The Organisation of Education
Admission Arrangements – part time F1 class (3 and 4 year olds)
Our youngest children, aged 3-5 years, are taught in the
Foundation Unit, which comprises two spacious indoor and
outdoor learning areas.
The school takes great pride in encouraging musical,
sporting and artistic talent and in providing opportunities to
develop and share these talents in and out of school.
We are able to offer Foundation 1 (F1) provision before the children
start full-time school. Children may join F1 one or two terms after
their third birthday as below:
Staff in the Foundation Unit work very closely together,
planning a curriculum where children learn through
child–led and structured play, taking full account of their
individual needs and learning styles.
Each class has a Teaching Assistant who works alongside
the class teacher to ensure support and challenge for
children of all abilities. All of our staff receive ongoing
training and we are proud that we are regularly asked to
share our expertise and train staff from other schools.

to F1 on the first day of the Autumn term in September 2015
As well as ensuring the completion of homework tasks
which include creative projects and on-line learning, parents
are expected and encouraged to support their children’s
learning through nightly reading at home and helping
children to learn spellings and times - tables.

admitted to F1 on the first day of the Summer term in April 2016
Children are taught in single age mixed ability classes
throughout the school. Work is differentiated according to
the needs of the children. Children in KS2 may be taught in
smaller target groups in English and Maths. Classes vary in
size according to the age groupings of the children in school
at any time with an average class size of 30. Children will
spend the majority of their time with their class teacher
but many activities are arranged to encourage interrelationships between the age groups and classes. We have
staff with curriculum specialisms and so some subjects may
be taught by our specialist staff. These include Maths, ICT,
French, PE and Creative Arts.

We are able to offer extended F1 provision above the 15 hour
entitlement, parents can take advantage of this by paying for
supplementary sessions. This is subject to places being available –
see Appendix 1.
A place in F1 (part-time) does not guarantee a full-time statutory
place.
Parents and children will be invited to a meeting prior to the start
date to confirm sessions required/available.
In the event of over subscription to F1, the same admission
guidelines as Nottinghamshire County Council will be applied.

Definitions
Admissions Criteria – Standard Reception Year admission criteria
Children will be admitted to full-time school (F2) at the beginning of
the Autumn term. Children will be admitted as follows:
• Children with birthdays between 1.9.11 – 31.08.12 will be
admitted on the first day of the Autumn Term 2016.
All admissions to F2 are the responsibility of Nottinghamshire
County Council. In the event of oversubscription, the following
criteria will be applied, in priority order, to determine which
applications will be granted once places have first been allocated
to pupils who have a statement of special educational needs which
names the school.
1 Children looked after by a local authority
2Children who live in the catchment area at the closing date
for applications and who, at the time of admission, will have
a brother or sister attending the school or the linked junior/
primary school
3Other children who live in the catchment area at the closing
date for applications
4Children who live outside the catchment area and who, at the
time of admission, will have a brother or sister attending the
school or the linked junior/primary school
5 Other children who live outside the catchment area
In the event of oversubscription, within all but the first criterion,
preference will be given to children who live nearest to the school
as the crow flies.

Distances are measured from a point at the school campus
to a point at the entrance to the child’s home using the local
authority’s computerised measuring system. In the event of two
distances being equal, the local authority will measure to the next
decimal point. If the measurements remain equal, lots will be
drawn by a person independent of the admissions team.
Where one child of a multiple birth can be admitted, the other
child/children will also be admitted.
Special consideration for all year groups
For applications for all Nottinghamshire community and
voluntary controlled schools the following groups of children will
be given special consideration in their application for a particular
school:
• ‘Children whose particular medical needs, mobility support
needs, special educational needs or other social circumstances
are supported by written evidence from a doctor, social worker
or other relevant professional stating that the school is the
only school which could cater for the child’s particular needs.
The evidence must be presented at the time of application.’
• T
he appropriate designated officers will consider each case
on its merits and determine the allocation of any such place
on the basis of written evidence. Admission under ‘special
circumstances’ will take precedence over all but the first
numbered criteria.
Home address
The child’s place of residence is taken to be the parental home,
other than in the case of children fostered by a local authority,
where either the parental address or the foster parent(s)
address may be used. Where a child spends part of the week
in different homes, their place of residence will be taken to
be their parent or parents’ address. If a child’s parents live at
separate addresses ,the address where the child permanently
spends at least three ‘school’ nights (i.e. Sunday, Monday,
Tuesday, Wednesday or Thursday) will be taken to be the place
of residence. Addresses of other relatives or friends will not
be considered as the place of residence, even if the child stays
there for all or part of the week. Evidence that a child’s place
of residence is permanent may also be sought.
The evidence should prove that a child lived at the address
at the time of the application and will continue to live there
after the time of admission. Informal arrangements between
parents will not be taken into consideration. In all cases all
those with parental responsibility must be in agreement with
the preferences made.
Looked after child
The revised School Admissions Code 2012 Section 1, 1.7
has expanded on who should be given priority in admission
arrangements with regards to looked after children and
children who were previously looked after.
A ‘looked after child’ or a child who was previously looked after
but immediately after being looked after became subject to an
adoption, residence, or special guardianship order. A looked after
child is a child who is (a) in the care of a local authority, or (b) being

