Reports to: Human Resources Director and Human Resources Manager Qualifications: 1. A high school diploma or General Educational Development (GED) Certificate. 2. One year of Human Resources experience. 3. Two years of business school or community college. 4. Two years of secretarial experience. 5. Thorough working knowledge of Business English, spelling, punctuation, and contemporary general office practices and procedures. 6. Detail oriented and able to work independently 7. Math skills sufficient to prepare routine spreadsheets, calculate/balance invoices/expense reports, and similar. Computer skills in Microsoft Office programs (Word, Excel, PowerPoint, Outlook Calendar, etc.) and database systems. 9. Ability to type 45 wpm 10. Effective verbal and written communication skills to communicate clearly and effectively with patients and others. 11. Effective work organization skills. 12. Ability to work effectively as a team player. 13. Ability to be flexible and work in a changing environment. 14. Sensitivity to the different cultures represented among members and staff. 15. Demonstrated ability to listen and communicate with others in a professional and caring manner, including sensitivity with individuals from diverse cultures and lifestyles. 16. Demonstrated ability to set priorities for tasks to work effectively in spite of interruptions and under minimal supervision. Self-starter, reliable and dependable. 17. Demonstrated proficiency with the electronic health record database within three months of attending training session(s). 18. Bilingual English and Spanish, preferred. 19. Ability to solve problems and make routine recommendations. 20. Ability to maintain absolute confidentiality about health care and other patient/client information. 21. Current California driver’s license, appropriate insurance coverage and a driving record acceptable to the NEVHC’s insurance carrier (if required to drive on the job). Responsibilities: 1. Inputs tracking statistical information in the CATS Program and/or other reports generates various CATS and/other Reports. 2. Processes Employee Status Change Forms. 3. Compiles, organizes, maintains, and ensures the completeness of all personnel files. Ensures that personnel files are correctly filed. Maintains and ensures those personnel files Out Cards are up-to-date. Maintains the job description file to ensure it is complete and up-to-date. 5. Makes appointments, takes messages, answers phones, makes copies, sends faxes, takes minutes of meetings, types correspondence, collects and delivers mail and performs other routine office duties. 6. Orders department office supplies, weekly and monthly. 7. Assists Human Resources Employment Secretary with new hire orientation duties, including: creating badges, copying new hire documents, making new hire physical exam appointments in NextGen, scheduling of interviews, booking conference room, contacting interview panel and preparing interview packets). 8. Assists in conducting various background verifications. 9. Answers questions of a routine nature, based on written policy and drafts routine correspondence with minimal direction and approval. 10. Handles all confidential personnel issues in a confidential manner, refraining from discussing personnel information/issues with current and former employees and public 11. Utilize the CARE Communication model to provide impressive service a. Connect with our patients and their families b. Appreciate what our patients and families say and acknowledge their situation c. Respond in ways that would be helpful to the patient and their family d. Empower patients and families to have confidence in their ability to contribute to their health and healthcare. e. SAFETY: Participates in all safety programs which may include assignment to an emergency response team. 13. Develops and maintains working knowledge of the following programs; participates in and complies with the NEVHC: a. Infection Control Program b. Environment of Care Management Plans and Emergency Management Program; and participates in emergency response activities as directed c. Corporate Compliance Program d. Code of Conduct 14. Participates in hazardous waste and infection control assignments as required which may include being designated as an emergency responder to a hazardous substance release or Page 3 05/06/2015 NORTHEAST VALLEY HEALTH CORPORATION Human Resources Secretary spill; performing infection control data collection, evaluation, reporting and follow-up in accordance with clinical health services policy and procedures. 15. It is the responsibility of every employee to understand how the Joint Commission’s National Patient Safety Goals relate to their job duties at NEVHC. It is the responsibility of every employee to report any patient safety concerns to their immediate supervisor without fear of reprisal. 16. Must demonstrate the knowledge and skills necessary to provide care for the specific population(s) served. (Refer to HR Policy # 149) SECONDARY DUTIES 17. Participates in emergency phone coverage during the corporate receptionist’s absence. 18. Performs related duties as required by Director of Human Resources and Human Resources Manager.
