Thank you for your recent enquiry and interest in BEST WESTERN The Shrubbery Hotel as a possible
venue to hold your reception or wedding breakfast.
The hotel facilities are vast and extremely flexible making this the perfect venue for a small reception
or a full wedding breakfast for 200 guests.
The hotel has 21 Bedrooms, twins and doubles, for overnight accommodation on your wedding night
and special rates are often available. Additionally you can upgrade your big day to our two night
package, details enclosed.
We pride ourselves on our customer care and service and fully appreciate the needs of the wedding
market.
We recognise that each event is individual and can tailor any service to meet your exact
requirements. To fully appreciate and understand why the hotel stands out from other venues I
would be delighted to discuss your forthcoming event in greater detail.
To secure a wedding date, a non-refundable deposit of just £500 is required.

Free venue hire is available on minimum numbers of 100 to the wedding breakfast and 100 people in
the evening enjoying one of our selected evening catering options.

Below are some beverage options for you to consider. The cost is per adult including VAT. We would
also be pleased to tailor a particular beverage package to your own requirements.
We also provide fresh juice along with your wedding/event reception drinks and unlimited still water
with your wedding breakfast.

BOOKING TERMS & CONDITIONS
The following terms apply to all weddings hosted at BEST WESTERN Shrubbery Hotel:
Provisional bookings are honoured for seven days, after which the date is released for resale unless confirmation
is received.
Terms and Conditions:

All Friday & Saturday bookings between March – December are subject to minimum of 75 Guests for the Wedding
Breakfast & 100 People for the evening Reception.
Deposits, Pre-Payments & Discounts:

No obligation provisional booking can hold your wedding date for 7 days, after this period the date is released
There is a non-refundable deposit of £500 to secure your requested date
For smaller, Sunday-Thursday, & winter weddings Jan, Feb 50% discount* on venue hire
Sunday-Thursday, & winter weddings Jan, Feb 25% discount* on Food (not Alcohol)
The final agreed balance must be settled 2 weeks prior to wedding date
(*all discounts apply to a minimum of 75 people and must include a wedding breakfast & evening reception.)
Minimum Numbers:
•
Although we can cater for any number of guests we do have a minimum number for the exclusive use of the
Somerset Suite 50 guests for the Wedding Breakfast & 80 guests for the Evening Reception.
•
Final numbers should be given at least 2 weeks prior to the wedding and this will be the number invoiced
regardless of any persons not arriving on the day.
•
Any increase in numbers will be charged as agreed.
Cancellations: (IN THE EVENT OF CANCELLATION YOUR DEPOSIT IS NON-REFUNDABLE)
We regret having to enforce a cancellation policy and strongly advise taking out an independent insurance policy to
cover any possible losses.
•
Any cancellation must be made in writing or person, Registers must be informed independently.
•
Wedding transfers, you can transfer your date up to 3 month prior to your wedding date.
•
5 months’ notice – 20% of confirmed wedding package
•
4 months’ notice – 30% of confirmed wedding package
•
3 months’ notice – 40% of confirmed wedding package
•
2 months’ notice – 50% of confirmed wedding package
•
1 months’ notice – 75% of confirmed wedding package
Access:
•
Subject to availability the Shrubbery Hotel can be available on request the day prior to your wedding day and from
7.30am the day of the wedding.
•
On request we can store items up to 5 days prior to the wedding but we cannot be held responsible should any
items be lost or broken.
Children:
•
Children under nine are charged at 50% of full per person rate
•
Children under two – no charge
•
Children must be supervised at all times, any breakages are payable by the parents or guardian of the child.
Food Policy:
•
All food, wine and drinks are supplied by the Hotel. (unless a *corkage policy has been agreed prior to the event)
•
With advance notice we can cater for any special dietary requirements.

*Corkage:

Although we can supply all Wine & Champagne should you wish to bring your own we charge £13.95 corkage per
bottle.
Bar / Drinks:

Our hotel bar is licenced until 1am for any wedding parties held Monday - Saturday
Decoration:
•
Confetti is permitted at our venue
•
Any additional decorations are the responsibility of the wedding party
•
The Shrubbery Hotel cannot be held responsible for any loss or damage of decorations used during or after the
wedding day.
•
Flowers, it is the responsibility to remove and dispose of any flowers, decorations by 5pm the day following the
wedding
Fireworks:
•
Fireworks ARE NOT permitted at the Shrubbery Hotel.
Music / Entertainment:
•
Any music or entertainment is the responsibility of the wedding party unless agreed by the Shrubbery Hotel to
organise on your behalf.
Guest Accommodation:
•
Guest Bedrooms will only be secured with a 50% deposit or credit/debit card number.
•
Guest not showing will be charged the full rack rate
•
Cancellation policy is 48hrs prior to wedding
•
Any rooms not confirmed 8 weeks prior to the wedding will be released for general sale
•
Exclusive hire (all bedrooms charged at £1750 1 night B&B) payable in full in advance
Registrars:
•
Your Civil wedding ceremony DOES NOT include any charges by Registrar and you need to check availability
before booking
•
Registrars must be booked independently & confirmed separately
•
In the event of cancellation you must inform separately.
Damage:
•
The Bride and Groom are responsible for wedding guests and their behaviour
Smoking:
•
All public areas and bedrooms are non-smoking in accordance with legislation
•
All Guest bedrooms which are found to have been smoked in by any member of the wedding or guests are charged
£125 without exception to the occupant registered to that room.
•
External smoking areas are available at the Shrubbery Hotel.
Other:
•
The Shrubbery Hotel accepts NO responsibility for cards or gifts brought by guest and left.
NB: The shrubbery hotel reserve the right to adjust its published prices without notice. Prior notice for booked weddings will
be given.