provided with accommodation by a local authority in the exercise
of their social services functions in accordance with section 22(1) of
the Children Act 1989.
An adoption order is an order under section 46 of the Adoption
and Children Act 2002. A ‘residence order’ is an order settling
the arrangements to be made as to the person with whom the
child is to live under section 8 of the Children Act 1989. Section
14A of the Children Act 1989 defines a ‘special guardianship
order’ as an order appointing one or more individuals to be a
child’s special guardian (or special guardians).
Admission authorities must give highest priority to children in
care in their admission oversubscription criteria.
Parents
• the mother of the child
• an adoptive parent
• the father of the child where he was married to the mother
either when the child was born or at a later date
• the father of the child if (since 1 December 2003) he was
registered as the father on the birth certificate
• any other person who has acquired ‘parental responsibility’
through the course. We may require evidence of this.
Siblings (brothers or sisters)
• a brother or sister who shares the same parents
• a half-brother, half-sister or legally adopted child living at the
same address
• a child looked after by a local authority placed in a foster
family with other school age children
• a stepchild or children who are not related but live as a
family unit, where parents both live at the same address.

Special Educational Needs
We endeavour to meet the needs of all learners by
identifying their individual learning needs and the
setting and sharing of targets with the children and
parents. We work alongside outside agencies such as
Speech Therapists, Dyslexia Consultants, Educational
Psychologists, the School Nursing service, Physiotherapists,
Dieticians and other professionals.
Experienced and well qualified Teaching Assistants work
in every class with individuals and groups of children of all
abilities.
Copies of our policies relating to SEND and Equality are
available on the website.
Care of the Children and
the School Day
Children are in the care of a responsible adult from 8.40
am until they leave school at 3.30 pm. The morning
session is from 8.50 am to 12.00 noon, the afternoon
session being from 1.00 pm to 3.30 pm. If children are
late then they should enter the school via the main
entrance and the late book completed.
Lunchtimes/Food and Drink
School Uniform
Midday staff are trained in playwork and have a wide range of
activities and games available – we have worked closely with
the school council to ensure safe, happy and active playtimes.
Children in school are expected to wear the uniform which is a
source of pride and community identity to the pupils. PLEASEname all items!
During the mid-day break a choice of meals, freshly cooked on
the premises, are served in the dining area. Children may wish
to bring a packed lunch. Water is available for all children and
drinks other than water should not be brought in to school.

School dinners are provided for free for children from F2 to Y2,
in line with the national incentive.
Dinner money for children in years 3-6 is paid through the
online SQUID system. Details are available from the school
office. The menu is available in advance on our website or on
school notice boards.
We are proud of our Gold Healthy Schools status and
we are aware that access to drinking water throughout
the day benefits both children’s health and the capacity
to learn. Children are encouraged to bring in a sealable,
named drinking bottle which can be kept on their desk and
replenished as necessary. Children may bring a healthy snack
to eat at break times. We encourage children to eat healthily
and fruit is provided free to children in FS and KS1.

Jewellery should not be worn during any PE activity. For health
and safety reasons children will not be allowed to take part in PE
sessions if earrings/jewellery is worn.
Children are expected to wear appropriate clothing when on
a school visit and representing the school- this will usually be
school uniform but we may recommend other clothing as
appropriate to the activity.

