VegfestUK Brighton Guests Manual Saturday March 28th & Sunday March 29th 2015 Brighton Centre, King's Road, Brighton BN1 2GR Welcome Thanks for coming along to speak and perform at this year’s VegfestUK Brighton event! Here is your guests manual containing info on logistics that you may find useful. Please read through carefully. The office usually gets very busy in the last week before the event, so please get in touch in good time and please contact our guest manager Alan Lee at [email protected] or on 07786850945 in good time if you have any questions. Meanwhile, our event programme is available at www.brighton.vegfest.co.uk/programme. It contains all schedules for talks, cookery demos, conferences, kids activities and performances, and floor plans. The Venue The venue is easy to find and there is good access from the front and back. Guests can enter via the back entrance off Russell Road to avoid queues at the front during opening hours. The telephone number for the venue is 01273 290131. Smoking is not permitted by law anywhere within the venue. The venue is fully accessible for the disabled. There are direct trains to London and frequent services from Portsmouth, Worthing, Lewes, Seaford, Eastbourne and Hastings. By Road Brighton is easily accessible by all areas. From London take the M23/A23. On Foot The Brighton Centre is located on the Seafront on King's Road, and is easily reached from all directions. By Air London Gatwick Airport is just 28 miles from Brighton via the M23/A23 taking an average of 30 minutes by car. Car Parking There is a multi-storey carpark next to Russell Road right at the back of the Brighton Centre. Admittance and re-admittance Admittance for speakers and performers is by printed e-tickets which will be emailed out to you 3 weeks before the event. Each speaker/performer will be sent 2 e-tickets for Saturday and 2 e-tickets for Sunday. Please check your inbox, print out the e-tickets and bring them with you on the day. Show opening hours 11am-7pm (Saturday) 11am-6pm (Sunday) NB: trolleys cannot be used in the venue during opening hours. Kids under 16 are not allowed in the venue before the show opens and after the show closes. Floor plans Available at www.brighton.vegfest.co.uk/floor-plan Entrance and Exit during the show If you wish to leave the building and re-enter at any time during the event, you can do so via the front or back door - both will be manned by our security team. Entry to the public is by both advance tickets and payment on the gate. Advance tickets are £5 per day and £8 for the whole weekend, and these are available until 10am on each day. Tickets on the gate are £8 for adults, £4 for students/claimants/OAP's and free for kids under 16. If the capacity for the venue is reached then a one in – one out operation will come into play for the general public. You are also advised to use the rear entrance in the event of a capacity crowd as this will not be open to the public. Length of talks, demos and performances Each of these sessions is 45 mins long with 5 mins questions and 10 mins changeover (unless otherwise specified on our website). Rubbish There are a number of bins around the venue for rubbish, and also a skip at the back entrance. Companion Animals Other than assistance dogs, no other pets will be permitted access to the venue during opening hours. Any lost property found during the show should be handed to our security staff who can be contacted through the Site Office (at stall Q11 on the floor plan) stationed on the ground floor. Food Handling for cookery demos If you are handling food at the event, please ensure that you have your safe food handling certificate with you, as your food demo may be inspected by the Brighton City Council Health and Safety Team. Please also ensure that you have returned your safe food handling certificate by email to Alan at [email protected] in advance. To ensure no undesirable allergic reactions to certain food ingredients from members of the public, we also ask that those doing food demos clearly state any ingredients that c o u l d cause allergic reactions (e.g. soya, nuts, gluten, etc). Please ensure that adequate hygiene is maintained with food sampling e.g the provision of cocktail sticks and cups, avoidance of shared bowls etc. There is a kitchen on the ground floor for those doing food demos to use. Inside the kitchen are: water points and waste disposal points, together with 2 double sinks. Moreover, Mac users also need to bring a mini display port to VGA cable http://store.apple.com/uk/product/MB572Z/B/mini-displayport-to-vga-adapter Electrical Equipment (for food demos) Those doing food demos please email [email protected] with your power requirements – we need to know the wattage of each appliance, to ensure adequate power for your demo. Please do not overload the power points by bringing more appliances than listed in your power requirements. All appliances by law must be PAT tested and you will need to demonstrate this on the day as all electrical appliances may be inspected by Brighton City Council Health & Safety Team for PAT tests. There is a maximum power allowance of 8kW / 32amp in the Cookery Demos area. Performance specifications (for performers) Those performing live music at the event please also email [email protected] with your full specifications. First Aid First aid is available via contact with the Site Office on the ground floor. Vegan Policy Please ensure that all exhibits on the day are 100% vegan-friendly, and that your publicity and marketing material is suitable for a vegan event (i.e. no promotion of non-vegan products in your marketing material). The organisers will request that any non–vegan products are removed straight away if a member of the public reports that there are non vegan products advertised. Also, as many of our visitors are passionate about the vegan cause, it will really help if you could set a good example by not wearing any non-vegan apparels at the event. Thank you for your cooperation on this matter. Should you be unsure about any issues to do with being vegan or not, please contact the office in advance and we will assist. Security VegfestUK Brighton is a family event and we are not expecting any trouble or theft. We have a number of visible SIA security as well as stewards and in house staff on duty to ensure the safety of all our speakers, perfomers, stallholders and visitors. However, your personal belongings are ultimately your own responsibility and you must be vigilant to ensure against theft or damage to stock. If you have valuable equipment like a laptop, please be extra vigilant. The show may well get very busy. In the unlikely event that you experience any theft or damage please report this to the event management by the front entrance or to your nearest security personnel or steward, and we will do our best to assist. Aggressive behaviour / abusive language VegfestUK Brighton is a family-friendly event and as such there is zero tolerance to bad language or aggressive behaviour, either from the public (occasional), a speaker/performer or a stallholder (very rare, but has been known). In the very unlikely event that you encounter any hostile behaviour, please alert a member of the event management team (stewards, security) and we will assist if required. Please note too that speakers/performers are required to stay calm at all times when dealing with the public and ensure that language is moderate in the very unlikely event of a hostile encounter. The management reserves the right to remove unruly and abusive people, be they public, speakers/performers/stallholders, from the Brighton Centre, and readmission may be refused. VegfestUK Team Front of House: Delta Security 2 personnel from our tried and trusted team Delta Security will be on duty at the front entrance throughout the weekend. Ash and Jordan will be assisting on the door with counting people in and taking the collections, and selling printed event programmes. Guest Manager – Alan will be overseeing our speakers & performers.
