Dear Auto Show Representative:
On behalf of the Peoria Metro New Car Dealers Association, we would like to thank you for your
participation in the 25th Anniversary Central Illinois Auto Show at the Peoria Civic Center, in
Peoria, Illinois.
Dates for this year’s show are April 4, 5, & 6, 2014. Comprehensive marketing and promotional
programs will be administered through the Resource Marketing advertising agency. We are
concentrating on increasing attendance figures this year, and have incorporated many new ideas into our
promotions for this year’s event. The following information provided in this kit should answer any and all questions that you may have
during show planning.
1.
EXHIBIT SPACE
The exact dimensions and location of your display area can be found on the attached floor plans.
Please take time to review the new layout of your display area. R&B Productions requests that your
area floor plan be sent as soon as possible. Please note ceiling height for the Exhibit Hall is 35 Ft.
All displays need to be taken down and shipped out by Midnight on
Sunday, April 6th.
2.
DECORATIONS
Carpeting will be provided. Carpet in the Exhibit Hall, the Triangle Lobby, and Skylight Lobby
will be grey. Carpet Cleaning each day is NOT included in the space fees. Vacuum Fees are
at $15.00 per hour. Should you require additional exhibit decorations or preparations;
arrangements can be made through Brian Pickerill at Peoria Flag & Decorating, at (309) 6858989.
3.
DECORATIVE ASSISTANCE
Concepts in Foliage, a division of Becks Florist, a professional plant design company, has again
agreed to make its services available to the individual manufacturers. They will be able to
provide any special floral needs on site in your display or specialty decorations that you may
need for the event. Please contact Mary Reynolds or Greg Becks directly at (309) 694-8405.
4.
DRAYAGE
All freight must be delivered to our drayage company on or before March 28th. The Peoria
Civic Center will NOT receive any freight unless instructed by R&B Productions. Please
make all arrangements for freight and delivery through Peoria Flag & Decorating. Also, it is
imperative that all display materials and freight be removed from the Civic
Center immediately following the show, as there will be another show moving
in afterwards. Please call Brian Pickerill at Peoria Flag & Decorating for further information
at (309) 685-8989.
5.
MOVE IN/MOVE OUT SCHEDULE
Freight and set-up will begin in the Exhibit Hall on Wednesday, April 2nd with a staggered
move-in to the Civic Center starting at 8:00 a.m. and concluding at 7:00 p.m. A detailed
schedule for move-in will be distributed at a later date with times for drayage and vehicle
move in included. Due to a show moving in directly after our event, move out will need to
th
begin immediately following our show on Sunday, April 6 . Please be aware that
smooth move-in and move-out depends on your cooperation and manpower. Please provide all
shipping labels and return packaging needed. ALL FREIGHT AND DISPLAYS MUST BE
CLEARED FROM THE PEORIA CIVIC CENTER ON SUNDAY!

AUTO SHOW ACCESS & HOURS SHEET
Please find the attached breakdown of the access times and hours for each day of the event,
including move-in days at the Peoria Civic Center. Please make sure your technician and dealer
staff is aware of these important times.
7.
ACCOMMODATIONS
Please find the enclosed information supplied by an area hotel. The Peoria Metro New Car
Dealers Association has a limited room block for your stay in Peoria during the
Move-in and show dates. Please take advantage of this reduced rate for your room(s). Space is
limited, so please make your reservations by March 3rd.

LABOR / FORK TRUCK / ELECTRICAL / PHONE RATES
Please find the enclosed order forms, outlining hourly rates for labor, fork truck usage, electrical
and phone services used at our show. Please be aware of these rates. An order form is enclosed
for your use in setting up your display area. Complete and return this form by FAX to (309) 6933465 before March 1st.