Medical Care
Pupil Absence
Behaviour and Welfare
Where a medical appointment is made, or when an
emergency occurs, parents are expected to contact the school
to arrange collection of the children. No child will be allowed
to leave the school premises during normal school hours
unless collected by a parent or authorised adult. Parents are
required to sign the appointments register in the school office
when collecting their children whether during class time or
break/lunchtimes.
When absences occur, either for whole or part days, parents
are requested to contact the school confirming the reason for
absence. Holidays should not be taken during term time and
will not be authorised, unless in exceptional circumstances.
Please contact the school if you require any further
information.
The care and welfare of the children is “the cornerstone of our
operation” and we firmly believe that good relationships and
teamwork are at the heart of a successful school. Children are
expected to behave in a respectful, sensible and orderly way
at all times in the school, when representing the school and in
the community.
Teachers will not routinely administer medicine. Only
prescribed medicines can be administered, when
accompanied by a completed permission form. These are
available at the school office. We need to be aware of
allergies and other health issues- do keep us informed.
The school has a behaviour policy and the Behaviour Code,
‘A Positive Approach’ was drawn up with the involvement
of children, staff, parents and Governors. We believe that
children learn best in an atmosphere of mutual trust, respect
and understanding and our code reflects our belief in
celebrating the positive whilst recognising that we all have
rights and responsibilities.
The school has established links, both formal and informal,
with other bodies and institutions concerned with care,
welfare, health and safety of children.
During their time at the school, children will be seen by
health and dental visitors to ensure that all is well or that the
opportunity is given to parents for any treatment necessary.
Children are taught to keep themselves and others safe
through close links with St John’s Ambulance, the Fire Service
and the Police.

Every school in Nottinghamshire is required to follow a set
procedure in cases of suspected child abuse. Head Teachers
have a statutory obligation to refer their concerns to Social
Care for further investigation so that children at risk can be
identified quickly.
This procedure is intended to protect children from abuse.
When a school refers concern to the Social Services
Department, it is not accusing parents of any abuse but
requesting that further investigation take place to establish
whether the child is at risk.
The school has a policy on sex and relationships education
that involves the health community, parents and teachers.
Children are taught at an appropriate level as they progress
through the school. Videos concerning puberty are shown in
years 4, 5 and 6 and it is normal practice for parents to be
given an opportunity to view the material used prior to its
showing to the children and they may request that their child
be withdrawn from these sessions.
All of the above policies are implemented for the welfare
of the children but not to the exclusion of parents and the
family. On the contrary, parents are fully informed of all care,
welfare and safety advice given to the children and parental
support is always sought.

Religious Affiliation and Education Policy
The school has no religious affiliation and will make
arrangements for parents to exercise their right of withdrawal
of their children from religious worship or instruction.
Teacher Liaison, Visiting and Reporting
Arrangements
We have two Parents’ evenings per year and a written report is
sent towards the end of the Summer term. However, should
any concern arise, parents are encouraged to arrange a
discussion with the class teacher at a convenient time.
Parents are always welcome to visit the school, for any reason,
but it would be helpful if contact could be made in advance
to arrange a mutually convenient appointment, although in
emergency immediate contact should be made.
Before your child starts school you should complete the
necessary contacts and medical information sheets and hand
these in to the school office.
Parental involvement is the essential lifeblood of a strong
community based school such as Abbey Gates and many
parents contribute to the working of the school by bringing
their skill, interest and time to the benefit of the children,
whether on a regular or one-off basis - we need you! Regular
parent helpers are subject to a DRB check.

Complaints
The Governing Body
Under the Education Act, there is a procedure, agreed by
the Local Authority, for dealing with complaints about the
school curriculum and other related issues. A copy of the full
complaints procedure is available for reference in the school
and on the website.
We have fifteen Governors and the Full Governing Body and
associated Committees meet termly. Governors act as “critical
friends” to the Headteacher and the school.
Essentially, there should normally be informal discussion with
the Head Teacher and any other appropriate member of the
teaching staff to attempt resolution to the complaint prior to
recourse to the formal procedure. Thereafter, the procedure
provides an opportunity for parents to write to the Governor
responsible for complaints, who can be contacted through the
school.
In addition, the public have the right of access to Documents
and Information under the Education Regulations 1989 and
list of such information, which is available in the school, is
on our website. Parents are encouraged to make use of this
requirement in order to inform themselves of the objectives
and workings of the school.
Governors are available to talk to parents about any aspect of
the school and we hold informal sessions where parents are
invited to meet and chat informally with Mrs Cumberpatch
and the Governors. Governors are also available to meet with
parents at the school, during Parents’ Evenings.
The Governing Body would emphasise that all matters relating
to individual children’s education and other matters, should in
the first instance, be discussed with the class teacher and/or
the Head Teacher.
Communication with parents is enhanced through the use of
the ParentMail email and text system. Please let the school
have note of your email address/mobile number. Copies of
letters/information sent home are also available on the school
website.

