Thank you so much for your interest in our tenth annual BC Christian Home Educators’ Convention. We are
very excited to be celebrating our 10th anniversary! BC CHEC draws Christian home educators from all over
BC, Alberta and Washington State because we offer excellent and encouraging speakers, programs for
children and teens, and exhibitors from across Canada and the United States.
Please read through this guide first before applying online. If you have any questions after reviewing this

Application and Order Form. Please apply Online. Payment can be made online or
mailed, but the application must be done online. Your space is not guaranteed until
we receive the online application and the deposit is received.

Convention Terms and Waiver of Liability (sign, scan and email it or bring it with you.)
BC CHEC is located at Kelowna Christian Centre and the adjoining Heritage Christian School, 905 & 907
Badke Road, Kelowna B.C. The Trade Show is located in the school gymnasium (The Grove), and in the
Fellowship room, (The Orchard), directly below the main speaker venue.

Trade Show Exhibit Spaces:




Booth space is approximately 10’ wide by 6’ deep and includes an 8’ skirted table, one chair,
exhibitor ID sign, 8’ high back drape and 4’ high side drapes.
Other tables and racks may be utilized within your designated space as long as they do not
interfere with the visibility or operation of adjacent exhibitors. Displays may not extend beyond
the confines of the exhibit space.
Wireless internet is available on site.
Exhibitors also receive a complimentary listing in the Program Guide and are listed on the website
for up to a year!
Show in Motion, our convention set-up company, will provide an order form for any extras you may need,
such as electrical hook-ups, extra tables & chairs, etc. This form will be posted on our website in March,
and will be emailed to all registered exhibitors.
Space Selection:
Priority is based on the date of paid application. Applications must be submitted online at
https://bcconvention.ca/exhibitors.php Early applicants will receive requested space whenever possible,
but it is not guaranteed. The final booth placement will be decided by the BC CHEC committee based on
the best interest of the convention and availability.

Exhibitor Check-in:
You will receive an e-mail confirmation with details regarding the convention one month before the
convention. When you arrive, proceed to your booth where your package containing the Program guide,
name tags and other information will be available.
Exhibitor Take-Down:
Displays must not be taken down before 4:00pm Saturday. NO TAKE DOWN WILL BE PERMITTED DURING
CONVENTION HOURS. Please remove all garbage and recycling. Exhibitors are required to break down
all boxes and deliver them to the bins provided. All displays must be removed from the premises by 8 pm
Saturday.
Accommodation:
Options with discounted rates will be listed on our website.
Meals:
There are meals provided by fundraising groups on-site, usually offering $6 lunch combos. There are a
number of fast food outlets nearby as well. We have volunteer lunch runners who will come by and assist
you if you need a quick break from your booth or if you want them to take your lunch order for you, (you
need to give them cash to cover the lunch).
Children:
Any children that accompany you must be in your booth area or with an adult at all times. Please be
considerate of other exhibitors and provide proper supervision. We have a children’s' program available,
registration fees apply.
Display Guidelines:
Displays will be permitted only by official exhibitors. No space may be sublet to another company or
individual without prior approval. Distribution of advertising matter by representatives of firms that are
not official exhibitors is strictly forbidden. The materials and/or services being exhibited must be
curriculum or of an educational nature.
Audio/Video Players:
Courtesy is expected of all exhibitors. Audiotapes and video monitors are permitted; however, such
equipment must be kept at a reasonably low volume.

Material Guidelines:
BC CHEC reserves the right to request the removal of specific items or entire displays that, in its opinion,
would be inappropriate for display. Please review your material prior to the convention for any items
that would be offensive to our primarily Christian attendees.
Cancellation Policy:
All deposits and final payments are non-refundable, except in the case of decisions made by the
convention committee to downgrade exhibitor space.
Liability:
BC CHEC shall not be held responsible for any loss, damage, injury, or theft that may occur during the
event. Any damage to the building due to carelessness or misconduct of an exhibitor will be paid for by
the same.
Keynote Sessions and Workshops:
Exhibitors are welcome to attend all keynote sessions free of charge. Two exhibitors per business may
attend workshops as long as their exhibition booth is manned when the Trade Show is open. Please
indicate the names of those that would like to attend workshops in the application.

The following information will assist our team in giving you the best service possible.
Each exhibitor will receive free passes to the Trade Show for those working at the booth (maximum 6) and
two free passes for workshops. Please list names of those attending so we can have the name tags

Advertising
We are offering several opportunities to promote your business or organization at the convention. The
first two options are available for exhibitors who are unable to attend. Advertising must be paid in full
at the time of the application for exhibitors who are not attending.

We will insert your flyer, brochure or catalog into 300 bags that will be distributed to our
convention attendees. (Catalog space is limited).
These bags are assembled by a group raising funds for missions.
Many attendees go home from the convention without materials with the intention of ordering
when they have had time to decide what their year will look like. You have the opportunity to be
a resource they will look to.
Inserts must be shipped or delivered directly to BC CHEC, 905 Badke Rd., Kelowna, BC, Canada,
V1X 5Z5. If they arrive at a Postal outlet they will not be picked up.

All who are registered for the convention will receive a Program Guide. This guide will contain all
the information delegates need to enjoy the convention, including schedules, Trade Show,
workshops, maps and more.
The Guide is a handy reference of all of the exhibitors and is used by attendees after the
convention as well.

We are pleased to offer limited number of spots for ads on our Home and Trade Show pages
this year (limit of 5 per page). All submitted ads will be ordered randomly and rotate every
3 seconds. The ads will link to the web page URL you provide. The maximum size for an ad is

Quicklaunch Digital Coupon - $40.00 Deadline March 14, 2015
We will email your coupon to all of the Quicklaunch delegates two weeks before the
convention. This will give you the opportunity to highlight your business before attendees
arrive!


This coupon is an incentive for people to register early (by March 31st), and, as such,
should not be made available at your booth during the convention.

Agreement to Terms and Waiver of Liability
Below are terms and conditions that we require exhibitors to agree to in order to have
the convention run smoothly:






All booths must be set up and ready by 10:00 am on Friday, April 24th, 2015,
and must remain in full operation until official tear down at 4:00 pm on
Saturday, April 25th, 2015.
All deposits and final payments are non-refundable, except in the case of
decisions made by the convention committee to downgrade exhibitor space.
Please leave your booth area in the same condition you found it. Remove all
boxes and cardboard to the recycling bins.
Display materials must fit into your booth area.
Audio equipment must be kept at a low volume so as not to disturb or distract
other exhibitors.
We reserve the right to refuse an application, in which event, all fees would be
refunded.
Between Heritage Christian Online School and Exhibitors attending the BC Christian Home
Educators’ Convention, April 24th & 25th, 2015, held at Kelowna Christian Centre and Heritage
Christian School, Kelowna, British Columbia.
The Heritage Christian Online School, its principals, directors and members are hereby
released from any liability for damages caused by Acts of God, electrical disruption or any
other unforeseen situations that may arise from circumstances not directly or indirectly under
their control.
Further, it is understood that insurance for fire, theft or other liability is the responsibility of
the vendor.
I agree to be responsible for property damages to items such as floor coverings and draping
materials caused by negligence or breach of contract.
I also agree to the convention terms and conditions listed above.
