Vendor Eligibility
Vendors are invited to participate in the UCF Book Festival Marketplace on Saturday, April 18,
2015. All Vendors are welcome to apply for participation in the UCF Book Festival Marketplace.
Vendors will not sell or present any UCF Book Festival guest authors’ books at their booths during
the length of the Festival, unless previously approved by the UCF Book Festival Executive Board.
Publishers and authors who wish to participate must provide a copy of each book for review (if
author of 3 or less books) by the UCF Book Festival Committee. Note that books will not be
returned. UCF Book Festival reserves the right to refuse participation by any company/organization
or individual at its sole discretion.

Vendor Primary Contact
Each vendor must designate one person as the Primary Contact Person on the vendor application. All
communication from the UCF Book Festival will be directed to the primary contact person before,
during, and after the Festival.

Application & Payment
A completed application and full payment must be submitted to request participation in the UCF
Book Festival. Submission of documents and payment does not imply acceptance into the UCF
Book Festival. If accepted, you will be notified by the UCF Book Festival with an email
confirmation of acceptance.
Payment is available online with credit card or mail payment using check, money order, purchase
order, or certified check payable to UCF Book Festival to:

Cancellation & Refund Policy
All cancellation requests must be received in writing to UCF Book Festival, P.O. Box 161250,
Orlando, FL 32816-1250. Cancellations postmarked or received by 5:00 p.m. on March 31, 2015 are
refundable, less a 50% cancellation fee. Cancellation requests received after March 31, 2015 will
not be honored.
Florida Sales Tax Information
Vendors are responsible for collection and remittal of all sales taxes. Fees and assessments required
by any applicable federal, state or local laws in connection with vendor participation in the event is
the sole responsibility of the vendor.
Booth Assignment
The UCF Book Festival assigns booths at its sole discretion at the time of vendor registration. To
request a booth, a completed application and payment must be submitted. Completed applications,
along with payment, are processed in the order in which received. Booth placements are made at the
discretion of the UCF Book Festival. The vendor may not sublet the booth without the express
permission of UCF Book Festival. Limit of two companies/organizations can be assigned to each
booth rental.
Complimentary Parking
Complimentary Parking for UCF Book Festival vendors will be available, free of charge, near the
UCF College of Education and Human Performance.

Registration
Vendor registration will take place at the UCF College of Education and Human Performance on
Saturday, April 18, 2015 from 7:00 a.m. until 8:30 a.m. Vendors must register with UCF Book
Festival staff before setting up their booths.
Set Up
Booths must be set up and staffed by 9:00 a.m. Each booth must remain staffed during the entire
Festival. All booth staff must be at least 16 years of age or older. To assist with unloading, dollies
and hand trucks will be available.
Breakdown
All vendors must stop sales and close their booths at 3:30 p.m. Booths must be intact and staffed
from 9 a.m. until the official closing of the UCF Book Festival at 3:30 p.m. All items must be
removed by 5:30 p.m. April 18, 2015. If a vendor violates the breakdown procedures, they may
forfeit participation in future UCF Book Festivals.
Use of Space Criteria
Festival management provides cleaning of walkways and removal of trash during the Festival.
Vendors are responsible for maintaining booths and table space and the safe operation of equipment
throughout the Festival. All items, including conducting of business and/or distribution of materials,
must be maintained within the booth space. Overflow into walkways is not permissible. Vendors may
furnish their booths with their own tables, bookshelves, etc. as long as all items conform to the
guidelines herein. Tables and other furniture can be placed anywhere in a vendor’s booth, as long as
all furniture stays within the dimensions of the booth. The booth set-up must not pose a safety hazard
and must fully comply with the Fire Code of the State of Florida.