Extended Schools Provision and Community Links
Abbey Gates is able to offer before and after school child care
on-site, between 7.30am - 6pm through our link with Longdale
Nursery - an outstanding day care provider in Ravenshead.
Full information on all of our Extended Services is available on our
website, the notice-board near the school entrance and from Mrs
Joy Dearden in the school office.
The school places considerable value on the activities it offers
outside the curriculum, both through school initiatives and in
supporting activities within the community. There has been a
School Council at Abbey Gates for over fourteen years. Elected
representatives meet regularly and feedback from meetings
is shared through assemblies. Recent initiatives have included
the Friendship Stop in the playground and playtime games and
activities. The school council also co-ordinate our varied fund
raising events for the numerous charities we support.
The Midday Supervisors hold interviews for older children who
then take on roles of responsibility at lunchtimes.
Older children run lunchtime clubs for other children. These have
included tennis, dinosaurs, Spanish and drama! The children
apply to run a club through the School Council. Enterprise skills
are encouraged through the School Shop and Toast club!

Extra-curricular activities may vary from term to term and year
to year - We currently offer dance, multi-skills, cross country,
gardening, football, basketball, Mad Science, and yoga. Some of
these are paid for by parents where there is an external provider.
Sporting activities, particularly of a competitive team nature,
encouraging participation, working together and leadership are
fundamental to the school’s breadth of educational experience.
We are proud to have been awarded a Gold Activemark for our
commitment to PE. Cricket, cross-country running, swimming
football, basketball, tennis, multi-skills, netball, tag rugby,
orienteering and athletics are available at certain times during
the school year. Additionally, cycling safety is taught in the
summer term.
Parents are always informed by letter about these activities,
particularly since the majority are outside school hours when
parents will be expected to make arrangements to collect/meet
the children at the end of the sessions.
In addition, the school has established links with societies and
other institutions within the community, such as the Parish
Council, St Peter’s Church, the Library Service, local groups for
the elderly and childcare providers . The Ravenshead Rotary Club
have funded our vegetable garden, Toast Club and supported our
partnership with St Peter’s Primary school in Kampala, Uganda.
A monthly column in the village newsletter strengthens our links
with the community.

Parent Teacher Association
Car Parking
All parents and teachers are members of our wonderful PTA
– considerable sums are raised each year and every child
benefits from improved play facilities, equipment, visits and
visitors.
The school has a staff car park within the grounds with
a disabled parking bay. We have an arrangement with
Ravenshead Village Hall for the use of its car park –
immediately adjacent to the school entrance – for use at the
start and end of school.
All parents are warmly welcomed and invited to support
the PTA by attending monthly planning meetings and/or
supporting the many fund raising events held throughout the
year. Being involved with the PTA is a marvellous way of not
only supporting the school and meeting other parents but
also of having fun!
The school has a covered Cycle Parking Bay and children are
encouraged to come to school on their bikes (parents should
be assured of and are responsible for the children’s safety
during the journey)

APPENDIX 1
We offer up to three full days for 3 year olds and up to five
full days for 4 year olds and ask parents to pay for sessions
which go beyond the funded hours. Children may also attend
mornings only.

By popular demand we offer provision over lunchtime
if children are to stay for a full day and have appointed
an “extra” member of staff to care for the children. The
lunchtime period does not form part of the 15 hour
entitlement. There is a charge of £2.50 per day. This does not
include lunch- A school lunch costs £2.10 per day, or a packed
lunch should be provided.
Please note that if you still want your child to stay for a full
day but collect them at 12 and return them by 1.00pm, then
no fee will be payable - you will need to advise us of this
please.