ADVERTISING
Please note that coupons or signage to be used prior to or at the Central Illinois Auto Show that
states any kind of selling incentive, or use of the Peoria Metro New Car Dealers Association
Logo or Auto Show Logo should be reviewed by the Peoria Metro New Car Dealers
Association’s Executive Board. 10.
PEORIA’S FIRST LOOK AUTO SHOW PRESS PREVIEW
Our press preview will be held on Thursday, April 3rd from 6:30 - 8:30 p.m., at the Peoria Civic
Center. Representatives from the Peoria Metro New Car Dealers Association, the City of
Peoria, and the Peoria Area Convention & Visitors Bureau will attend to ensure a successful
kickoff. Please send any additional information you may have to assist us with event related
promotions and media information. Hors D’oeuvres and Beverages will be served, along with a
cash bar. The dress will be Business Attire. Our media preview will be held that evening at 6:30
p.m. Plans are to make major donations to three worthy local charitable organizations. The
preview will be a private showing by invitation only to the media and guests.

You will find the enclosed letter regarding drayage for the Central IL Auto Show from Peoria Flag & Decorating.
They are our preferred provider for drayage and shipping to the Auto Show site. Please refer to this letter from
Brian Pickerill at Peoria Flag & Decorating for your specific needs in shipping and drayage prior to the event.
FOR SHIPPING DIRECTLY TO THE SHOW, RECEIVING OF SHIPMENTS WILL TAKE PLACE AS
FOLLOWS:
EXHIBIT HALL : 9:30 AM UNTIL 5:00 PM ON WED., April 2nd.
Please contact Carl Bunker with R&B Productions at 309-693-9667, Ext. 11 or 309-208-4426 to schedule
appropriate delivery time. Deliveries to the building will be accepted by the production company or the
manufacturer representative only! Therefore, direct shipments to the building are limited to those
specifically on the paperwork or manifest for receiving. They must be present or the Peoria Civic Center
will refuse shipment.
PLEASE MAKE SURE ANY RETURN PAPERWORK, MANIFEST, OR RETURN LABELING IS
SUPPLIED TO INSURE THE CORRECT RETURN SHIPMENT! Please note to schedule pick-ups for
return shipments on Sunday evening, April 6th from 6:30 p.m. until complete.
Please be advised that located in the exhibit space, behind Ford, Volvo, Lincoln and Nissan there will be eight
docks for our use. We will be working with the Peoria Civic Center in order to plan a smooth drayage move-in.
We will be contacting you with specific schedules regarding your move-in and dock location for this year.
In closing, we at R&B Productions would like to stress the importance of working with the Peoria Civic Center
and the new security measures. There is no docking charge for direct shipments-only fork truck fees in the
amount of $80.00 per hour. Any questions regarding the production move-in and set-up or scheduling, please

Dear Exhibitor or Supplier:
R&B Productions has asked for our assistance on behalf of exhibitors and suppliers attending the 2014
Central IL Auto Show. Our responsibility is twofold:
1. To store and/or stage your product should you desire to have your product in Peoria prior to
show move-in day.
2. To ship your product out of Peoria in the event you cannot arrange to have it shipped out of the
Peoria Civic Center the night the show ends.
If you wish to ship directly to the Peoria Civic Center immediately prior to move-in or if you intend to
ship directly out of the Peoria Civic Center the night the show ends, contact R&B Productions directly
at (309)693-9667.
All shipments received at Peoria Flag & Decorating’s Warehouse must be shipped FREIGHT PREPAID!!
WE REFUSE ALL COLLECT SHIPMENTS!! ALL SHIPMENT MUST CONTAIN A PACKING LIST OR
MANIFEST!! Peoria Flag will hold your product until move-in day. Peoria Flag will then coordinate with
R&B Productions for delivery to the Peoria Civic Center. Advance Shipments to Peoria Flag &
Decorating will provide two assurances.
1. Your material will arrive before opening day of the Auto Show.
2. If there were to be a problem in shipment (loss, damage, etc.) you will be notified prior to
move-in day.

for ordering extra equipment. Please look over all the forms and mail or fax your order back with payment. If

THE AUTO DISPLAY AREAS WILL BE CARPETED AND ARE VACUUMED FOR A DAILY FEE!
The Exhibit Booths will be on concrete. Each booth is 10’ wide x 8’ deep; the back walls are 8’ tall and the side dividers are 3’ tall. The color of the drape will BLACK/SILVER. Draped Booths will only have an 7” x 44” I.D. Sign. THERE ARE NO PROVIDED TABLES OR CHAIRS!
To qualify for the discount price, your order must be PREPAID by check or credit card authorization. Please fill
