accredited media organization recognized by the CYO for the sole purpose of providing access to cover a tournament contest. Written requests for CYO tournament credentials must be made in advance of each contest with the CYO Athletic Administrator. When media members arrive at CYO tournaments, they may be requested to present identification to verify legitimacy and purchase tickets and programs at the facility. Unprofessional conduct or “cheerleading” by a credentialed media or photographer at CYO tournament contests shall not be permitted. Children are not permitted to be with the working media without written permission from the CYO. Credentials will permit person to be in designated areas near the competition area. Conditions of Tournament Credentials Acceptance of media credentials for CYO tournament contests constitutes an agreement by all members to abide by the following conditions established by the CYO: Bearer of the credential agrees that he/she is engaged in a legitimate working function for an accredited organization, and that the credential shall be used solely for bona-fide purposes of the tournament event. 2. Bearer of the credential agrees that use of news content or photographs/electronic images for entertainment and commercial purposes is strictly prohibited without prior written consent of the CYO. 3. The selling of content or photographs/electronic images is prohibited without the written consent of the CYO. 4. Bearer of the credential agrees that the accredited organization and bearer shall indemnify, defend and hold the CYO and all agents thereof harmless from and against any and all expenses, lawsuits, damages, costs and liabilities (including reasonable attorney fees and expenses) incurred by, arisen from, or in connection with: a. the unauthorized use of editorial content or photographs/electronic images, whether such unauthorized use is by the bearer, the accredited organization designating the bearer to use the credential on its behalf, or some third party to whom the bearer distributes news and editorial content or photographs/electronic images; b. any injuries resulting from acts or omissions by the bearer or some third party to whom the bearer directly or indirectly distributed news and editorial content or photographs/electronic images; c. any cameras, wires, cables, computers, telephones or any other equipment brought to the premises by the bearer, or d. the use of any editorial content or photographs/electronic images or any other matter other than coverage of the tournament event. Note: Should approval be granted to use editorial content or photographs/electronic images for entertainment or commercial use, the accredited organization and/or bearer agrees to obtain all necessary licenses, consents or releases permitting the use of any party’s proprietary material, including, but not limited to, any party’s copyrights, trademarks, rights of publicity, rights of privacy or other proprietary or personal rights, however denominated, included in any photograph/ electronic image taken or other material obtained in connection with the credential. The accredited organization and/or bearer are solely responsible for determining which licenses, consents and releases shall be obtained. 1. 15 e. Bearer of the credential assumes all risk and danger incidental to this event and releases the CYO and all agents thereof from any and all liabilities resulting from such cases f. Bearer of the credential agrees that the credential is not transferable, may be revoked at any time at the sole discretion of the CYO and will automatically terminate if any term hereof is breached. In cases deemed unique by the CYO, these policies and any other CYO media policies may be amended. The accredited organization and/or bearer that breaches the conditions of use of this credential is subject to legal liability as well as all costs incurred in enforcing the terms of these conditions including but not limited to reasonable attorney fees. 5. Photographers for all sports shall be placed in positions in accordance with National Federation of State High School Associations National Rules. a. In the sport of football, photographers shall be positioned behind a restraining line, which are two or more yards from the sidelines and end zones. In addition, photographers shall not be positioned in the team boxes between the 25-yard lines. b. In the sports of baseball and softball, photographers are prohibited from being in live ball areas. The umpire or match official has the authority to remove any member of the media for not staying in or keeping their equipment in the designated areas. c. In the sport of Volleyball, photographers are prohibited to position themselves along the baseline with in the lane area of the court. Photographers may position themselves along the baseline outside the lane area of the court. d. In all other sports, photographers are not permitted in the playing area, coach’s area, team bench area or other areas designated by Site or Tournament Management.
