Terms of Reference: Development of New Adeso Website Adeso requires the services of a competent web designer (individual or firm) to develop a new trendy and user-‐friendly website for Adeso with a strong visual appeal. The website needs to embody Adeso’s wide and forward looking mandate as well as have a robust Content Management System (CMS) that can effectively manage large amounts of data and an array of file types including embedded video, audio, photo albums, HTML, PDF, and similar. The website also needs a donation system linked to our donor database (currently DonorPerfect in the US, subject to review), a robust constituent relationship management (CRM) system for active constituent engagement and personalized content, and the ability to manage constituent engagement directly through the website – i.e. online petitions and advocacy, tell-‐a-‐friend campaigns, and personal fundraising campaigns. 1. Background Adeso is a humanitarian and development organization that is changing the way people think about and deliver aid in Africa. We believe that development must come from within, not outside African communities. That it is Africans themselves who must determine their future, and that while international aid has provided much-‐needed support, it often falls short of enabling lasting change at grassroots level. We want to change this, and our strong bonds with African communities mean we are uniquely placed to do so. For over 20 years, we have worked hand-‐in-‐hand with communities to prevent, manage, and overcome situations that adversely affect their wellbeing, and our belief that the protection of the natural environment is integral to a thriving community cuts across everything we do. Regardless of where we work, our approach is the same: we help vulnerable communities through partnerships and shared decision-‐making. Our work can be categorized in four ways: Developing skills for life and work; Providing humanitarian aid; Reinvigorating the economy; and Influencing policy. We are headquartered in Nairobi, Kenya, but recognized as a charity in the UK, Kenya and the United States. We currently have 15 field offices across Kenya, Somalia, and South Sudan and fundraising and outreach affiliates in the United States and United Kingdom, staffed from Washington and London. Our current website was launched in 2012, when we rebranded the organization from Horn Relief to Adeso. Given the changing trends in web design since, we feel that our current website no longer meets our needs, and the needs of our audiences. We are therefore seeking the services of an individual or firm to design and execute a new website for Adeso. 2. Scope of the Assignment Under the guidance of the Adeso’s Communications and Advocacy Manager, the service provider will be expected to undertake the following tasks: • Develop layout and structure for the web site • Develop a Content Management System (CMS) based on Word Press; • Integrate an effective search function; • Investigate and propose options to set up a constituent relationship management (CRM) system; • Integrate a donation platform allowing individuals to donate online directly on the website and transfer funds to Adeso’s existing merchant accounts, with information deposited in Adeso’s donor database (currently DonorPerfect subject to review) • Develop a user-‐guide for the website and the CMS, complete with the most common troubleshooting guidelines; • Guide Adeso through the web hosting needs and security setups/controls to consider with the hosting of the new website; • Train a minimum of three Adeso staff on how to manage the new website CMS and CRM; • Following an internal appraisal process, install the website on the server, and transfer all archived content from Adeso’s current website, based on WordPress (images, text, embedded video, PDFs, HTML, photo albums, etc.); The website should have the following features: Site design: o An attractive graphic layout that embodies Adeso’s corporate character and meets Adeso’s branding specifications; o Interactive and user-‐friendly o Mobile friendly and responsive design; o A design that allows regular improvements on look and features. CMS o The CMS should be dynamic and allow information to be easily updated by administrative staff without specialized web development skills; o Ability to incorporate all Adeso social media platforms (Facebook, Twitter, YouTube, etc.) with live update options; o A Google Translate option at least to French, Arabic, and Kiswahili; o Ability to work well with search engines; o Incorporate Google analytics CRM (should include, but not be limited to) o An e-‐newsletter function with email and text blasting options; o Ability to host subscription options; o Fully integrated online fundraising, including capacity for personal fundraising; o Ability to set goals for fundraising, donors, tweets, petition signatures, signups, volunteers, followers, endorsements, event RSVPs, survey responses, suggestions and more. 3. Minimum Qualification and Capabilities Required o Adequate knowledge and at least five years of progressive experience with web design proven through portfolio of designed products; o Experience with CMS – open-‐source, proprietary and custom solutions; o Experience developing interactive websites that allow for user-‐engagement and online donations; o Experience with constituent relationship management (CRM) systems who can share relevant examples of establishing CRMs for multi-‐national nonprofit organizations; o Experience developing websites for large non-‐profit organizations. 6.
